Choose an offline AI task manager by checking two things separately: whether you can work with tasks without internet, and which AI features still need a connection. Then verify how changes sync, where task data is stored, which devices are supported, and how your information is handled. An offline screen that only shows cached tasks is not the same as an app that lets you create, edit, complete, and organize them offline.

What “works offline” should mean

Test the actions you rely on, not just whether the app opens without a connection. A useful offline workflow should let you view current tasks and make the changes you need while disconnected. Check these actions individually:

  • Read task details and lists.
  • Create tasks and edit existing ones.
  • Mark tasks complete or reopen them.
  • Organize tasks, such as moving them between lists or changing their order.

Then reconnect and confirm when those changes sync. Ask what happens if the same task was edited on another device while your phone was offline, and how the app handles duplicates or conflicting edits. The product information cited below does not establish comparative conflict-handling behavior, so verify it directly rather than assuming synchronization is seamless.

Separate offline task work from online AI

AI features may send task text to an AI provider and commonly need a network connection. An app can therefore support offline task entry and organization while disabling AI until you are online. Check each feature—such as voice capture, task breakdown, summaries, or scheduling—rather than treating “AI” as one capability.

Check sync, storage, and recovery

Offline support is only part of the data question. Find out where tasks live, how they reach other devices, and how you would recover them if a device is lost or the service is unavailable. Distinguish among data stored locally on a device, data held in a vendor’s cloud account, and a server you host yourself.

  • Sync destination: Identify whether changes go to a vendor account, an account supplied by your workplace, or your own server.
  • Sync timing: Check whether uploads begin automatically on reconnection and whether you need to open the app.
  • Conflicting edits: Find out what the app does when two devices change the same task before syncing.
  • Backup and recovery: Determine whether you can restore tasks after device failure or account loss, and whether local-only changes are included in backups.
  • Account dependencies: Check whether an account, work license, Exchange mailbox, API key, or self-hosted server is required for the features you need.

The distinction can affect your choice: Microsoft’s support page ties work and school task sync and storage to Exchange Online, while Will Be Done describes a self-hostable option. Those descriptions do not, by themselves, establish which product will best meet a particular recovery or privacy requirement.

Verify platforms and migration before switching

List the devices you need to use today—phone, desktop, and web browser—and confirm that each has a currently available client. A planned or “coming soon” release does not satisfy a present-day requirement. Do.’s page lists iPhone/iPad and Android availability while describing desktop availability as forthcoming, so confirm the current status before choosing it for a desktop-dependent workflow. If you are moving from another task app, check whether the new one imports your lists and task details. Review privacy before enabling AI

Task lists can contain personal details or work information. Before using an AI feature, find out what text is sent, which provider receives it, whether the connection is direct or routed through the app’s service, and whether AI can be disabled. Treat vendor privacy statements as statements of the vendor’s practices, not independent audits.

Do. says its current AI setup uses a bring-your-own-key model: task content goes from the device to the provider selected by the user, and the user pays that provider. The company also says it does not sell task data or use tasks to train AI models. A practical way to evaluate an app

  1. Write down your must-have offline actions. Include viewing, adding, editing, completing, and organizing tasks as applicable.
  2. Test with the connection disabled. Open the app, attempt each action, and note whether changes are accepted or merely displayed from a cache.
  3. Reconnect and inspect the result. Confirm that changes appear where expected and ask how concurrent edits are resolved.
  4. Check AI feature by feature. Verify which actions require internet and where task content is sent.
  5. Confirm devices, accounts, and imports. Make sure the platforms and migration paths you need are available now, not only planned.
  6. Decide whether the storage model fits. Account for cloud dependence, self-hosting, backups, and recovery—not just offline access.
