What is Microsoft Excel?
Excel is a spreadsheet application. An Excel file is called a workbook; a workbook contains one or more worksheets. Each worksheet is a grid of rows and columns, and the boxes where they meet are cells. Cells can hold text, numbers, or formulas.
This grid makes Excel useful when information can be laid out in a structured table and you need to calculate, track, compare, or report on it. Microsoft Support describes the program as “an incredibly powerful tool for getting meaning out of vast amounts of data” in its Basic tasks in Excel guide.
What does Excel do?
Excel brings together data entry, calculation, organization, analysis, and presentation. Common uses include:

Which features are available can depend on the Excel edition, subscription, and working environment. Microsoft describes Power BI as offering additional cloud business-intelligence capabilities; Excel and Power BI are not interchangeable in every reporting scenario. What are Excel formulas used for?
Formulas tell Excel to calculate a result. A formula begins with an equals sign (=) and can combine values, operators, cell references, and built-in functions. For example, =SUM(A1:A5) adds the values in cells A1 through A5.

Cell references let a formula use values stored elsewhere in the worksheet, rather than requiring you to type those values into the calculation. This makes it easier to update a source value and have dependent calculations use the changed value. References can also point to cells on another sheet or in another workbook. Excel includes functions such as SUM, XLOOKUP, and VLOOKUP; Microsoft’s formulas overview explains how formulas and references work.
What is an Excel workbook?
A workbook is the Excel document you save and work with. It can contain multiple worksheets, which helps keep related information together—for example, separate sheets for monthly budgets or different reporting periods. Each sheet has its own cell grid, where you enter data and create calculations.

Is Excel a database?
Excel can store and organize tabular records, but Microsoft distinguishes it from a relational database management tool such as Access. Excel is suited to spreadsheet-based analysis and calculation; Access is designed for managing structured data across related tables. Microsoft’s guidance on when to use Access or Excel frames the choice around the kind of data and task.
Consider these questions when choosing:
- How is the information structured? A single flat worksheet often suits Excel; information split across related tables is a stronger fit for a database.
- What work do you need to do? Excel is a natural fit for calculations, analysis, charts, and spreadsheet reporting.
- How will records be maintained? If the main need is structured record management across related data, Access may be more appropriate than a workbook.
How can you use Excel online?
Microsoft presents Excel as available online, including collaborative spreadsheets, and offers Microsoft 365 plans. The features included and the terms for a particular plan can change, so consult Microsoft’s Excel product page for current availability and plan details.

Some newer or assisted features are conditional rather than universal. For example, Microsoft says Copilot in Excel can help with tasks such as generating data and formulas, creating charts and PivotTables, finding insights, and sorting or filtering. Access may depend on your subscription and organization settings; check Microsoft’s Copilot in Excel information and your administrator’s policies.
