For most Windows 11 users, Microsoft’s best screenshot app is Snipping Tool. It captures a region, window, full screen, or free-form shape; lets you annotate, crop, extract text with local OCR, save and share; and can record a selected area as video. Choose OneNote when the image belongs beside research or meeting notes, and use a Microsoft 365 desktop app when the finished capture needs to go straight into Word, PowerPoint, Excel, Outlook, or another supported document.

These are workflow recommendations based on documented capabilities, not a claim that one app is objectively fastest. Microsoft’s Windows 11 Snipping Tool combines the former classic Snipping Tool and Snip & Sketch experiences. Snip & Sketch is therefore best understood as the predecessor experience, not a separate Windows 11 choice.
Snipping Tool: the best all-purpose Windows 11 choice
Capture any common shape
Press Windows logo key + Shift + S to open the capture overlay. Choose Rectangular snip, Freeform snip, Window snip, or Fullscreen snip, then select what you need. The image is copied to the clipboard and opens in the Snipping Tool editor through the notification or app window.
- Rectangular: drag a precise box around a control, paragraph, image, or part of a page.
- Freeform: draw an irregular outline when a rectangle would include unwanted content.
- Window: select one application window without manually lining up its edges.
- Fullscreen: capture every display surface included by the command.
For a full-screen image copied directly to the clipboard, press Print Screen. Windows settings can determine whether that key opens the snipping overlay or performs its traditional clipboard capture.

Edit before you save or share
The editor supports pen and highlighter marks, shapes, emojis, erasing, undo and redo, and cropping. You can save the result, copy it, or share it without opening another graphics program. This is enough for most bug reports, instructions, support tickets, and quick references.
Extract and protect text
Open Text actions after a capture to run OCR. You can copy all recognized text and use the quick redaction action for email addresses or phone numbers. OCR is processed locally on the Windows device. Check the result before relying on it: small type, unusual fonts, low contrast, and text over images can produce recognition errors.
Record a screen area
Press Windows logo key + Shift + R to open the video overlay, select an area, and start recording. The recording can open in Clipchamp, where you can add captions or audio. This is suited to a short demonstration or bug reproduction; it is not a replacement for a full production video workflow.
Use delay for menus and transient states
In Snipping Tool, choose the delay control and select 1, 2, 3, 4, or 5 seconds. Start the delay, open the menu or hover state you need, and let the capture occur. A delay is often the difference between documenting a hidden menu and capturing only the page behind it.
Automatic saving and hardware-qualified features
Snipping Tool can automatically save captures to the Screenshots folder. Its Settings page lets you change that behavior, so verify the option if files are not appearing where expected. Microsoft also lists Perfect Screenshot and Color picker as features available only on Windows 11 AI PCs/Copilot+ PCs; do not assume those tools are present on every Windows 11 computer.

OneNote: best for screenshots that belong with notes
Insert a clipping on a page
- Bring the source content into view.
- Switch to OneNote and place the cursor where the image should appear.
- Select Insert > Screen Clipping, or use the documented Alt+N+R shortcut.
- OneNote minimizes temporarily. Drag over the source area.
- The clipping appears as an image at the cursor position and is also copied to the Windows Clipboard.
This is ideal for a research notebook, meeting record, class notes, or a page where the screenshot needs surrounding explanation. OneNote is a destination-focused workflow rather than a replacement for Snipping Tool’s editor.
A clipping is a static image: it is a snapshot of the source, does not update when the source changes, and has no live link back to the original page. If the information may change, add the source URL or date as text beside the image.
Microsoft 365 desktop apps: capture into the document you already have open
When your destination is Word, PowerPoint, Excel, Outlook, or another supported Microsoft 365 desktop application, use Snipping Tool or Print Screen and paste the clipboard result directly into the document. With Windows+Shift+S, the desktop dims, you select a rectangular, free-form, window, or full-screen mode, and the result is available to paste. You can also open it in Snipping Tool first for ink, highlighter, eraser, or cropping.

A practical screenshot workflow
- Decide the destination first. Use Snipping Tool for a standalone image or recording, OneNote for notes, and a Microsoft 365 app for a report, presentation, workbook, or message.
- Prepare the source. Close unrelated windows, dismiss personal information, and position the page so the relevant state is visible.
- Choose the capture mode. Use Windows+Shift+S for images, Print Screen for a direct full-screen clipboard copy, or Windows+Shift+R for video.
- Use a delay when needed. Select 1–5 seconds before opening a menu, tooltip, or other transient interface.
- Review the result. Crop excess content, annotate important areas, and run Text actions if you need OCR. Verify recognized text manually.
- Save or paste. Save to a known folder, paste into OneNote or Microsoft 365, or share from the editor.
- Keep context. For a static clipping, record the source and date beside it if the underlying information can change.
Troubleshooting common problems
Windows+Shift+S does nothing
Press the keys together rather than one at a time, then check that the Snipping Tool is installed and updated. If the shortcut opens but no image appears, click the notification or open Snipping Tool from the Start menu to reach the editor.

Print Screen opens the wrong behavior
Print Screen can be configured for full-screen clipboard capture or to open the snipping overlay. Use Windows+Shift+S when you need a predictable mode, or review Windows keyboard accessibility settings and select the behavior you prefer.
The capture missed a menu
Use Snipping Tool’s 1–5 second delay. Start the delay, open the menu, and avoid moving the pointer over the area you want to document.
OCR text is inaccurate
Crop tightly around the text, increase the source size if possible, and review every word after Text actions finishes. OCR is an aid for copying text, not a guarantee of exact transcription.
OneNote inserted the image in the wrong place
Place the cursor on the page before choosing Insert > Screen Clipping. The image is inserted at that cursor position; it is not a live object tied to the source window.
The video needs captions or audio
Open the recording in Clipchamp after Snipping Tool finishes. Snipping Tool creates the capture; Clipchamp supplies the additional editing workflow.
