This Expensify review finds that Expensify is a strong choice for small and midsize teams that need fast receipt capture, employee expense reports, approvals, reimbursements, and accounting integrations. Expensify is less suitable when procurement, accounts payable, deep pre-transaction controls, or a card-led finance platform matters more than simple expense reporting.

Expensify is broader than a receipt scanner. SmartScan turns a receipt image or submitted receipt file into an expense draft, but SmartScan is automation rather than an accounting guarantee.

  1. An employee photographs, uploads, emails, or otherwise submits a receipt.
  2. Expensify extracts available details such as merchant, date, amount, currency, and other receipt information.
  3. The employee reviews and corrects the extracted fields.
  4. The expense is categorized, tagged, assigned to a project or department where applicable, and matched to a card transaction when possible.
  5. The expense is added to a report and submitted for approval.

Employees should verify the merchant name, transaction date, currency, tax or VAT amount, category, billable or reimbursable status, project, department, client, tag, and card-transaction match. Poor-quality, unusual, handwritten, faded, long, or multi-currency receipts can require manual correction. Hotel folios, restaurant receipts with later-added tips, invoices, screenshots, and duplicate uploads deserve particular attention.

For Collect, ask whether occasional submitters, contractors, and invited users count as unique members. For Control, ask how active members are defined, what happens when the team exceeds its annual subscription size, and whether a card-spend discount requires routing a minimum amount or percentage of spending through Expensify.

Also ask whether travel, reimbursements, international payments, foreign exchange, implementation, or support services create separate costs. Do not calculate net savings from cashback or card-linked pricing without comparing eligible card spend, transaction terms, existing card rewards, and the cost of changing payment providers.

Is Expensify free?

Individuals can use New Expensify for free with unlimited SmartScans, but free individual use is not the same as a free team expense-management workspace. Paid workspace access is required for features such as categories, tags, automatic reimbursement, accounting integrations, and Expensify Card access, according to Expensify’s free-features documentation.

How do Expensify reimbursements work?

Expensify reimbursements begin after an employee submits a report and the required approvals are complete. An administrator then selects an available payment method, such as direct reimbursement, or records that the business paid the employee through another process.

  1. The employee submits an expense report.
  2. Configured managers or approvers review and approve the report.
  3. The administrator opens the approved report and selects the payment method.
  4. Expensify sends funds directly where the connected accounts and payment rails support it, or the administrator marks the report as paid elsewhere.

Direct reimbursement sends funds from a connected business bank account to the employee’s connected personal account. Only verified business accounts can initiate direct reimbursement.

Global reimbursement is available according to the business bank account’s country and supported payment rails. Official documentation covers business-bank locations including the United States, Canada, the United Kingdom, the European Union, and Australia, but recipient-country, currency, and payment-method coverage is not identical everywhere.

Pay elsewhere is for companies that pay through payroll, accounts payable, a bank transfer, or another external method and then record the report as paid in Expensify.

According to Expensify’s reimbursement payment documentation, most reimbursements are processed in two to three business days, while some eligible U.S. ACH payments may be faster. The timing is guidance, not a universal guarantee; bank verification, country, currency, report amount, and payment type can affect the result.

Relevant official documentation says Expensify cannot process reimbursements over $20,000 through the applicable workflow. Company-card-only reports may also lack an employee out-of-pocket amount and therefore may not qualify for direct reimbursement. Review the reimbursement setup and limit documentation before designing a high-value or international payment process.

How good are Expensify’s accounting integrations?

Expensify offers accounting and business-system integrations, but an integration logo means that a connection exists—not that the connection will match your chart of accounts or post exactly when your finance team expects.

Before launch, test the complete data path:

  • Expense categories and general-ledger accounts
  • Tax codes and VAT treatment
  • Classes, locations, departments, projects, clients, and tags
  • Merchant or vendor handling
  • Reimbursable versus company-card expenses
  • Approval status and posting or export timing
  • Duplicate prevention
  • Foreign-currency conversion and rounding
  • Failed or partial synchronization

User reviews report that integrations can reduce duplicate data entry, while some users also mention timing differences, sync issues, or uncertainty about whether a problem came from configuration or the platform. Treat those reports as reasons to run a controlled pilot rather than proof that every account will experience the same defect.

Is the Expensify Card worth it?

The Expensify Card is most attractive when a company wants corporate cards, expense data, controls, and reconciliation in one workflow. The official pricing page advertises unlimited cards, virtual cards, Smart Limits, and up to 2% cashback on eligible USD transactions.

How capable are Expensify approvals and policy controls?

Expensify can handle simple approvals on Collect and more sophisticated approval flows, custom rules, budgets, and admin-enforced controls on Control.

Useful controls include categories, tags, departments, projects, policy violations, exceptions, delegated access, multiple approvers, and report-level review. The important distinction is that detecting a policy violation after purchase is not the same as preventing a transaction before purchase. Card-led spend platforms often have more opportunity to block or limit spending before it happens.

Test these scenarios rather than accepting a feature-list description:

  • Missing receipts and missing business purposes
  • Duplicate receipts and duplicate card transactions
  • Alcohol, lodging, mileage, per-diem, and out-of-period rules

  • Manager absence and delegated approval
  • Rejected reports that are edited and resubmitted

Does Expensify handle mileage and travel?

Expensify supports distance tracking and lists travel booking and travel rules, but mileage recording, mileage reimbursement, travel booking, travel-policy enforcement, and full corporate travel management are separate capabilities.

A mileage workflow may need to record distance, calculate a reimbursement amount, route the mileage for approval, and synchronize the result with accounting or payroll. Test each step, including GPS or distance capture, rate changes, personal-versus-business travel, and foreign-country rules.

Expensify may suit a company that wants travel-related expenses connected to its ordinary reporting workflow. Companies with negotiated travel programs, extensive duty-of-care requirements, complex traveler support, or specialist travel-agent workflows should compare dedicated travel-and-expense platforms.

Expensify is particularly sensible for distributed or hybrid teams, businesses with frequent travel or employee-paid purchases, and organizations that want to retain existing commercial cards while importing transactions into an expense workflow. Expensify is also worth shortlisting when fast employee adoption matters more than maximum finance-platform breadth.

Headcount alone does not determine suitability. A larger organization can use Expensify, but an enterprise buyer should evaluate auditability, approval complexity, global tax and banking requirements, implementation support, ERP posting behavior, security, and card controls before committing.

When should you be cautious?

Be cautious if the central requirement is procurement, purchase orders, accounts payable, bill pay, extensive budgeting, or hard pre-transaction controls across every spend type.

Expensify may also require additional scrutiny when the organization has complex multi-entity accounting, specialized global tax requirements, a requirement for an extensive immutable audit trail, highly customized ERP posting behavior, or a strict need to remain independent of a new corporate-card provider. SmartScan still needs human review, and pricing based on unique, active, or included members can be difficult to forecast without modeling real user behavior.

What should you test before switching?
