Start with the quick checks below, then use the section for your device and symptom. The current Microsoft 365 interface may not show Copilot as a traditional ribbon button: Microsoft is moving access to the Copilot Dynamic Action Button, usually in the lower-right corner of the document, workbook, or presentation.
Start with these quick checks
- Look in the lower-right corner. Open the document, workbook, or presentation and check for the Copilot Dynamic Action Button. It may also be positioned next to the ribbon. The missing ribbon button does not necessarily mean that Copilot is unavailable.
- Save the file and restart the app. Close every open Word, Excel, PowerPoint, OneNote, and Outlook window, then open the affected app again.
- Check the account. Make sure the account signed in to Office is the account that owns or has been assigned the Copilot license.
- Try the web version. Go to Microsoft365.com, sign in, and open the file there. If Copilot works on the web but not in the desktop app, the problem is likely the desktop license cache, update channel, privacy settings, or Office installation.
1. Refresh the Microsoft 365 license
Windows
In Word, Excel, PowerPoint, or another Microsoft 365 app:
- Select File > Account.
- Select Update License.
- When the refresh finishes, close all Microsoft 365 apps.
- Restart the apps and open the file again.
Refreshing the license is particularly useful after an administrator assigns Copilot, after you renew a subscription, or after you sign out and switch accounts.

Mac
- Open a Microsoft 365 app.
- Use the application menu at the top of the screen, such as Word > About Word.
- Select More Info…, then select Refresh License.
- Close open Office documents and restart all Microsoft 365 apps.
2. Check whether your account actually has Copilot
A Microsoft 365 subscription and a Copilot entitlement are not always the same thing. For a work or school account, sign in to Microsoft 365, scroll to the bottom of the home page, and check the label beneath your name.

If you use a personal Microsoft account, Copilot in the desktop Microsoft 365 apps requires a qualifying subscription such as Microsoft 365 Personal, Family, or Premium. In desktop apps, only the subscription owner can use Copilot; being a member of a Family subscription does not automatically make every user the desktop subscription owner.
To change accounts in the web version, select your account icon in the upper-right corner and choose Sign in with a different account. In a desktop app, select the profile in the app header and sign in with the licensed account.
When the file belongs to an employer or school
Opening a work or school file while signed in only with a personal account can cause a license-validation error. If your organization supplies Copilot, use the work or school account for the organizational file.

Microsoft also supports multiple-account access. In Word, Excel, PowerPoint, or Outlook, select the account profile in the app header and choose Add an account. A qualifying Personal, Family, or Premium subscription can then provide Copilot access on the currently open work file, although organization policy may block it. With this access, Copilot can work on the open file and may generate drafts referencing specific accessible documents, but it cannot access the organization’s Microsoft Graph or answer questions about other documents unless the work or school account has the Microsoft 365 Copilot add-on license. The work account continues to govern file access, identity, permissions, compliance, and auditing. For the full organizational Copilot experience, the work account needs the appropriate Microsoft 365 Copilot license.

3. Check Office’s update channel on Windows
Microsoft 365 Copilot features are not available in desktop apps on the Semi-Annual Enterprise Channel. Business users need the Current Channel or Monthly Enterprise Channel for Copilot features enabled by their assigned license.
- Open a Microsoft 365 app.
- Select File > Account.
- Under Product Information, look for the update channel name.
If your organization uses the Semi-Annual Enterprise Channel, ask IT whether it can move your installation to a supported channel. You can use the web versions of Microsoft 365 apps while that change is being evaluated.
4. Turn on the required privacy settings
Copilot depends on connected experiences and experiences that analyze your content. If either setting is disabled, Copilot may be missing or may open without working.

- Open Word, Excel, or PowerPoint.
- Select File > Account.
- Under Account Privacy, select Manage Settings.
- Turn on Experiences that analyze your content.
- Turn on All connected experiences.
- Close and restart the Office app.
Disabling experiences that analyze your content also affects other features, including Outlook suggested replies, Word text predictions, PowerPoint Designer, and automatic alt text for images. On an organization-managed installation, these controls may be locked by your administrator.
Mac
- Open Word or another Microsoft 365 app.
- Select Word > Preferences > Privacy.
- Enable Experiences that analyze your content.
- Enable All connected experiences.
- Restart the app.
An alternative Mac route is [app name] > Preferences > Personal Settings > Privacy > Connected Experiences > Manage Connected Experiences. Enable Turn on experiences that analyze your content.

5. Make sure Copilot has not been disabled inside the app
Word, Excel, PowerPoint, and OneNote on Windows
- Select File > Options > Copilot.
- Enable Enable Copilot.
- Select OK.
- Close and restart the app.
Word, Excel, and PowerPoint on Mac
- Open the application menu, such as Word > Preferences.
- Select Authoring and Proofing Tools > Copilot.
- Enable Enable Copilot.
- Close and restart the app.
The checkbox is not available in the iOS, Android, or web versions of Word, Excel, and PowerPoint. Those versions use privacy and connected-experience settings instead.
Microsoft lists these minimum versions for the setting: Windows Word version 2412; Windows Excel and PowerPoint version 2501; Windows OneNote version 2502; Mac Word version 16.93; and Mac Excel and PowerPoint version 16.93.2.
6. Fix Copilot in Microsoft 365 web apps
First select the browser’s Refresh button. If Copilot still fails, check third-party cookies. Microsoft 365 web apps use them to validate the Copilot license. They are commonly blocked in Incognito or InPrivate windows and can be blocked by default in some browsers.

| Safari | Select Safari > Settings… > Privacy and clear Prevent cross-site tracking. Under Advanced, ensure Allow-privacy-preserving measurement of ad effectiveness and Block all cookies are unchecked. |
After changing the setting, close the Microsoft 365 tab, open a normal browsing window—not Incognito, InPrivate, or another private mode—and sign in again.
7. Move the file to OneDrive or SharePoint
Files opened from some third-party storage services can trigger Copilot license-validation errors or other Copilot failures. Copy or move the file to OneDrive or SharePoint, open that copy in Word, Excel, or PowerPoint, and test Copilot again.

This also helps identify whether the problem is the file location rather than your account or Office installation.
8. Repair a subscription or activation problem
If Office displays “ACCOUNT NOTICE. We’ve run into a problem with your Microsoft 365 subscription and need your help to fix it.”, Copilot may fail because the underlying Microsoft 365 activation has expired or been suspended.
- Close all Office apps.
- For a personal subscription, open your Microsoft account’s Services & subscriptions page.
- Check the Microsoft 365 entry. If it is expired, renew it.
- If payment is flagged, open Payment options and update the failed or expired payment method.
- Restart Word, Excel, or the affected app.
On Windows, launch Microsoft’s activation troubleshooter through the Microsoft Support and Recovery Assistant. Select Start, then select Open when prompted that the site is trying to open Get Help, and follow the activation prompts. Run it on the same Windows PC that contains the Microsoft 365 installation; it requires Windows 10 or later.

Do not look for Word’s Enable Copilot checkbox in Outlook. Outlook uses a separate Turn on Copilot toggle.

Outlook for Mac requires at least version 16.95.3 for this toggle. Update the iOS and Android apps through their app stores. Outlook on the web requires no app update. The setting is account-wide across devices using the same account. Classic Outlook for Windows currently has no equivalent Copilot on/off toggle.

What to do if Copilot is still missing
At this point, the remaining causes are usually licensing or organization policy rather than a hidden button. Contact your Microsoft 365 administrator if:
- your account shows Copilot Chat (Basic) when you expect app Copilot;
- privacy settings are greyed out;
- your organization controls the update channel;
- your work account has no assigned Copilot entitlement; or
- Copilot works with a personal account but not with your organization account.
When reporting the problem, include the app name, Windows or Mac version, Office update channel, signed-in account type, exact error message, file location, and whether Copilot works in the web version. Those details distinguish a license problem from a browser, file, or desktop-app problem.
FAQ
Where is the Copilot button in Word, Excel, and PowerPoint now?
Look first for the Copilot Dynamic Action Button in the lower-right corner of the document, workbook, or presentation. Microsoft may also place it next to the ribbon. Copilot is no longer always represented by a permanent ribbon button.
Why does Copilot work online but not in the desktop Office app?
Check the desktop license cache with File > Account > Update License, confirm that the Office update channel is Current Channel or Monthly Enterprise Channel, and check privacy settings. Copilot features are unavailable in desktop apps on the Semi-Annual Enterprise Channel.

Why does Copilot say it cannot validate my license?
You may be signed in with the wrong account, using a work file with an account that lacks the required entitlement, blocking third-party cookies, using private browsing, or opening a file from third-party storage. Sign in with the licensed account, allow the required cookies, and move the file to OneDrive or SharePoint.
Can a Microsoft 365 Personal or Family subscription work with a work document?
Yes. Microsoft supports multiple-account access for qualifying Personal, Family, or Premium subscriptions, subject to organization policy. Add the personal account from the profile menu in Word, Excel, PowerPoint, or Outlook. Copilot can work with the currently open work file, but it cannot access the organization’s Microsoft Graph or answer questions about other documents unless the work account has the Microsoft 365 Copilot add-on.
Why is the Copilot setting missing from Outlook?
Outlook uses Turn on Copilot rather than the Enable Copilot checkbox used by Word, Excel, PowerPoint, and OneNote. Find it under Settings > Copilot in new Outlook for Windows and Outlook on the web, or Quick Settings > Copilot in Outlook for Mac, iOS, and Android.
The Bottom Line
The fastest reliable sequence is: find the Dynamic Action Button, refresh the Office license, verify the signed-in account and subscription, enable connected experiences, and check the browser’s third-party-cookie setting if you are using Microsoft 365 online. If the app runs on the Semi-Annual Enterprise Channel or your organization locks the relevant settings, an administrator must make the change.
