Neither Xero nor QuickBooks Online is the right choice for every US small business. Compare the plan that includes the features you actually need, then add payroll, advanced inventory, and other charges to the monthly total. Xero stands out for unlimited users on every plan; QuickBooks Online makes some features available at lower tiers, including multi-currency in Essentials.

How the plans compare

Both products are cloud accounting services with core bookkeeping functions. Their plan names and feature thresholds differ, so compare capabilities rather than assuming similarly priced tiers are equivalent.

At the time the official pages were viewed on October 7, 2026, Xero showed monthly prices after its displayed introductory period, while Intuit’s page showed prices with a three-month introductory discount. These figures are time-sensitive snapshots, not permanent list prices.

Choose by the work your business does

Solo service business with few invoices

If you send relatively few invoices and bills, check whether Xero Early’s limits of 20 invoices and 5 bills fit your normal month. If you regularly exceed either cap, compare the next Xero tier against the QuickBooks plan that has the functions you need. Do not treat a lower entry price as a saving if the plan’s limits force an upgrade.

Business with several bookkeepers or collaborators

Xero’s unlimited-user structure may matter if several employees and an accountant need access. QuickBooks Online’s user limits differ by tier: Intuit’s comparison lists 3 users for Essentials, 5 for Plus, and 25 for Advanced. Confirm the current limit and whether the plan’s other features justify moving up a tier.

Product seller that needs inventory

QuickBooks lists inventory in Plus and Advanced. Xero describes basic inventory and offers advanced Inventory Plus as an optional add-on for Growing and Established. Compare the specific inventory capabilities your operation needs and include the add-on cost, if applicable, rather than treating the word “inventory” as a like-for-like feature.

Business that invoices in foreign currencies

Xero places multi-currency in Established; QuickBooks lists it beginning with Essentials. If foreign-currency transactions are essential, compare the full cost of those qualifying tiers and verify current availability for your business and region.

Business that tracks project time, costs, or profitability

Xero Established includes project time and cost tracking. QuickBooks lists project profitability in Plus and Advanced. The feature descriptions are not identical, so check that the plan covers the project workflow you intend to use before deciding based on tier name or price.

Calculate the real monthly cost

Compare the same operating requirements on both sides. A useful estimate includes the subscription tier, required add-ons, number of users, and charges tied to how you use the service.

  • Choose the plan that includes your required features.
  • Check user limits and, for Xero Early, invoice and bill caps.
  • Add payroll and verify provider pricing and state coverage.
  • Include advanced inventory where needed, including Xero Inventory Plus if applicable.
  • Check payment processing, bill-payment fees, and any optional usage charges.
  • Separate any introductory discount from the ongoing monthly price.

Integrations and claims to interpret carefully

Xero advertises more than 1,000 app integrations, while Intuit’s pricing page says QuickBooks Online connects to over 300 apps. These are vendor claims, not independently audited comparative counts, and the companies may use different definitions. Check whether the specific apps your business depends on are supported rather than choosing by headline count.

Xero’s comparison page also reports that 88% of customers agreed Xero helps improve financial visibility, attributing the figure to a Xero survey in 2024. That company-survey result is not a comparison with QuickBooks and does not establish that Xero performs better.

Make the decision without relying on a universal winner

Shortlist the capabilities that are non-negotiable, identify the lowest tier on each service that includes them, and calculate the monthly total with add-ons and applicable charges. Xero is a natural candidate when unlimited users are important; QuickBooks may suit a business whose needs align with the features it lists at Essentials, Plus, or Advanced. For inventory, foreign currency, and project work, compare the precise tier or add-on requirement before weighing price.
