Both actions remove a message from your inbox, but Archive keeps it in the Archive folder, while Delete sends it to Deleted Items, where it may eventually be purged. If your goal is to free mailbox space, the regular Archive folder is not the solution.
Archive or delete: what happens to the message?

Microsoft describes Archive as a place for messages you are done working with but might refer to later. Its Outlook.com folder guidance notes that moving such mail to Archive helps reduce inbox clutter.
Does archiving free up Outlook mailbox space?
No—not when you use the regular Archive folder. It moves messages out of the inbox, but does not reduce mailbox size. Microsoft distinguishes this folder from Online Archive, a separate Microsoft 365 enterprise feature used for mailbox-size management. Whether Online Archive is available depends on your work account and organization configuration.
Can you recover a deleted email?
While it is still in Deleted Items
If the message remains in Deleted Items, move it to another folder to restore it. Microsoft’s recovery guidance covers recovering items that are no longer visible there as well.

After it leaves Deleted Items
Recovery depends on the service and account policy. For Outlook.com, Microsoft says items are automatically deleted from Deleted Items after 30 days and that items removed from Deleted Items can be recovered for 30 days. The recovery steps must be performed on a computer, not in a mobile browser. These time frames apply to Outlook.com guidance, not every Outlook account.
For work or school Exchange accounts, an administrator may set how long deleted items remain recoverable. If a message is missing from both Deleted Items and Recoverable Items, you may need to contact your administrator. Treat Deleted Items as a temporary holding place, not long-term storage.

Does Archive work the same way in every Outlook account?
Microsoft lists Archive as a default folder for Microsoft 365, Outlook.com, and Exchange accounts. With POP or IMAP accounts, you may need to create an Archive folder or designate an existing folder. Available archive methods can also vary by account type and Outlook version. For Microsoft 365 and Exchange accounts, Microsoft says the standard Archive folder cannot be relocated.
Shortcuts and automatic archiving behavior also depend on the Outlook version. For example, AutoArchive is not available in new Outlook for Windows, so do not assume an archive schedule applies to every app.

Quick decision rule
- Choose Archive if you may need to refer to the email again but do not want it in your inbox.
- Choose Delete if you intend to discard the email and accept that recovery may be time-limited.
- Check for Online Archive if your goal is to reduce mailbox size in a work account; the standard Archive folder will not do that.
