I still use Google Keep because it suits the kind of note-taking I do most: capturing a thought, making a short list, setting a reminder, and finding the note again without building a filing system first. OneNote is better suited to longer, structured, mixed-media notes. Neither is the right choice for everyone, and this is a workflow verdict—not a claim that one app is objectively faster or more reliable.
Why Google Keep fits my everyday notes
Keep’s core model is a collection of compact notes. I can jot something down, turn it into a list, add a label or color, pin it, or set a reminder. Google also documents drawing and sharing features, along with search and filters for finding saved notes. That combination works for quick capture and retrieval without requiring me to decide where every note belongs first.
Google describes Keep as supporting offline use and synchronization, collaborative editing, and exporting a note to Docs. Those features make it more than a temporary scratchpad: a note can be available across devices, shared, or developed further in a document. The official feature descriptions do not establish how fast or reliable those functions are under every network or device condition.
Google Keep vs OneNote: the difference is the shape of a note
| Workflow | Google Keep | OneNote |
|---|---|---|
| Organization | Compact notes organized with labels, colors, pins, archive, search, and filters. Google Keep Help and Google Workspace | Notebooks contain sections and pages, with tags and search. Microsoft OneNote |
| Note content | Notes, lists, drawings, and reminders are documented features. Google Keep Help | Microsoft lists text, pictures, graphics, handwriting, audio and video clips, lists, and links; its canvas lets users type anywhere on a page. Microsoft Support |
| Sharing and continuity | Google documents sharing, collaborative editing, offline use, sync, and export to Docs. Google Workspace | Microsoft documents sharing and describes OneNote as a notebook for collecting and organizing varied content. Microsoft Support and Microsoft OneNote |
In practice, the documented designs point to different strengths: Keep’s compact-note approach favors lightweight capture, while OneNote’s notebook hierarchy and open canvas accommodate more developed or mixed-media material. That is a workflow inference from each company’s feature descriptions, not a controlled head-to-head performance result.
#1 Best Overall
- Quickly create, access and organize notes, lists and photos with Google Keep. All your notes are automatically stored in Drive.
When OneNote is the better fit
Choose OneNote if a note often grows into a collection of related pages, or if you want to combine typed writing with pictures, graphics, handwriting, audio, video, lists, and links. Its notebooks, sections, and pages provide more explicit structure than Keep’s labels and pins. That structure can help with class notes, project records, or a reference notebook; it may feel unnecessary when the task is simply to save a short thought or reminder.
Pay attention to which OneNote app a comparison refers to. Microsoft says OneNote for Windows 10 reached end of support in October 2025 and recommends using the current OneNote app. Older advice about the Windows 10 app may not describe the version Microsoft currently recommends. What this verdict does—and does not—say about Obsidian
My headline reflects my own experience trying Obsidian and three other apps, but I can’t turn that personal history into a substantiated feature-by-feature comparison here: the other three apps are not identified, and there is no supported basis for claims about Obsidian’s capabilities or how it performed for me. The useful takeaway is narrower: Keep remains my choice for everyday quick notes, while OneNote’s documented structure and media options make it a credible fit for a different kind of note-taking.

How to choose between Keep and OneNote
- Pick Keep if most of your notes are short, you rely on lists or reminders, and labels, colors, pins, and search are enough organization for you.
- Pick OneNote if you routinely build longer notes, want notebooks divided into sections and pages, or need a broader mix of media in one workspace.
- Try both with the same real task—for example, a week of errands or a project’s meeting notes. Notice whether you spend more effort capturing information or organizing it afterward; choose the app that better matches that friction.
