For a custom-domain address, look up the domain’s MX records to find its configured destination for incoming mail. To see the servers a particular message passed through, inspect that message’s full headers. Neither check identifies every company that may store, filter, forward, archive, or otherwise process your email; for that, also review account settings and the provider’s privacy and data-processing disclosures.

What you can learn from each check

Check What it can show What it cannot establish
Domain MX records The mail servers configured as the domain’s public incoming destination. Every service involved in mailbox storage, outgoing mail, filtering, forwarding, or support.
A message’s full headers Technical details, including the servers recorded along that message’s route. The complete processing arrangement for an account or the route of every message.
Provider privacy and data-processing disclosures, plus account or admin settings Provider-described processing relationships and configured services, subject to the applicable terms and setup. Details not covered by the disclosure or settings you can access; the answer may vary by plan, region, and configuration.

A DNS host and an email host can be different companies. Follow the mail destination in the MX records rather than assuming the registrar, DNS dashboard, website host, or email app is the mailbox provider.

Check the domain’s MX records

Find the domain

For an address such as name@example.com, query example.com. With a free consumer address on a provider’s own domain, the service brand is often apparent from the address. A custom-domain address can use a separate email provider, so the domain alone may not reveal the mailbox host.

Run a lookup and interpret the result

  1. Open a terminal on a system with dig and run dig example.com mx +short, replacing example.com with the domain you want to check. Cloudflare documents this command for checking whether MX records resolve correctly: Troubleshooting email issues.

  2. Record each returned mail-server hostname and its priority. If the lookup tool displays priorities separately, keep them with the corresponding host. Multiple entries may reflect a setup involving more than one mail-related destination; do not assume they are redundant or infer a provider from a hostname alone.

  3. Compare the exact results with the email provider’s current DNS setup instructions. Cloudflare’s Google Workspace guide lists Google mail exchangers including aspmx.l.google.com and four alt hosts; its guide also notes that Cloudflare Email Routing and Google Workspace MX records cannot coexist on the same domain because both require control of MX. Microsoft 365 setup uses a domain-specific mail.protection.outlook.com destination. These are examples, not a timeless or exhaustive list; use the provider’s current instructions for your domain.

MX records identify the domain’s configured incoming route, not a full inventory of companies that handle messages. For background, Cloudflare explains what a DNS MX record is.

Inspect the route of a particular message

Full headers can reveal the servers recorded on the path of one delivered email. This is a message-level view, different from the domain-level destination shown by MX records.

Gmail

  1. Open the message in Gmail.

  2. Select More and then Show original. Google’s instructions are at Trace an email with its full header.

  3. Review the Received entries for the recorded mail-server route. Google’s help page also describes analyzing a copied header with Google Admin Toolbox Messageheader.

Outlook

Microsoft’s header instructions describe View > View message details in new Outlook and File > Properties in classic Outlook for Windows. The available path depends on the Outlook version; see View internet message headers in Outlook. Read the Received entries as evidence about that message’s route, not proof that all mail follows the same path.

Headers can expose email addresses, timestamps, routing, and other metadata. Avoid pasting a private message’s full headers into an unrelated public analyzer.

Do not mistake authentication results for a provider list

Headers may include Authentication-Results showing checks such as SPF or DKIM. Those results help assess whether a message authenticated; they do not identify every company processing it or guarantee delivery. Google notes that authenticated mail can still fail to reach recipients in its guidance on checking whether a Gmail message is authenticated. Microsoft also describes SPF, DKIM, and DMARC as parts of mail-flow and authentication setup in its mail-flow best practices.

Find services beyond the incoming mail host

To investigate other processing relationships, make a separate check of the account and organization configuration. Depending on how the email is set up, relevant services may handle forwarding, filtering, archiving, outbound delivery, or administration. Their presence cannot be inferred from an MX lookup or one sample header alone.

  • Account or admin settings: Review accessible routing, forwarding, filtering, and other mail rules. Organization-managed accounts may have administrator-controlled settings.
  • Provider disclosures: Check the privacy notice, data-processing terms, and current subprocessor disclosure that apply to your provider, plan, and region.
  • Configuration context: Record whether the address uses a mailbox, forwarding-only routing, or another arrangement. A DNS service manages records; it is not necessarily the mailbox host.

A complete processor list depends on the specific provider, plan, geography, and configuration. Public DNS and a message header cannot establish the full contractual or operational picture.

If you are choosing a provider or changing hosts

Use more than a hostname match when evaluating a setup or planning a move:

  • Function: Distinguish mailbox hosting from forwarding-only routing, DNS hosting, and mail-client software.
  • Control: Identify who can change the domain’s MX records, forwarding rules, and administrator settings.
  • Processing transparency: Review the applicable privacy and data-processing terms, subprocessor disclosures, and geography.
  • Authentication setup: Check support and instructions for SPF, DKIM, and DMARC. Authentication is not a delivery guarantee.
  • Migration sequence: Confirm the target provider’s exact DNS records and plan the transition before replacing MX entries. Microsoft recommends adding users before changing MX during migration to avoid interrupting mail; follow the instructions for your providers and setup.
