Microsoft 365’s resilience features and a backup service solve different recovery problems. Whether you need a separate backup depends on what you must be able to restore, how quickly, for how long, and under which security and compliance rules. Microsoft 365 Backup is one option, but its protection is limited to selected SharePoint sites, OneDrive accounts, and Exchange mailboxes; it does not currently back up Teams chats.

Do you need a separate Microsoft 365 backup?

Microsoft’s answer is that it depends on your scenario and needs. Its shared-responsibility position has not changed with the introduction of Microsoft 365 Backup: the service adds tools, but it does not remove the need for an organization to decide how it will protect and recover its data.

Disaster recovery and backup are not interchangeable. Microsoft describes disaster recovery as maintaining the current state of content, while backup can restore data to a previous healthy state. A resilient cloud service can help keep services available, but that alone does not answer whether your organization can recover the data it needs after deletion, corruption, or another damaging change.

Start with the recovery requirement

Before choosing a service, identify which data must be recoverable, how far back you may need to go, how much data you may need to restore at once, and how quickly it must be usable. Also decide who should be able to administer or delete backups and whether the recovery process must fit particular privacy, regulatory, or eDiscovery workflows. These requirements determine whether native Microsoft 365 Backup is enough or whether you should evaluate a partner service as well.

What does Microsoft 365 Backup protect?

Microsoft’s product documentation describes protection for selected SharePoint sites, OneDrive accounts, and Exchange mailboxes. It is not a backup of every Microsoft 365 workload.

Teams data has an important boundary

Microsoft says files stored in SharePoint sites for Teams channels are protected when those sites are included in a backup policy. Teams chats and other content stored on Teams servers are not currently protected by Microsoft 365 Backup. If Teams conversations are part of your recovery requirement, confirm how a prospective service handles them rather than treating SharePoint file coverage as coverage of Teams as a whole.

Workload scope and product capabilities can change. Check Microsoft’s current Microsoft 365 Backup documentation and each provider’s current coverage before purchasing or relying on a particular restore path.

How do Microsoft 365 Backup restore points and recovery times compare?

Microsoft publishes different restore-point schedules for Exchange versus OneDrive and SharePoint. The figures below describe Microsoft’s documented service behavior, not independent test results.

Workload Restore-point schedule documented by Microsoft Microsoft-published recovery estimate
Exchange Restore points every 10 minutes across the prior year, according to Microsoft’s current product FAQ. Mailbox restores are typically in the range of 100–500 items per minute at the median, according to Microsoft’s overview.
OneDrive and SharePoint Restore points every 10 minutes for the previous 14 days, then weekly restore points from 14 through 365 days, according to Microsoft’s current product FAQ. Microsoft estimates an average of 10–120 minutes for an express restore of a single protection unit; the time depends on site size.

These performance figures are vendor-published estimates, not guarantees or independent benchmarks. Microsoft notes that actual restore performance depends on data volume and item size. They also describe particular restore scenarios: a single-unit express restore estimate for OneDrive and SharePoint, and a typical median item restore rate for Exchange. They should not be read as a promise about a large, multi-workload recovery.

Match restore granularity to the incident

Ask whether you need to recover individual items, an account or site, or a larger set of data, and verify the exact restore options for that scenario. A frequent restore point may help limit how much recent work is lost, while the ability to complete a bulk recovery within your operational window is a separate requirement. Have providers explain the steps, permissions, and expected behavior for the recovery cases that matter to your organization.

How long is backup data retained, and what about compliance?

Microsoft currently documents a one-year recovery window for Microsoft 365 Backup, controlled by the service’s own backup policy. Microsoft says retention and deletion policies outside the Backup tool do not shorten that backup recovery window. That does not make backup retention a substitute for retention governance: the backup’s recovery period and the organization’s obligations for retaining, finding, or deleting records are distinct questions.

There are also workflow limits to account for. Microsoft notes that some backup-only content is not searchable through existing eDiscovery tooling. If a deletion request applies to data that is later restored, the request may need to be applied again after restoration. Organizations with regulatory or privacy obligations should validate these implications against their own processes before relying on a backup as the complete compliance solution.

Questions to resolve with your administrator or provider

  • Does the service’s retention period meet the organization’s recovery needs, and who controls its backup policy?
  • Can the records you need be located through your existing eDiscovery process, or is backup-only content outside that search workflow?
  • How will deletion requests and other data-governance actions be handled after a restore?
  • Do the service’s data residency and privacy terms fit your organization’s requirements? Confirm those terms directly; the Microsoft product details summarized here do not establish a particular residency arrangement.

How secure and isolated is Microsoft 365 Backup?

Microsoft describes its backup storage as append-only, which helps protect stored backup data from ordinary modification. However, append-only does not mean that backups can never be deleted: Microsoft says deletion is possible through the Backup tool.

Microsoft also documents a 90-day backup recovery grace period after offboarding and multi-admin email notifications for potentially harmful actions. These controls are relevant to protection from accidental or malicious deletion, but they are not equivalent to an absolute guarantee that backup data cannot be removed. When assessing a service, establish who can initiate a deletion, what approvals or alerts apply, and what recovery options remain if an administrator or account is compromised.

Should you choose Microsoft’s service or a partner backup product?

Microsoft 365 Backup is a native, pay-as-you-go service with consumption-based billing. The documentation summarized here does not establish a fixed price, so estimate cost using the current billing details and your expected protected data and operations.

This is a discovery shortlist, not a comparative ranking. Microsoft says recognition means a solution is built on the Backup Storage platform; it is not technical endorsement or certification. The listing does not establish that each product has identical coverage, pricing, retention, or restore workflows.

Use the same criteria for every candidate

  • Coverage: Check each workload and object type, especially Teams chats, channel files, and any data outside SharePoint, OneDrive, and Exchange.
  • Recovery: Compare restore-point frequency and age, restore granularity, bulk recovery, and provider-supported recovery procedures against your recovery targets.
  • Retention and deletion: Confirm how long copies are kept, which policies govern that period, and what protections and approval steps apply to backup deletion.
  • Governance: Review data residency, privacy, eDiscovery access, and how deletion requests are handled after restoration.
  • Operations and cost: Determine whether unified administration, integration with other SaaS or infrastructure, and the provider’s billing model justify their operational cost for your environment.

Ask providers to demonstrate the recovery workflows that matter to you and provide current workload, pricing, and compliance terms. A platform listing alone is not enough to establish that a particular product meets those requirements.
