A Visio file may be uneditable because you’re viewing it without an editing license or file permission, the web app doesn’t support its format or features, another editor has it locked, or the document or specific shapes are protected. Start by noting whether you’re using Visio for the web or desktop and reading the exact banner or error; then use the matching fix below.
Start with the message and where the file is open
“Read-only” can mean several different things: a browser view without an editing license, a shared file without edit permission, Protected View, an active editing lock, or protection applied to the document or shapes. The app and the exact message help distinguish them.
- If you’re in a browser, check for an editing-license or unsupported-feature message and look for an Edit Diagram or Edit in Browser control.
- If only particular shapes resist changes, investigate shape protection, locked layers, and grouping in desktop Visio.
- If editing works but saving fails, check your permission to edit the file in its OneDrive or SharePoint location and whether another editing session is open.
Why can’t I edit a Visio file in the browser?
Visio for the web can display a diagram that it cannot edit. Microsoft says many desktop-created drawings work in the web editor, but some formats and features have limitations. See Microsoft’s limitations to file editing in Visio for the web for its compatibility guidance.
Check the file format and diagram features
Microsoft lists these formats as unsupported for editing in Visio for the web: .vss, .vst, .vsw, .vdx, .vsx, .vtx, .vsdm, .vssx, .vssm, .vstx, .vstm, and .vsl. Other potential blockers include data-connected diagrams, templates that rely on solutions or add-ins, and layers with Color or Transparency properties.
Large diagrams can also exceed web-editor limits: Microsoft identifies more than 1,000 shapes on a page or more than 50 pages as limitations. A diagram may therefore open for viewing while editing is unavailable or restricted.

For an unsupported layer property, Microsoft’s desktop workflow is to move affected shapes to another layer, remove the unsupported property, and remove unused layers if appropriate. If the file depends on unsupported web features, use compatible desktop Visio instead.
Choose the app that supports the work
Microsoft describes Visio in Microsoft 365 as a lightweight app for basic diagrams; complex engineering diagrams and software development plans aren’t supported for viewing or editing in that app. Visio in Microsoft 365 supports creating and editing .vsdx files. Visio Plan 1 can view more formats, but creates and edits .vsdx. Microsoft says unsupported web features can still be edited in Visio 2013 or later desktop software, subject to file compatibility. Why is Edit in Browser missing?
Browser editing requires an eligible editing license on the signed-in account. A missing command does not by itself mean the file is damaged. Microsoft says that after a license purchase, the Edit in Browser command may take up to 30 minutes to appear. If the license is absent, expired, or disabled, ask your Microsoft 365 administrator to assign or check it. See Microsoft’s guidance on the missing Edit in Browser command.

Check file permissions and active editing sessions
Being able to open a shared drawing does not guarantee that you can edit or save it. Confirm that you have edit permission for the file in OneDrive or SharePoint. If you can make changes but cannot save them, check the location’s permissions and whether another editor has the file open in a conflicting app.
Microsoft says one person cannot edit a file in Visio for the web at the same time another edits that file in the desktop app. Ask the desktop editor to close it, or use the offered read-only view or Save a copy option. Check Protected View and document-level protection
Leave Protected View only if the file is trusted
Protected View opens a file as read-only. If you trust its source and contents, select Enable Editing or, where shown, Edit Anyway. If that control is unavailable, your organization’s policy may prevent leaving Protected View; ask your administrator. Microsoft explains the setting in its Protected View overview.

Remove document restrictions only with authorization
Desktop Visio has Protect Document controls for file-level restrictions. If you’re authorized to change them, inspect those controls and clear the relevant restriction. Shape-protection controls may require enabling the Developer tab. Microsoft documents the steps in its guidance on protecting a Visio drawing.

Why can’t I change one or more shapes?
If the file is editable but a particular shape can’t be selected, Microsoft says it may be protected against selection. Protection can prevent deleting, repositioning, resizing, formatting, editing text, or rotating the shape.
- In desktop Visio, open Drawing Explorer and inspect the shape’s protection settings.
- Check whether the shape belongs to a locked layer. Open Layer Properties and unlock that layer if you’re allowed to change it.
- If the target is inside a group, select the group and then select the target shape again to select a member.
