If a Google Sheets formula stops including new data after you add rows or columns, first inspect the formula’s actual references. A fixed range may end before the new data, a copied formula may have shifted a reference, or an array result may have nowhere to expand. The right fix depends on which of those is happening.
1. Check which cells the formula actually references
Select the formula cell and inspect the formula bar. While editing, Sheets highlights the referenced cells; compare that highlighted range with the rows and columns the calculation is meant to use. Google Sheets may offer a formula correction suggestion, but treat it as a proposal: confirm that the changed reference includes the intended inputs and produces the expected result before accepting it. For example, =SUM(A2:A100) sums only the stated range. If new records are added below row 100, they are outside that range unless the reference is extended. A formula can still return a plausible number rather than an error, so check coverage as well as whether the cell displays an error.
2. Choose a reference that fits how your data grows
There is no single best range style for every sheet. Use a named table reference for structured data, a whole-column reference when simplicity matters more than limiting the calculation area, or a bounded range when the data has a known endpoint.

Use a table reference for a structured dataset
If your data has consistent columns and headers, convert it to a Google Sheets table and reference the column by name. Google’s example changes =SUM(C2:C7) to =SUM(DeptSales[Sales Amount]). The named reference follows the table elements when data is added or removed, which avoids manually chasing a row endpoint in this kind of dataset. The table must exist and its column header must match the reference.
Use an open range when you want a simple expanding column
A reference such as A:A includes future entries anywhere in column A, so it avoids the fixed-endpoint problem. It can also make a formula process more cells than necessary; Google warns that open ranges may require additional calculation work in large sheets. Keep a bounded range when the endpoint is intentional
A range such as A2:A100 can be appropriate when the dataset is deliberately limited. If records are expected to go past its endpoint, adjust the reference or choose a range style that better matches the way the data grows.
3. Check whether an array result has room to expand
If one formula is meant to return results for multiple rows or columns, check its output area. Array results can spill below and to the right; cells that already contain unrelated content can prevent the result from appearing as intended. Clear or move conflicting content if those cells should be part of the formula’s output. Google explains this behavior in its guide to arrays in Sheets.

ARRAYFORMULA can return values across multiple rows or columns. For example, Google documents =ARRAYFORMULA(A1:C1+A2:C2). However, many array formulas expand into neighboring cells automatically, so an explicit ARRAYFORMULA wrapper is not always needed. See Google’s ARRAYFORMULA help.
4. Lock references that should not move when you copy a formula
When you copy a formula, relative references shift according to the destination cell. Dollar signs lock the relevant coordinates:

Choose the form that matches the direction and pattern in which the formula will be copied. Locking coordinates controls how a reference moves when copied; it does not make a bounded data range expand when new records are appended. Google discusses absolute references in its guidance on optimizing data references.

- Select the formula cell and inspect its formula and highlighted references.
- Compare the referenced cells with the full set of inputs the calculation should include, including any newly added rows or columns.
- If the range is too short, extend it or switch to a suitable table or open-range reference. If references moved after copying, lock the coordinates that should stay fixed.
- If the formula returns multiple cells, make sure the intended output area is clear.
- Check the result against a simple known input or independently calculate a small sample when accuracy matters.
These checks distinguish an obvious formula error from a quieter problem: a formula may calculate successfully while leaving out new records.
