Buy Windows or Office from Microsoft, a retailer you trust, or as part of a PC purchase whose seller can document the license. Before paying, confirm the exact product and device terms, check who is selling it, and keep the receipt and entitlement records. An activation success message alone does not prove that a copy is genuine.
What makes a Windows or Office license legitimate?
Microsoft describes genuine Windows as software published by Microsoft and properly licensed. Its guidance recommends buying directly from Microsoft or a store you know and trust. A new PC with Windows preinstalled can also be a legitimate route, provided the seller can substantiate the license. Microsoft’s genuine Windows guidance explains the distinction.
For Office, use Microsoft or another credible source, and make sure the product and its terms match what you need. A product key is not the license by itself: the seller, provenance, edition, permitted devices, and applicable terms all matter.
Compare purchase routes before you buy

For digital purchases, a retailer may deliver the key by email or through a digital locker; a Microsoft website purchase may be documented in confirmation email or account order history. Store those records somewhere you can retrieve them if activation fails or you replace hardware. Microsoft lists key locations by purchase route.

Do not treat activation as proof of authenticity
Windows activation associates a product key or digital license with a device’s hardware configuration. It can tell you whether the entitlement activates on that device, but Microsoft explicitly says activation does not evaluate whether the software copy itself is authentic or guarantee that it is genuine. A copy that activates is therefore not, by that fact alone, verified as legitimate. Microsoft explains this limitation.
Activation may fail if a key has already been used on more devices than its terms allow, if the software is counterfeit, or if a pre-owned PC seller reused a key. A substantial hardware change can also require reactivation. Linking a digital license to a Microsoft account can help with reactivation after a hardware change, but it does not guarantee that every change will reactivate automatically. Check Office’s product and device terms
Office is not one interchangeable license. Decide whether a one-time purchase or a Microsoft 365 subscription suits your needs, how many people and devices need access, and whether free browser-based Office is enough. Microsoft says Office on the web is available free by signing in at Microsoft365.com. The available sources do not establish current prices or a complete feature-by-feature comparison, so check the current listing and terms for the precise product you are considering. For a one-time purchase such as Office Home, Office Home & Student, or Office Home & Business, Microsoft’s transfer guidance says installation is for one PC or Mac. For Office 2024 and Office 2021, it allows transfer to another computer belonging to the same licensee no more than once every 90 days, except sooner when hardware fails; Office must be removed from the old device. Microsoft also describes a separate process for transfers to another person in the European Economic Area (EEA), subject to applicable law and identity verification. Why unusually cheap standalone keys are risky
Microsoft warns that Office keys sold separately from the software may be stolen or fraudulently obtained, and could later be blocked. Keys can also appear on counterfeit labels or be distributed with media not authorized for resale. A very low price is not proof of fraud by itself, but an unexplained key-only listing with no identifiable seller, receipt, or clear license terms is a reason to walk away. If an Office key does not work or later becomes blocked, keep proof of purchase and contact the seller to request a refund. Microsoft advises removing counterfeit Office and installing a genuine copy instead. If your needs are limited to browser apps, Office on the web is a legitimate free option. What to do with a pre-owned PC or suspicious installation
Before buying a used or refurbished PC
- Ask the seller to identify the Windows license included and show the supporting purchase or refurbishing documentation.
- Confirm that Windows activates on the machine, while remembering that activation is not an authenticity audit.
- Do not accept a reused key or a verbal assurance as a substitute for licensing evidence. Microsoft’s guidance notes reused keys as a possible activation failure and advises using the original key or purchasing a new license if the installed copy cannot be activated. If a key fails or the copy looks questionable
- Check the receipt, order history, product edition, and device or transfer terms against the seller’s listing.
- For a key bought separately that fails or is later blocked, contact the seller with the receipt and request a refund.
- For Windows activation problems, use Microsoft’s activation troubleshooting guidance and contact the seller if the entitlement cannot be substantiated. Do not treat a successful activation as proof of authenticity.
- For Office that appears counterfeit, remove that installation and obtain a genuine copy from Microsoft or another credible source; use Office on the web if its browser apps meet your needs.
