They can work together as three distinct layers: calculate in formulas, signal status with formatting, and use macros for repeatable tasks. You do not need all three in every workbook.
What each Excel feature does

This division is a practical design approach, not a Microsoft requirement. Keep calculations in formulas when that makes the logic easier to inspect, use conditional formatting for criteria-driven visual signals, and reserve VBA for actions that benefit from automation.
How formulas provide the values and logic
A formula can calculate an inventory balance, derive a due-date status, or return a logical result. Functions such as IF, AND, OR, and NOT let a formula test conditions and return values based on the outcome. See Microsoft’s guide to creating conditional formulas.
Excel normally recalculates formulas when inputs change, but a workbook can use manual calculation. If a result appears stale, check Formulas > Calculation Options and confirm whether calculation is set to Automatic. You can also use the calculation commands on the Formulas tab to recalculate. Microsoft explains these options in its formula recalculation and precision guidance.

How conditional formatting turns results into visual signals
Conditional formatting evaluates a cell value or a formula-based rule and applies a chosen style—such as a fill, font, or border—when the rule is true. For example, a rule using =AND(B3="Grain",D3<500) can highlight a row’s relevant cell when the category is Grain and the value in column D is below 500.
Set the rule and its scope
Select the target cells, then use Home > Conditional Formatting > New Rule. Choose the option to use a formula to determine which cells to format, enter the logical test, and select the desired style. In the rule manager, verify the Applies to range so the rule covers the intended cells.

Check references and rule order
References in a formula-based rule behave relative to the cells in its applies-to range. A reference such as B3 can shift as the rule evaluates different rows; absolute references such as $B$3 stay fixed. Use the reference style that matches the intended check, and test the rule across representative rows.
When more than one rule covers a cell, order can affect the result. Review rule precedence and the Stop If True setting in the rule manager. Microsoft covers formula rules, references, ranges, error cells, and rule order in its conditional-formatting guide.

Handle formula errors deliberately
Microsoft notes that conditional formatting is not applied to cells whose formulas return errors. If a visual status should remain meaningful when inputs are missing or invalid, handle those cases in the formula—for example, with IFERROR or an appropriate IS check—and ensure the formatting rule tests the resulting value as intended.
How VBA adds automation
VBA macros automate actions such as preparing a report or updating a workflow. A macro can be started from the Developer tab, assigned to a shortcut or control, or triggered by a workbook event. For instance, a Workbook_Open event can run code when a workbook opens. Microsoft describes the available ways to run macros and macro-enabled files in Run a macro in Excel.

VBA can also provide custom worksheet functions, but a custom function is intended to return a value to a formula; it cannot change a cell’s font, fill, or other formatting. For criteria-driven visual changes, use conditional formatting. Use a macro procedure when code needs to perform workbook actions. - Calculate. Use worksheet formulas to produce the values or statuses the workbook needs.
- Signal. Add conditional-formatting rules that respond to those results, and check the applies-to range, references, and overlapping rule order.
- Automate. Add VBA only for repetitive actions or event-driven steps, keeping its purpose separate from calculations and display rules where practical.
- Validate. Change representative inputs, confirm formula results update, check that the intended formatting appears, and test the macro’s action separately.
Platform and file-format limits
Excel for the web can open a workbook containing VBA, but it cannot create, run, or edit VBA macros. Use the desktop Excel app for those tasks. Save a workbook that contains VBA in a macro-enabled format such as .xlsm. Microsoft documents the web-app limitation in Work with VBA macros in Excel for the web.

Calculation settings that can affect results
Besides automatic or manual calculation, Excel offers a Set precision as displayed option. Microsoft warns that enabling it permanently changes stored values to match displayed precision. Treat that setting cautiously, especially in workbooks where later calculations depend on the underlying stored values.
