For a chart that should be visible as soon as the message opens, an inline PNG is a practical choice. Use a PDF when a separate, printable copy is more useful, or share a cloud link when recipients need the source or ongoing updates.
Choose how the recipient should use the chart

These options are documented for particular products, not guaranteed to render identically in every email app. If the chart is business-critical, test the message using the delivery path and recipients that matter.
Export a chart from Google Sheets
Google Sheets lets you download an individual chart as an SVG, PNG, or PDF. Exporting from the chart itself gives you a file to insert or attach, without capturing the surrounding browser window or spreadsheet interface. Google’s instructions are for Sheets on desktop: Save or publish your chart.
- Open the spreadsheet containing the chart.
- Select the chart and open its more-options menu.
- Choose the download option and select SVG, PNG, or PDF.
- Use PNG for an inline image, or attach the format that best fits how the recipient needs to view the chart.
Google’s documentation establishes these download formats; it does not promise that every email client will handle every format in the same way. If broad, straightforward viewing is the priority, choose PNG and test the message. If recipients need a document-like copy to print or zoom, PDF may be more appropriate.

Insert the chart inline in Outlook
To place a chart in the message body, first export it as an image, then insert the image where it belongs. Microsoft’s Outlook instructions describe inserting pictures inline as well as attaching files: Add pictures or attach files to emails in Outlook.
- Start a new message and place the cursor where the chart should appear.
- Select Insert > Pictures, then choose the exported chart image.
- Add a short sentence explaining the chart’s main finding. Include key figures in text if readers need to compare or quote exact values.
- Send a test message to yourself or a colleague when appearance matters, and check it in the relevant email app.
Inline means the picture is placed within the message body; it does not mean the chart remains editable or connected to its spreadsheet. Microsoft’s documentation describes Outlook behavior, not a guarantee for every recipient client, account setting, or message format.
Attach the chart or share its source
Attach a file
Attach the exported image or PDF when the recipient should save or open a separate chart file. Attachments are distinct from inline pictures: Outlook’s support page explains that attachments appear above the message body, while pictures can be inserted within it. An attachment can be a useful fallback when inline display is not appropriate.

Share a OneDrive link
Use a cloud link when recipients should access the shared file or source rather than only a static copy. Set permissions for the intended audience and confirm that recipients can open the link. Microsoft’s Outlook instructions describe a warning and an option to attach a copy when intended recipients may not have access; if access is uncertain, an attachment or inline export can prevent the chart from being inaccessible.
Link or embed an Office object
Some Outlook and Office workflows support inserting a linked or embedded object, such as an Excel chart. This can suit a sender who specifically needs an Office-object workflow, but do not assume the object will behave the same way in all Outlook editions or recipient email apps. Make the chart understandable without the image
A chart image may communicate a visual pattern, but it is not a substitute for a textual explanation or access to the underlying values. Add a plain-language takeaway and, when exact numbers matter, include those values in the message or provide an accessible source representation. - State the main conclusion in ordinary email text.
- Include key values in text or a simple table when readers need precise comparisons.
- Provide a link to the source data or an accessible representation when appropriate.
- Do not make the image the only place where the message’s conclusion appears.
If you automate email delivery, Microsoft Graph documents MIME messages that can contain alternative plain-text and HTML content, and attachments with inline or attachment disposition. That is implementation context for automated senders, not a guarantee of how a particular client renders a message: Get MIME content of a message using the Outlook mail API.
Automate chart email from Excel
For an Excel reporting workflow, Microsoft’s Office Scripts sample demonstrates emailing images of a chart and table with the Office 365 Outlook connector. Treat it as a starting example for that environment, not as proof that the same script will work unchanged in every tenant or automation setup: Email the images of an Excel chart and table.

Before relying on an automated send, confirm that the chart image is generated as expected, that recipients can access any linked source, and that both the text and image arrive in the desired format. Test with the specific accounts and clients used by the audience.

Why an inline image may not appear
Some mail settings block external images. Microsoft’s Outlook documentation distinguishes externally hosted images from images included as attachments: What is Block External Images in Settings? If a chart is missing, check whether it was inserted into the message or referenced from an external URL, and consider attaching the export or sharing a permissioned file link instead. Do not assume that an image visible in the sender’s compose window will appear identically to every recipient.

The picture is missing for a recipient
Check whether the image is externally hosted and whether the recipient’s mail settings block external images. If you need a dependable alternative for that recipient, attach the exported file or share a cloud link with working permissions.

The recipient cannot open the link
Review the file’s sharing permissions and confirm that the recipient’s account is included or otherwise allowed. If access cannot be assured, send an attachment or put an exported image inline.
The chart looks different than expected
Check the exported file itself, then inspect a test email in the relevant client. Outlook’s instructions establish its supported insertion workflow, not identical rendering across all clients, versions, and recipient policies.
The image is clear, but the data is hard to use
Add the conclusion and important values as text, or include a source link or accessible representation. A static image may not expose the values and context readers need to explore or verify the chart.
