A screenshot is only an image until an application sends it to a printer. First confirm that the capture exists, then open or paste it into an image-capable app, select the physical printer (not Print to PDF), and print. If that fails, print another file and the operating system’s test page. Those two checks quickly show whether the problem is the screenshot, the app, Windows or macOS, the printer connection, the queue, or the driver.
Start by separating capture from printing
There are two independent operations:
- Capture: the screen image is copied to the clipboard or saved as an image file.
- Print: an application rasterizes that image and submits a job to a selected printer.
A blank clipboard, an unsaved Snip, or a capture still open only in a browser is not the same failure as a printer that rejects every job. Identify which state you have before changing printer settings.
Confirm that the screenshot exists on Windows
- With supported hardware, Windows logo key + PrtScn saves a file in Pictures > Screenshots.
- If the device has no usable PrtScn key, Microsoft documents Fn + Windows logo key + Space Bar as an alternative on supported devices.
- The standalone Print Screen key copies the image to the clipboard. Paste it into Paint, Word, or another image-capable application and save it if you need a reusable file.
- For Snipping Tool, open the completed capture rather than trying to print the notification thumbnail.
Confirm that the screenshot exists on a Mac
Open the saved image in Preview or another application that can print images. If you used a clipboard-only capture, paste it into Preview, Pages, or an image editor first, then save or print it from that application.
Print a screenshot on Windows
Method 1: Snipping Tool
- Open the capture in Snipping Tool.
- Choose File > Print.
- In the print dialog, select the intended physical printer.
- Check paper size, orientation, layout, copies, and page range.
- Click Print.
Method 2: an image or document app
- Paste the clipboard capture into Paint, Word, or another suitable app, or open the saved PNG/JPEG.
- Use that app’s File > Print command (or its documented print button).
- Choose the printer and verify the preview before submitting.
If the preview is blank, the issue is still in the image, application, or print settings; it has not yet established a printer fault.

Check the destination and page settings
A common “nothing printed” explanation is that Windows sent the job somewhere else. Confirm that the selected destination is your physical printer, not Microsoft Print to PDF, Print to file, OneNote, or another virtual device. Also check that the screenshot is not outside the chosen page range, that the paper size matches the loaded paper, and that orientation and scaling do not place the image outside the printable area.
Print a screenshot on macOS
- Open the screenshot in Preview or the application in which it was saved.
- Choose File > Print.
- Verify the selected printer, paper size, orientation, scale, and page range.
- Submit the job, then open Print Centre from the Dock or the printer menu if the job does not progress.
In Print Centre, look for an error or a job blocking later jobs. Delete or resolve the offending job as appropriate. Try another file from another application before changing the entire printing system. If only one application fails, follow that application’s print guidance. If the printer is unavailable or expected options are missing, Apple advises adding it again with appropriate printer software or settings. Resetting the printing system is a later escalation, not the first fix.

Use two tests to locate the fault

Fix Windows printer and connection problems
Check the physical or wireless path
- Confirm the printer is powered on, has paper and ink or toner, and shows no panel error.
- For USB, reseat the existing cable at both ends and try a different computer port if available. Do not assume buying a cable is necessary until this connection check fails.
- For Wi-Fi, confirm the computer and printer are on the network expected by the printer, then restart the printer and retry.
Clear the queue and restart Print Spooler
Cancel the stuck job in Windows printer settings. If jobs remain frozen, restart the Print Spooler service, then submit a small test document before retrying the screenshot. A queue that fills with unrelated jobs points away from the image itself.
Run Windows’ guided troubleshooting
On Windows 11, Microsoft directs users to begin with the automated printer troubleshooter in Get Help. Follow its detected-device and queue repairs before reinstalling anything.

Repair recognition and drivers
If Windows cannot find or recognize the printer, recheck the connection, remove and add the printer again if appropriate, and update or reinstall the printer driver using the printer maker’s supported package or Windows’ device settings. A failed operating-system test page after these checks indicates a printer or driver path problem, not a screenshot-format problem.
Microsoft’s current support material covers Windows 10 and Windows 11. Microsoft also states that Windows 10 support ended on October 14, 2025; the exact menus and available troubleshooting depend on your edition and update level.

Fix screenshot-specific failures
The screenshot prints blank
- Open the image and inspect it before printing. If it is blank there, capture again; the printer is not involved.
- Save a clipboard capture as PNG and print the saved file from another app.
- Try a standard PNG or JPEG if the original app uses a temporary or unusual format.
- Check whether an image editor’s layer visibility, transparency, or white-on-white content makes the page appear empty.
Only part of the screen prints
Use the app’s image sizing or “fit to page” option, confirm the page range, and choose landscape for a wide capture. Printable margins can clip edges even when the on-screen image is complete.
It prints tiny, stretched, or rotated
Set the intended paper size, choose an explicit orientation, and compare the preview with the image’s aspect ratio. Disable an accidental poster, booklet, or multiple-pages-per-sheet mode. “Fit” preserves the whole image but may add margins; “fill” uses more paper but can crop edges.

Colors or text look wrong
Check the printer’s color, grayscale, quality, and paper-type settings. A screenshot containing fine browser text may need a higher quality mode, while a large full-page capture may be limited by the printer’s memory or scaling pipeline.
When the printer is not found or jobs disappear
Windows
- Confirm the device is connected and powered.
- Print the operating-system test page.
- Restart the queue or Print Spooler if jobs stall.
- Run Get Help’s printer troubleshooter on Windows 11.
- Update, remove, and reinstall the driver only after the simpler checks.
Mac
- Open Print Centre and resolve or remove the job reporting an error.
- Print from another application.
- If the printer remains unavailable, add it again with the appropriate printer software or connection settings.
- Use Reset Printing System only after the other Apple troubleshooting steps have failed; it removes configured printers and requires them to be added again.
Reliability and workflow tips
- Save important captures with a descriptive filename before printing so you can retry from another application.
- For long web pages, print the page itself or export a PDF when a single-screen image would be unreadably small.
- Use the preview to catch clipping before consuming paper.
- Submit one small test page after changing a driver, queue, or connection, then retry the screenshot.
- Keep the capture and printer tests separate: changing several variables at once makes the next failure harder to interpret.
