Good video meeting etiquette comes down to a few habits: test your setup before joining, mute when you are not speaking, take turns clearly, include remote attendees, and protect private information. Keep your camera on when the meeting’s purpose and your circumstances support it—not because camera use is a universal rule.

Before you join: check the link, devices, and materials

Use the meeting link you expected, and be cautious with unexpected invitations. The U.S. Federal Trade Commission advises downloading conferencing apps only from the service’s website or a platform app store.   1. Test from the place you will take the call. Check that your internet connection works there and select the intended microphone, camera, and speakers in the conferencing app. Google recommends testing Wi-Fi from the meeting location; use Ethernet if available, and limit competing internet use during the call.   2. Check what others will hear. Make a brief test call or use the app’s device preview. If you are in a shared room, plan for only one device to play meeting audio; multiple active speakers and microphones can cause echo. FDA virtual meeting guidance
  3. Have files ready. Open presentations and other materials in advance. For a hybrid meeting, check the room’s audio setup and confirm that remote attendees can hear before the discussion starts. The FDA recommends joining early to check presenters, files, and shared content.

During the meeting: manage audio and take turns

Mute when you are not speaking

Muting helps limit background noise and reduces the chance of broadcasting a private conversation nearby. Check the mute control before you speak, then mute again when you finish. Make it easy to know who is speaking

In a large group or a meeting where people do not know one another, say your name before contributing. Use a raised hand, chat message, or another cue agreed by the group instead of talking over someone. Give the meeting your attention

Hybrid meetings: deliberately include remote attendees

A hybrid meeting can leave online participants at a disadvantage if the room dominates the conversation. The host or facilitator should check that remote attendees can hear, explain how to request a turn, and pause to invite their input rather than relying on them to interrupt. In the room, avoid side conversations that remote participants cannot follow. Camera use: follow the purpose, policy, and your circumstances

There is no universal camera-on requirement established by the guidance cited here. Whether video makes sense depends on the meeting’s purpose, local policy, accessibility, privacy, and connection quality. If you are hosting, explain the expectation and allow for reasonable constraints; if you are attending, follow the stated norm or let the host know if video is not practical. If you use video, put light in front of your face rather than behind you, and frame the camera so it shows only what you intend. Screen sharing and recording: protect information

Share only what the meeting needs

When possible, share an individual application or window rather than your entire screen. Close or hide unrelated material that could expose private messages, notifications, or sensitive information, and stop sharing as soon as you are done. Set access and recording expectations

Hosts should use the meeting’s available access controls, review recording settings, and tell attendees when recording is planned. For recurring meetings, consider unique credentials where the service offers them. Participants should avoid sharing private information if they do not know how the meeting will be recorded or used. Equipment: upgrade only when it solves a problem

Ordinary meeting etiquette does not require new equipment. Start with the devices you already have and identify a specific issue before considering an upgrade.

  • Echo or audio feedback: Headphones or earbuds can help prevent meeting audio from feeding back into a microphone. Google Workspace tips
  • Typing while speaking: Google suggests an external microphone, such as a headset microphone, if typing noise is distracting. Its guidance says wired headsets and microphones often produce better sound quality than wireless ones; this is not a guarantee for every device or setup. Google Workspace tips
  • Poor audio or video in Google Meet: Google’s troubleshooting guidance recommends trying a headset with a microphone and notes that some Bluetooth headsets may work poorly with Meet. A webcam, light, Ethernet cable, or specialist microphone may be useful when your existing setup has a clear limitation, but none is an etiquette requirement.

  • Join using the expected link; test your connection and selected devices in advance.
  • Have shared files ready and, for hybrid meetings, confirm the room audio works for remote attendees.
