There is no single “private” setting that makes an enterprise chatbot safe for every workload. Compare whether prompts and outputs can train models, how long chats and files remain available, what administrators can search or govern, and where data is stored and processed. OpenAI, Microsoft, Google, and Anthropic publish different protections—and they apply to specific products, accounts, features, regions, and contracts.
Enterprise AI chatbot privacy at a glance
This comparison reflects provider documentation checked on October 4, 2026. It describes public statements, not an independent audit or a guarantee that a particular tenant is configured a certain way. Follow the links for current terms and confirm the applicable SKU, settings, and contract before deploying sensitive workloads.

What “not used for training” does—and does not—tell you
Training is only one path by which a provider may handle data. A service can exclude prompts from foundation-model training while still retaining conversation records for the user, administrator, service operation, or a defined safety or feedback purpose. Microsoft, for example, describes stored Copilot activity history separately from its foundation-model training policy. Google’s Workspace history setting also has retention behavior of its own.
Read policy language for its scope: which account type and product it covers, whether it refers to foundation models or service improvement, and how optional feedback is treated. For Workspace, Google’s stated protections apply to qualifying accounts and specify the condition “without permission”; they are not a blanket statement for every Google account. For Anthropic, do not use a consumer-plan training explanation as proof of Claude Enterprise or API terms; obtain the commercial terms for the product and contract in use.

Retention is a lifecycle, not a single number
Ask what data is covered by a retention setting: chats, uploaded files, project content, API inputs and outputs, activity records, feedback, or safety-related records may follow different rules. Also distinguish a user deleting a conversation from backend deletion, an administrator setting a retention period, and an organization’s legal or compliance retention policy.
Anthropic’s stated exceptions
Anthropic says commercial API inputs and outputs are normally deleted from backend systems within 30 days, subject to exceptions and agreements. Its Privacy Center states that inputs and outputs flagged as Usage Policy violations may be retained for up to 2 years, and associated trust-and-safety classification scores for up to 7 years. Google’s history-off setting
Turning off Google Workspace Gemini conversation history does not mean immediate erasure: Google says existing chats can remain in accounts for up to 72 hours for service and feedback processing. When history is on, administrators choose among the listed 3-, 18-, and 36-month periods; 18 months is the default. These are vendor-published policy settings, not independent measurements. Project and feature boundaries
Claude Enterprise has separate chat and project retention behavior: project retention takes precedence, projects are retained indefinitely by default, and some features are outside custom retention controls. OpenAI’s ZDR statement applies to qualifying API coverage, not automatically to every ChatGPT plan or feature. For any provider, check connected apps, agents, projects, and third-party models individually rather than assuming the main chat control covers them.

Administrator access and auditability are separate controls
A training exclusion does not tell you whether administrators can find activity, impose retention, or restrict access. Microsoft documents Content Search and Purview controls, while Google Workspace provides inherited controls such as DLP and data-region policies and lets administrators scope Gemini access. The relevant control set depends on the organization’s platform configuration and edition.
For Microsoft 365 Copilot Chat at work or school, administrator search and audit can include prompts, Bing searches triggered by Copilot, and responses. Bing searches have separate governance from Copilot chat data; Microsoft describes Bing as an independent controller. Residency and inference location are not interchangeable
“Where is my data stored?” is not the same question as “Where is this request processed?” At-rest residency describes where stored content resides; inference location concerns where a model processes a prompt. A region commitment may cover one without covering the other, and routing may depend on workload, model, eligibility, and service availability.
OpenAI explicitly distinguishes at-rest storage options from in-region inference options. Microsoft says requests usually route to nearby data centers but can be routed elsewhere under high utilization, and its documentation identifies an EU Data Boundary exception for Anthropic-provided models as subprocessors. Anthropic’s reviewed material does not provide a complete geography matrix, so confirm the precise model and region commitment directly in the applicable terms. How to evaluate a chatbot for your organization
- Identify the exact account and product. Record the service name, account type, Workspace or Microsoft tenant edition, OpenAI plan or API endpoint, and Claude commercial product. Do not compare consumer-account defaults with enterprise commitments.
- Map the data paths. List prompts, responses, uploaded files, connected-app content, feedback, activity logs, safety records, and any Bing queries or third-party model calls. Ask whether each path is stored, who can access it, and when it is deleted.
- Set retention and deletion requirements. Compare required periods with the controls available to administrators, note defaults and exceptions, and determine how user deletion, project retention, legal holds, and backend deletion interact.
- Confirm training and feedback terms separately. Get written confirmation for the relevant product and contract about training use, model improvement, human review, optional feedback, and any exception categories.
- Specify geographic commitments precisely. Confirm storage region, inference region, model routing, subprocessors, and what happens during capacity constraints. Ask whether the assurance covers every feature in the proposed workflow.
- Validate controls in the tenant before launch. Have the administrator verify history, retention, search/audit, DLP, data regions, access restrictions, and deletion configuration. Keep the applicable order form and data-processing terms alongside the configuration record.
