The best Proton Business alternative depends on what your company needs to replace. For an all-in-one work suite, compare Google Workspace, Microsoft 365, and Zoho Workplace. For encrypted business email and calendars, consider Tuta. For custom-domain email and calendar without a bundled office suite, consider Fastmail. Proton itself now packages a broader Workspace suite, so compare the specific tools and plan limits your team will use—not just the word “secure.”

Which Proton Business alternative fits your company?

There is no universal winner: Google Workspace, Microsoft 365, and Zoho Workplace are broad-suite candidates, while Tuta and Fastmail are more focused on email and calendar workflows. The table summarizes their documented product scope; it is not a claim that their security models, features, or plans are equivalent.

What Proton currently includes—and what to compare

Proton now presents Workspace as a business suite that bundles Mail, Calendar, Drive, Docs, Sheets, Meet, VPN, and Pass. Its Premium-level positioning also includes Lumo. This is Proton’s description of its own bundle, not an independent finding that its tools match competitors feature for feature.

Plan limits can change. Proton’s current plan page lists Workspace Standard with 1 TB of storage per user, up to 15 custom email domains, and meetings for up to 100 participants. Workspace Premium lists 3 TB per user, up to 20 custom domains, and meetings for up to 250 participants. Confirm the applicable plan and current terms before deciding: a limit that looks generous in one category does not settle retention, sharing, administration, or the other requirements your team may have.

How the main alternatives differ

Google Workspace: collaboration in Google’s environment

Google’s business plans combine custom-domain email with storage, meetings, and AI functions. The official plan descriptions show larger storage allowances and expanded meeting, retention, search, and security features at higher tiers. Check the tier against your actual requirements rather than assuming that every control is included at the entry level.

Pricing is regional and plan-specific, and promotional offers can change. A captured pricing page showed Starter at $7 per user per month after an introductory offer, Standard at $14, and Plus at $22 as ongoing monthly prices; those figures are a page snapshot, not a reliable current quote. Recheck the live price and offer terms for your region before budgeting.

Microsoft 365: a fit for Office, Teams, and Microsoft identity workflows

Microsoft 365 is a natural candidate if employees depend on Outlook or Exchange, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint, Entra ID, or Microsoft device and security tooling. The exact mix varies by plan, and some capabilities may require a specific tier or add-on.

A reviewed US pricing page featured Business Standard with Copilot at $23.50 per user per month, paid yearly. That is a specific Copilot-inclusive tier, not a like-for-like baseline against other providers’ entry plans. Verify current regional pricing, annual commitment, and any add-ons you need.

Zoho Workplace: integrated apps with mix-and-match options

Zoho lists Mail, calendar, tasks, WorkDrive, Writer, Sheet, Show, Cliq, Meeting, Vault, and Directory. Its Mail-only and Workplace plan options may help when not every employee needs the same bundle. Check which plan covers each role: enterprise pricing and some capabilities are custom or limited by customer scale or region.

Tuta: encrypted email and calendar

Tuta documents end-to-end encryption for email, calendars, and contacts, along with custom domains, user management, and centralized billing. Its business page also states a 99.95% service-level agreement. That figure and Tuta’s post-quantum positioning are vendor statements; confirm the SLA terms for the plan you are considering. The documented scope supports comparing Tuta for email and calendar, not assuming parity with a full document-collaboration suite.

Fastmail: business email and calendar with separately chosen tools

Fastmail describes custom-domain business email, calendar, security practices, spam and phishing protection, and integrations. Its stated approach is to let customers select other services separately. That makes it a possible fit for teams seeking a focused email-and-calendar service, but you will need to account for the cost and administration of any additional tools needed for documents, meetings, storage, or chat.

Compare security and privacy by data type

“Secure” is not a single technical property. Ask what is encrypted, when encryption applies, and who can access each category of information—mail, calendars, contacts, files, documents, messages, backups, and account metadata. A provider’s claims about one product or data type should not be generalized to its entire suite.

Proton markets its business service as end-to-end encrypted and says it cannot access protected organizational data. Tuta describes encryption for email, calendars, and contacts. These are provider statements about their own services, not the result of an independent side-by-side audit. Compare the providers’ current technical documentation and the configuration your organization will use.

Do not treat a provider’s reference to GDPR, HIPAA, or another regulatory framework as a guarantee that choosing the service makes your company compliant. The outcome depends on your obligations, configuration, processes, contracts, and the specific service terms. Map requirements with your security, legal, and IT teams before migration.

Check administration, migration, and collaboration gaps

Administration and identity

Confirm that the plan supports the controls your organization actually needs: user onboarding and offboarding, administrator roles, directory or single sign-on requirements, endpoint controls, retention, audit information, and support. Product-level descriptions do not establish that each control is available in every tier.

Migration scope

Proton describes Easy Switch as transferring Microsoft 365 email, contacts, and calendars, and says it offers business migration support. Treat that as Proton’s stated capability, not proof that all of your data and dependencies will move automatically. Make a separate inventory of files, archives, aliases, identities, retention rules, and third-party app connections, then confirm what is included and what requires another process.

Collaboration coverage and limits

List the day-to-day work your team must keep doing: co-editing documents and spreadsheets, sharing files externally, holding meetings, using chat, and managing shared calendars. For each shortlisted plan, verify storage per user, meeting participant limits, domain allowances, retention, external sharing, and support terms. A provider may cover the core workflow while leaving a gap that requires another service.

A practical shortlist process

  1. Map existing dependencies. Note whether employees work primarily in Gmail and Google Drive, Outlook and Office, or a simpler email-and-calendar setup. Include identity, devices, file storage, meeting habits, and apps that depend on the current service.
  2. Write down must-haves by data type. Specify the encryption, access, retention, audit, and compliance requirements for each category of information. Validate them against current provider documentation and your own obligations.
  3. Choose the right comparison group. Start with Google Workspace, Microsoft 365, or Zoho Workplace if you need a broad suite. Include Tuta if encrypted email and calendar are central, or Fastmail if email and calendar are the main need and you are prepared to select other tools separately.
  4. Check the actual plan, not the brand name. Compare included collaboration apps, admin and identity features, storage, meeting capacity, custom domains, retention, and support at the tier you would buy.
  5. Validate a migration plan. Identify what will transfer, what needs a separate export or import, and which identity or app connections need to be recreated. Confirm vendor support and test representative accounts and workflows before committing the whole company.
  6. Calculate total cost for your team. Use live regional pricing and include user count, monthly versus annual commitment, taxes, needed add-ons, tools that fill bundle gaps, and migration labor. Recheck promotional terms rather than treating a displayed offer as a recurring price.

How to make the final decision

Shortlist the provider that best fits your existing workflow, then eliminate any plan that fails a required security, administration, migration, or collaboration condition. For a broad bundle, compare Google Workspace, Microsoft 365, and Zoho Workplace against the tools your employees actually use. For a narrower email-centered requirement, assess Tuta or Fastmail without assuming either replaces a complete office suite. Keep Proton in the comparison if its current Workspace bundle and plan limits meet your needs; the right choice is the one that satisfies your requirements at a verified total cost.
