The best AI meeting assistant in 2026 depends on the workflow: Fathom is the strongest default for many individuals, Fireflies is best for searchable archives and integrations, Otter excels at live transcription, Fellow suits structured team meetings, and Granola is the leading bot-free notepad option. Prices and plan limits vary by usage, seats, and billing period.
Transcription is now the baseline. The harder buying questions are how a product captures audio, whether participants see a bot, whether summaries identify decisions and owners, whether action items reach your project or CRM system, and how the vendor handles retention, consent, and administration.
Key takeaways
- Fathom is the best overall choice for many individuals and small teams because its free individual plan includes unlimited recordings and transcriptions, while paid plans add action items and CRM features.
- Fireflies is the strongest choice for searchable meeting archives, broad integrations, sales workflows, and transcription advertised in more than 100 languages.
- Otter is the best transcription-first option, but its Basic plan includes 300 monthly transcription minutes and higher plans impose additional usage limits.
- Granola is designed around an AI notepad rather than a conventional visible meeting bot, while Fathom’s pricing page lists bot-free capture as a Mac beta feature and MeetGeek offers browser and desktop no-bot recording.
- AI-generated action items are suggestions until a person checks the owner, deadline, wording, and destination task system.

How were these AI meeting assistants ranked?
The ranking uses a use-case framework, not an unsupported claim about which product has the most accurate transcription. A meaningful independent accuracy ranking would require the same recordings, languages, accents, background noise, speaker overlap, terminology, and scoring method for every tool. The supplied research does not contain that test.

1. Fathom: best overall for many individuals and small teams
Fathom is the best default recommendation for readers who want polished meeting recording, transcription, summaries and a generous free individual starting point. The recommendation is an editorial judgment based on plan value and workflow coverage, not a claim of independently tested transcription accuracy.
According to Fathom’s pricing page, the free individual plan includes unlimited recordings and transcriptions, instant AI call summaries, clips, playlists and search. Paid plans add AI-generated action items, while Team and Business tiers add collaboration, CRM synchronization, field sync, coaching metrics and more advanced summaries.
Fathom’s pricing page lists both bot and bot-free capture, but bot-free capture is identified as a Mac beta feature. That qualification matters: a buyer who needs mature, platform-independent local capture should test the exact operating system and meeting setup before standardizing on Fathom.
Choose Fathom if: you are a consultant, founder, salesperson or small team that wants to try the category without immediately paying for every recording.
Skip Fathom if: your organization requires fully mature cross-platform bot-free capture, granular governance without an enterprise conversation, or advanced task automation on the free plan.
See Fathom plans and current pricing.
2. Fireflies.ai: best for searchable archives and integrations
Fireflies.ai is the strongest choice for teams that want a large, searchable meeting repository connected to sales, customer-success, recruiting or project workflows.
According to Fireflies’ pricing page, the product supports Zoom, Google Meet, Microsoft Teams and additional platforms. Fireflies advertises transcription in more than 100 languages and lists live transcription, meeting search, AskFred, file upload, mobile and desktop apps, API access, task management, integrations, analytics and conversation intelligence.
Fireflies is particularly interesting when the meeting archive matters as much as the latest summary. Global search, topic detection and conversation-intelligence features can help a team retrieve prior customer statements or recurring subjects, although the usefulness depends on transcript quality, naming consistency and sensible retention rules.
The free plan illustrates why “unlimited” needs context. Fireflies lists unlimited transcription and summaries but 400 minutes of storage per team. Pro is shown at $10 per seat per month when billed annually, Business at $19, and Enterprise at $39 annually billed. Storage, AI-credit and governance limits vary by plan.
Higher tiers list multi-language mode, team analytics, SSO, SCIM, audit logs, custom retention, HIPAA compliance and private storage. These are vendor-published plan claims, not a complete legal or security determination for a particular organization.
Choose Fireflies if: you need integrations, a searchable archive, API access, task management or sales-oriented analytics.

3. Otter.ai: best for live transcription
Otter.ai is the best fit when the live transcript is central to the meeting rather than merely an input for an after-call summary.
According to Otter’s pricing page, the free Basic plan supports Zoom, Microsoft Teams and Google Meet and includes live transcription, speaker identification, playback, mobile apps and 300 monthly transcription minutes.
Otter’s transcript-first workflow suits people who need to follow exact wording during a meeting and revisit it later. Students, researchers, journalists and professionals dealing with detailed discussions may value speaker labels, playback and an editable transcript more than a highly automated task pipeline.

4. Fellow: best for structured team meetings and follow-through
Fellow is best for managers and teams that want agendas, recurring meeting templates, notes, action items and project workflows in one system.
Recommended Free Tools
According to Fellow’s pricing page, Fellow integrates with Google Meet, Zoom, Microsoft Teams and Slack and provides AI summaries, transcription, action items, agendas, Ask Fellow, templates and meeting automations.
Fellow’s differentiator is meeting discipline. A recurring one-to-one, project review or leadership meeting can have a repeatable agenda, a shared note, decisions and assigned follow-ups rather than an isolated transcript that disappears into an archive.
The free plan and Team plan limit AI notes and recordings. Team is shown at $7 per user per month when billed annually or $11 monthly. Business is shown at $15 annually or $23 monthly, and Enterprise at $25 annually, with Enterprise beginning at 10 users. Higher plans add project-management, Confluence, Notion and API features; Business and Enterprise add CRM capabilities, keyword tracking, recording permissions, transcript redaction, provisioning and organization-wide analytics.
Choose Fellow if: the team is willing to adopt a structured meeting-management workflow.

5. Granola: best bot-free notepad experience
Granola is the clearest choice for people who dislike visible meeting bots and want an AI-enhanced notepad that combines personal observations with generated context.
Granola is positioned as an AI meeting notepad rather than a conventional participant that joins a video call. The product offers AI meeting notes, AI chat within and across meetings, shared folders, custom templates and multilingual support.
According to Granola’s pricing page, the Basic plan has limited meeting history. Business costs $14 per user per month and adds unlimited meeting notes and history, advanced models, and integrations including Attio, Notion, Slack, HubSpot, Affinity and Zapier, plus API and MCP access. Enterprise costs $35 per user per month and adds SSO, administrative controls, usage analytics, automatic deletion periods and organization-wide model-training opt-out.

Skip Granola if: you require a traditional always-on bot, full video archives or a conventional automatic recording library.

Choose MeetGeek if: you have frequent meetings, want automation and need a no-bot option without immediately moving to an enterprise plan.
Skip MeetGeek if: you need unlimited usage on the lowest tier or want a completely hands-off governance setup.

7. tl;dv: best for video highlights and distributed sales collaboration
tl;dv is the best fit in this list when the team needs to share clips and highlights from recorded sales or customer calls rather than circulate an entire transcript.
tl;dv’s strongest editorial use case is video-first collaboration: sales, customer-success and distributed teams can point colleagues to specific moments from a call for coaching, deal updates or asynchronous context.
Secondary comparison coverage places tl;dv among the leading meeting assistants for highlights, clips, CRM workflows and sales documentation, but the official pricing page was not reliably retrieved in the supplied research pass. 8. Avoma: best for sales and revenue teams
Avoma is best for organizations that need conversation intelligence, coaching and CRM-centered revenue workflows, not merely meeting notes.
Avoma belongs in a separate category from lightweight notetakers because its value is tied to sales methodology, coaching, pipeline processes and structured revenue use cases. A sales manager may benefit from conversation analysis and CRM workflows even when an individual consultant would find the system unnecessarily complex.

Read AI is the most relevant choice for readers who care about participation patterns, meeting reports and relationship intelligence rather than only transcripts and tasks.
Free tools Windows power users keep installed

Analytics can help managers study recurring meeting patterns and engagement, but analytics are not the same as transcription quality or action-item reliability. Talk-time, sentiment or participation reporting can also create employee-surveillance concerns, particularly when people do not understand what is collected, who can see it or how the reports affect evaluation.

How do bot-based and bot-free meeting assistants differ?
A bot-based assistant joins Zoom, Google Meet or Teams as a visible participant, while a bot-free assistant captures through a desktop app, browser, local audio route or notepad workflow.
Bot capture is usually convenient: the assistant can join automatically, capture the central meeting audio and create a consistent team archive. The trade-off is visibility. Participants may object, an organization may block external bots, and a calendar rule can admit the assistant to the wrong call.
Bot-free capture is less intrusive and can suit confidential client calls or meetings where external participants are prohibited. Bot-free capture still needs microphone or system-audio permissions, a compatible browser or operating system, and a successful audio-routing test. A misconfigured recorder may capture only one side of a conversation.
“Bot-free” also does not mean “local-only.” A bot-free desktop recorder may still upload audio, transcripts or notes to a vendor’s service. Review the applicable privacy, retention and model-training terms before treating bot-free capture as a security control.
What makes an AI-generated action item useful?
A useful action item identifies a real commitment, names the correct owner, records a defensible deadline, allows editing and reaches the system where the team actually tracks work.
Many assistants can extract task-like sentences. Extraction is not the same as execution. “We should look into that” may be a suggestion rather than a commitment; a model may assign a task to the wrong person; and a date mentioned in conversation may not be an approved due date.
Before enabling automatic task creation, check whether the product can:
Recommended Free Tools
- Distinguish commitments from brainstorming or hypothetical suggestions.
- Assign an owner and let a human correct the assignment.
- Infer a due date only when the date is explicit and reviewable.
- Send tasks to Asana, Jira, Linear, ClickUp, Todoist, Salesforce, HubSpot or another system the team already uses.
- Set reminders and track completion rather than merely exporting text.
- Preserve a link to the source transcript, recording or timestamp.
Fireflies lists action items and a task manager on Pro. Fathom lists AI-generated action items on Premium and Team. Fellow lists AI action items across its plans, although lower tiers limit AI notes or recordings. These are product capability claims; they do not guarantee that every extracted task will be correct.
How should you compare free AI meeting assistant plans?
Compare the actual unit being limited—minutes, hours, storage, history, AI credits, meetings, seats or features—instead of treating every “free” plan as equivalent.
| Product | Free-plan limit or headline | Why the distinction matters |
|---|---|---|
| Fathom | Unlimited individual recordings and transcriptions | Check which action-item, CRM and team features remain paid |
| Fireflies | Unlimited transcription and summaries; 400 minutes of team storage | Transcription volume and retained storage are different limits |
| Otter | 300 monthly transcription minutes | Frequent meetings can consume the allowance quickly |
| MeetGeek | Three transcription hours monthly | Useful for light use, but not unlimited recurring meetings |
| Fellow | Free plan with limited AI notes and recordings | Lifetime or plan-level note allowances affect long-term use |
| Granola | Limited meeting history | The free tier may work for recent notes but not a permanent archive |
Fathom, Fireflies, Otter, MeetGeek, Fellow and Granola publish materially different free-plan structures on their official pricing pages: Fathom, Fireflies, Otter, MeetGeek, Fellow and Granola.

Are AI meeting assistants acceptable for confidential meetings?
An AI meeting assistant may be acceptable for confidential work only after the organization verifies consent, authorization, data processing, retention, access and contractual requirements for the chosen plan.
A meeting can contain customer data, health information, financial information, legal advice or employee-performance information. Recording laws differ by jurisdiction, so participants should obtain the consent required by applicable law and employer policy. The person installing an assistant may not be authorized to record every meeting on a shared calendar.
Check these controls before deployment:
- Whether a bot joins visibly and whether participants receive a recording notification.
- Whether the product supports consent workflows and private-meeting exclusions.
- How audio, video, transcripts and notes are retained and deleted.
- Whether the vendor offers a data-processing agreement, business associate agreement or regional storage appropriate to the use case.
- Whether model-training opt-out applies to the selected plan and to both recordings and transcripts.
- Whether SSO, SCIM, audit logs, role-based access and administrative deletion are available.
- Which subprocessors receive meeting data.
Granola says users can opt out of model training and lists SSO, administrative controls and organization-wide deletion periods on Enterprise. Fireflies lists SOC 2 Type II, GDPR, HIPAA, SSO, SCIM, audit logs, custom retention and private storage, with availability varying by plan. Fellow lists transcript redaction and security or legal reviews on Enterprise. These are vendor claims and should be validated against the contract and the organization’s configuration.

The most common failures are wrong speaker attribution, false commitments, missing deadlines, accidental bot admission, audio-routing problems and summaries that sound more certain than the meeting was.
Wrong speaker attribution
Overlapping speech, poor microphones, background noise and shared microphones can produce incorrect speaker labels. Review ownership before sending a task or updating a CRM.
False commitments
An assistant can convert a tentative suggestion into a task. Require human approval before automatic task creation, especially for customer promises, legal commitments or financial decisions.
Missing deadlines
A summary may mention a date without creating a valid due date. Review every deadline and distinguish an explicit commitment from a general time reference.
Bot joins the wrong meeting
Automatic calendar joining can create a privacy incident. Use allowlists, exclusion rules, manual approval and private-meeting settings where available.
Audio-routing failure
Bot-free capture can record only the user’s microphone or no system audio at all. Make a short test recording, check microphone and system-audio permissions, and inspect the resulting transcript.
Overconfident summaries
AI notes can omit disagreement, uncertainty, sarcasm or informal decisions. Keep a link to the source recording and add human review for consequential meetings.
Do you need a dedicated assistant if your company already uses Zoom, Google Meet or Teams?
Not always: a built-in meeting assistant may be sufficient when the team uses one meeting platform and values native administration, while a dedicated assistant is more useful for cross-platform capture, searchable archives, CRM integrations, bot-free workflows or specialized analytics.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteCompare the native option already included in your organization’s subscription with a dedicated product on six points: whether it works across Zoom, Meet and Teams; whether the assistant appears as a bot; whether it searches across meetings; whether it creates tasks or syncs CRM fields; whether it supports in-person or uploaded recordings; and whether administrators can control retention, access and model training.
Do not assume that a feature is included simply because the organization pays for a meeting platform. Verify the current edition, administrator settings, regional availability and separate AI licensing before making a purchase decision.
How to choose and test an AI meeting assistant
- Choose the capture method first. Decide whether a visible bot, desktop recorder, browser capture, mobile app or uploaded recording is acceptable.
- Run the same test meeting through two or three finalists. Include names, acronyms, overlapping speakers, a decision, a tentative suggestion, an owner and an explicit date.
- Check the transcript. Review speaker labels, punctuation, timestamps, terminology and audio playback.
- Audit the summary. Look for decisions, open questions, risks and uncertainty—not just polished prose.
- Audit every action item. Confirm that the commitment is real, the owner is correct, the deadline is valid and the task reaches the intended system.
- Test a failure case. Try a private calendar event, a changed meeting link, a shared microphone and a meeting with no clear commitment.
- Read the applicable privacy terms. Confirm consent, retention, deletion, model-training choices, subprocessors, access controls and any required DPA or BAA.
- Calculate the real subscription cost. Include seats, annual versus monthly billing, storage, recording minutes, AI credits, CRM access and enterprise minimums.
Frequently Asked Questions
What is the best free AI meeting assistant in 2026?
Fathom is the strongest free starting point for many individuals because its free individual plan includes unlimited recordings and transcriptions, summaries, clips, playlists and search. Fathom’s paid plans are required for some advanced action-item, CRM and team features, so the free plan is not equivalent to unlimited access to every capability.
Which AI meeting assistant does not join as a bot?
Granola is positioned as an AI notepad rather than a conventional visible meeting bot. MeetGeek lists browser and desktop no-bot recording, and Fathom lists bot-free capture as a Mac beta feature; bot-free does not automatically mean local-only, so audio-processing and privacy terms still need review.
Can AI meeting assistants create tasks automatically?
Some AI meeting assistants can extract action items and send them to task or CRM systems, but extraction is not reliable task completion without human review. Confirm the owner, deadline, wording and destination before creating a consequential task or customer commitment.
Are AI meeting assistants legal to use?
Legality depends on the jurisdiction, meeting participants, subject matter, consent requirements, employer policy and vendor data-processing arrangement. Obtain the consent required by applicable law and policy, and verify retention, access, training opt-out and contractual controls before recording confidential meetings.
Which AI meeting assistant is best for sales calls?
Fireflies, Avoma, Fathom Business and tl;dv are the strongest sales-oriented candidates in this comparison. Fireflies emphasizes searchable archives, CRM workflows and analytics; Avoma focuses on revenue intelligence; Fathom adds CRM features on higher plans; and tl;dv is especially relevant when sales teams share call clips.
The Bottom Line
There is no universal best AI meeting assistant in 2026. Choose Fathom for a strong individual starting point, Fireflies for archives and integrations, Otter for live transcription, Fellow for structured team meetings, Granola for a bot-free notepad, MeetGeek for value and automation, tl;dv for video highlights, Avoma for revenue intelligence, or Read AI for analytics. Before rollout, test capture, transcript quality, action-item ownership, integrations, pricing limits and consent controls with the exact meetings your team handles.
