Robotic process automation, or RPA, uses software robots to execute repeatable actions in business applications, often by interacting with graphical user interfaces as a person would. An RPA bot can open a system, read or enter information, move files, update a spreadsheet, send an email, and report an exception according to predefined rules.

SS&C Blue Prism’s RPA overview describes the technology in the context of common enterprise automation use cases. The important buying distinction is not whether a product can record clicks; it is whether the product can run, govern, monitor, secure, and maintain production automations.

Do you need RPA?

When is RPA a good fit?

RPA is usually a good fit when a process has most of these characteristics:

The recorder is only one part of a production platform. Evaluate the entire automation lifecycle.

What does Microsoft Power Automate cost?

According to Microsoft’s US Power Automate pricing page, checked on August 18, 2026, Power Automate Premium was listed at $15 per user per month paid yearly; Power Automate Process at $150 per bot per month paid yearly; and Power Automate Hosted Process at $215 per bot per month paid yearly. Microsoft also listed a 30-day free trial, a Process Mining add-on at $5,000 per tenant per month paid yearly, and Copilot Studio at $200 for 25,000 Copilot Credits per month paid yearly.

Power Automate Premium includes attended desktop flows. Process and Hosted Process include unattended desktop flows, while Hosted Process includes a Microsoft-hosted virtual machine. Microsoft warns that displayed prices can vary by country, currency, tax, organizational configuration, and checkout terms. These are US list-price signals seen on that date, not a complete implementation budget.

For UiPath, Automation Anywhere, SS&C Blue Prism, SAP, Pega, Appian, ServiceNow, IBM, NICE, WorkFusion, Laiye, and EvoluteIQ, use “custom quote” unless the vendor confirms a current public price for the exact edition. A current enterprise RPA buyer’s guide from SS&C Blue Prism notes that pricing varies with bot count, support, compliance requirements, deployment options, and other licensing variables.

What belongs in total cost of ownership?

  1. Software licenses for developers, attended users, unattended workers, orchestration, and environments.
  2. Virtual machines, desktops, servers, networking, storage, and disaster recovery.
  3. OCR, document processing, process mining, premium connectors, API calls, and AI consumption.
  4. Security integration, secrets management, privileged access, monitoring, and observability.
  5. Implementation consulting, process analysis, testing, release management, and training.
  6. Bot maintenance after browser, application, authentication, policy, or process changes.

Why does UI automation become brittle?

UI bots can fail when field labels, selectors, browser versions, window sizes, authentication flows, pop-ups, permissions, or application layouts change. Citrix and other remote-desktop sessions can introduce additional timing and image-recognition problems.

Ask each finalist to demonstrate recovery after an intentional UI change. A successful recording proves that a happy path works once; it does not prove that the automation is maintainable.

What identity and credential problems should buyers test?

Test password rotation, multifactor authentication, privileged-access management, service accounts, non-human identities, vault integration, segregation of duties, session ownership, access reviews, and break-glass procedures. An unattended bot needs a reliable and governed identity, not a developer’s saved password.

What does unattended RPA require?

Unattended execution usually requires dedicated or hosted machines, concurrent capacity, reliable queues, scheduling, lock and reboot recovery, credential availability, monitoring, escalation, and business continuity. A bot license alone does not provide a production operating model.

Does AI make RPA maintenance-free?

No. AI can classify documents, interpret messages, route cases, and handle some exceptions, but AI-assisted automation still needs confidence thresholds, human approval points, auditability, model and prompt versioning, data-retention controls, hallucination safeguards, deterministic fallbacks, and cost controls.

What should you ask every vendor?

  • Can the product automate the exact browsers, Windows applications, Citrix sessions, SAP screens, mainframes, terminals, and virtual desktops in the process?
  • How does the product identify UI elements, and what happens when a selector or application version changes?
  • Can the automation call an API or database instead of clicking through the interface?
  • How are bots licensed: by user, bot, machine, process, transaction, capacity, or consumption?

How should you run an RPA proof of concept?

Give every finalist the same representative process rather than accepting a polished vendor demo. The process should contain multiple applications, a spreadsheet, an email, a PDF or other document, one business exception, one timeout, one permission failure, one changed UI element, a human approval, and retry and audit requirements.

Measure build time, failure rate, recovery time, human intervention, execution time, log quality, maintenance effort, license consumption, and cost per completed transaction. Require the vendor to explain what happens when the AI service is unavailable, a credential expires, a queue is delayed, or an application changes.
