The recommended pilot approach includes rerunning discovery after approximately a week and checking what drifted. A visually impressive initial map is not evidence that the CMDB will remain accurate.
What are the most common CMDB buying mistakes?
Completeness becomes the goal
Trying to model every possible asset and relationship can create a database nobody maintains. Start with the CIs required for incident triage, change impact, vulnerability prioritization, audit evidence, or business-service ownership.
Discovery is confused with truth
Discovery finds technical facts, but discovery does not automatically establish business ownership, criticality, lifecycle state, or authoritative relationships.
Source precedence is undefined
Before implementation, decide which source wins for hostname, serial number, IP address, owner, location, software title, lifecycle state, business service, cloud account, and tags.
Ephemeral infrastructure is treated like static hardware
Autoscaling instances, containers, serverless resources, temporary test environments, and short-lived cloud workloads can make periodic scans stale. Ask how the product handles creation, change, disappearance, and retirement.
The CMDB has no defined consumers
Identify the teams that will use the data: service desk, change advisory board, security operations, vulnerability management, ITAM, SAM, cloud operations, finance, procurement, and business-service owners.
Implementation is underpriced
Total cost includes discovery engineering, data modeling, reconciliation rules, integration development, CSDM or equivalent governance, data stewardship, training, platform administration, support, and professional services—not just the subscription.
AI claims are accepted without data-quality evidence
AI summaries, recommendations, and remediation actions are only as dependable as the CI and relationship data behind them. Treat AI outcomes as vendor claims unless the proof of concept demonstrates measurable results.

Shortlist two or three products based on the problem you need to solve. Choose ServiceNow CMDB for a ServiceNow-centered enterprise, BMC Helix for complex governed hybrid operations, Device42 for independent discovery and dependency mapping, Flexera One for SAM and licensing, Jira Assets for Atlassian teams, Freshservice or ManageEngine for many mid-market deployments, SolarWinds when public pricing matters, Ivanti for continuous asset intelligence, and GLPI when self-hosting and open source justify the operating burden.
The deciding question is not “Which CMDB has the most features?” It is “Which platform will keep the configuration data accurate, reconciled, owned, current, and useful inside the workflows our teams already run?”
