You can change a work or school Microsoft 365 profile picture from Outlook on the web, classic Outlook for Windows, or the My Account portal. Microsoft’s current instructions describe changing or adding a picture, but do not document a self-service way to remove the account-level photo; ask your organization’s administrator if you need it removed. These steps do not apply to a picture attached to an individual Outlook contact.
Change your picture in Outlook on the web
This route is for a work or school Microsoft 365 account. In Outlook on the web:
- Select your profile picture at the top of the page.
- Select View account.
- On the My account page, select your profile picture.
- In Change your photo, select Upload a new photo.
- Choose the image file, then select Apply.
Microsoft says the new picture appears the next time you sign in to Microsoft 365. Some account details, including your name or job title, may be supplied by your IT or HR department. Microsoft’s Outlook on the web instructions cover the profile-photo workflow.

- In Outlook, select File to open Account Information.
- Select Change beneath your current photo. If the link is missing, your organization may manage the photo or account details.
- When Outlook opens a browser, sign in if prompted. Select the profile picture in the browser, then select it again.
- In Change photo, select Change photo, locate the image, and open it.
- Adjust the image size, zoom, or rotation if needed, then select Save.
Microsoft lists JPG, PNG, GIF, BMP, and TIF as usable formats for this workflow. It says the change can take up to 48 hours to appear. The instructions apply to Outlook for Microsoft 365 and Outlook 2024, 2021, 2019, and 2016. See Microsoft’s classic Outlook guidance.
Use the work or school My Account portal
You can also change the same work or school account picture without starting in Outlook:

- Go to myaccount.microsoft.com and sign in with your work or school account.
- Select the edit icon on your current photo.
- Upload or change the image, resize it if needed, and save.
Your organization may restrict this control. Microsoft notes that IT or HR can manage profile details; see Microsoft’s work or school profile-photo instructions.
Why you may not see a photo-editing control
If the edit option is absent or disabled, the picture may be managed by your employer or school. Contact your organization’s IT administrator or HR department to ask whether you can change it and what process applies. The same organization controls may affect other profile details.

How long does a changed picture take to appear?
Update timing depends on the route and where the picture is displayed, so do not assume every Microsoft 365 surface refreshes at once.
- Outlook on the web: Microsoft says the new photo appears the next time you sign in to Microsoft 365.
- Classic Outlook: Microsoft says it can take up to 48 hours for the new photo to appear.
- Profile-card changes: Microsoft says changes may take up to 24 hours in the new profile experience and up to 36 hours for others. Changes made through the Delve or SharePoint editor may take up to 72 hours.
The profile-card route may show Update your profile followed by a camera icon, and then either an Edit details page or a Change your profile photo window depending on your setup. Can you remove your Microsoft 365 profile picture?
The current Microsoft work or school photo instructions describe adding or changing a picture, but do not document a user-facing self-service action to delete the account-level photo. If you need it removed, ask your organization’s administrator; public guidance does not establish what removal procedure or policy your organization uses.
Removing a contact picture is different
Outlook’s Remove Picture command applies to a picture saved on an individual contact, not your Microsoft 365 account profile photo. Microsoft says pictures added to a saved contact are visible only on your computer. To remove one, edit that contact in People or Contacts and remove its picture. See Microsoft’s contact-picture instructions.
Do not confuse Microsoft 365 with legacy Outlook Web App
Microsoft has separate Outlook Web App instructions for organizations using Exchange Server 2013 or 2010. Those older instructions describe a 500 KB limit, but that limit should not be treated as a rule for the current Microsoft 365 workflow. Use the steps for your account and version rather than carrying over a legacy Exchange limit. The older article is Microsoft’s Outlook Web App guidance.
