What happens when you forward a meeting?

The organizer’s forward notification is different from a meeting update sent to attendees. Microsoft notes that Exchange settings can prevent forward notifications from reaching remote domains. If the organizer does not receive or process the notification, the new recipient may not be added to the organizer’s meeting, and later updates may go only to the original invitees.
A calendar setting can also send meeting-forward notifications to the organizer’s Deleted Items folder. Microsoft says this does not affect processing of meeting response messages.

How to make sure everyone knows about a new attendee
Ask the meeting organizer to add the person directly and send an update to all attendees:
- Open the meeting in the calendar.
- Add the person as an attendee.
- Choose the option to send an update to all attendees.
Depending on the Outlook workflow, the organizer may be able to send an update only to added or changed attendees instead. Choose all attendees when the existing group needs to know about the addition.

When forwarding may not work as expected
The organizer’s mailbox and Exchange configuration affect whether the forward notification is delivered. An administrator may prevent meeting-forward notifications from being sent to remote domains. Older clients and third-party calendar services may also behave differently, so forwarding should not be relied on to formally add someone when the organizer’s environment is uncertain.
Microsoft says organizers can disable forwarding in supported configurations. Its guidance identifies Microsoft 365 or Exchange Server 2019 mailbox requirements, along with client and version conditions. Older clients or third-party services that do not support the control may not enforce it reliably.
