AI email assistants do not all access messages the same way. Some are built into an email service, some connect to an account you authorize, and workplace assistants may retrieve permitted information through an organization’s data system. To understand what happens to your mail, check access permissions, retrieval behavior, retention, and model-training rules separately.
How an AI assistant gets access to email
There are three common patterns, and a product may combine them:
- Built-in email feature: The assistant is part of the email service. For example, Google describes Gemini in Gmail processing information needed for a specific task, such as summarizing a long email. Google’s April 7, 2026 explanation is about Gemini in Gmail; it does not establish the behavior of every Gemini product or account program. Google’s explanation of Gemini in Gmail.
- Connected outside service: You connect an account and authorize access. Microsoft says users connect supported services to Copilot and grant permission; Copilot can then retrieve emails and other service data for a query, subject to existing permissions. - Workplace data assistant: A work assistant may use an organizational data system. Microsoft says Microsoft 365 Copilot accesses organizational content through Microsoft Graph and surfaces only content that the individual user is allowed to view. These examples do not establish a universal technical pipeline. The cited sources do not specify a common method for selecting messages, handling attachments, caching data, or processing every layer of a request.
What permissions determine
Authorization is product- and account-specific. A connected assistant’s access depends on the scopes or permissions you approve, the permissions already attached to the email account, and—in a workplace—the organization’s configuration. Microsoft says its connected services use existing permissions, while Microsoft 365 Copilot respects the user’s access to organizational content. Those statements should not be generalized to unrelated assistants.

Before connecting an account, review the authorization screen and identify which account is being connected, what data access is requested, and whether the connection is controlled by an administrator. In a work account, ask the administrator what policies or connectors are enabled. Do not infer from a product name alone that the assistant can see every message—or that it can see only the message currently open.
Does the assistant search the inbox continuously?
Some documented examples describe retrieval in response to a user request rather than a continuously maintained personal index. Microsoft says Copilot retrieves connected-service data to answer queries. OpenAI’s Google-app FAQ likewise describes access for supported requests, governed by Google account permissions and Workspace settings; it says an ordinary connection does not automatically create a personal synced index. That does not prove how every assistant works. A provider may offer separate indexing or synchronization features, and the available sources do not settle the behavior of every third-party service. Check documentation for the exact feature and connection you use.
What happens to messages, prompts, and answers afterward?
Access and retention are different questions. A service may retrieve information to answer a request without keeping a separate copy of the source email, while still retaining the prompt or answer in its conversation history.

- Microsoft connected services: Microsoft says Copilot does not store a separate copy of connected-service data. However, a response containing connected data can remain in conversation history until you delete the conversation. Microsoft’s connected-services documentation.
- Gemini in Gmail: Google says information is processed for the specific requested task and is not retained afterward. This is Google’s statement for Gemini in Gmail, not a guarantee about other Google AI services or account contexts. Google’s explanation of Gemini in Gmail.
- Microsoft 365 Copilot at work: Microsoft Learn says prompts and responses are stored as interaction content and may be governed by organizational retention policies. Deleting an assistant conversation and deleting the underlying email are therefore separate actions. Google Workspace also says Workspace data is not used to train or improve underlying generative AI models outside Workspace without permission, and documents an exception for its Workspace Experiments program. Does an assistant train on your email?
Training policies depend on the named product, account type, and data context. Google says Gemini in Gmail does not train foundational models on personal emails. Microsoft says Microsoft 365 Copilot prompts, responses, and accessed Microsoft Graph data are not used to train foundation models. These provider statements cover those specified services and contexts; they do not establish a rule for every email assistant, consumer chatbot, or third-party integration.

For a specific account, look for a current statement that identifies the feature and plan you use, whether it refers to source emails or interaction data, and whether administrator settings or a named program create exceptions.

- How is access granted? Check whether the feature is built into the mail service, requests an account connection, or is managed by your workplace. Read the permission screen rather than assuming all assistants request the same access.
- When does it retrieve messages? Find out whether it retrieves information for each supported request or uses a separate indexing or sync process. If the documentation is unclear, treat the behavior as unknown.
- What is retained? Distinguish the original email from copied data, prompts, and generated answers. Check retention duration and whether deleting a conversation removes only the assistant’s record.
- Is data used for training? Look for a policy that covers your exact product and account type. A statement about one service or enterprise plan does not automatically apply to another.
- What can an administrator control? For work accounts, check organizational permissions, connector settings, and retention policies with the administrator.
- How do you revoke access? Review the account’s connected-app or authorization settings. Revoking an assistant’s permission is distinct from deleting emails or assistant conversation history.
