Use Custom Instructions for standing directions about how ChatGPT should respond, ChatGPT Memory for personal details and preferences that can personalize future chats, and a personal knowledge base for reference material you want to organize and keep independently. These are different layers, not competing places to store everything; you can use all three.
Which place should hold each kind of information?

How ChatGPT Memory and Custom Instructions differ
Custom Instructions are the clearest place for deliberate behavioral guidance, such as “use concise explanations” or a recurring constraint relevant to your work. Memory is better suited to information about you—such as a durable preference or personal context—that may help ChatGPT tailor later responses. This is a practical division based on OpenAI’s descriptions, not a guarantee that every account has identical controls.
OpenAI distinguishes saved memories from reference to chat history. A saved memory is a detail you ask ChatGPT to remember, or that it saves as useful context; it is stored separately from the chat where it originated. Chat-history reference can surface useful details from past conversations, but the information ChatGPT uses can change as it updates what is relevant. OpenAI explains both forms of context.
Do not treat Memory as a transcript archive or the only copy of information you need to keep. OpenAI says ChatGPT does not remember every detail and selects which available information is relevant. The available sources and controls may include past chats, saved memories, Custom Instructions, Library files, or connected apps, depending on what is available for your account. Settings can vary by plan, region, platform, and workspace. Check OpenAI’s current Memory documentation and the controls shown in your own account.

When a custom GPT is involved
Do not assume your ChatGPT context follows you into a custom GPT. OpenAI says custom GPTs do not use saved Memory, Custom Instructions, or previous conversations; each conversation starts fresh. See OpenAI’s GPT documentation.
When a personal knowledge base is the better choice
Choose an external knowledge base when you want reference material to remain organized and accessible independently of ChatGPT, or when you may use it with more than one AI product. This is also the better fit for material you need to preserve in a format or storage location you choose. A knowledge base does not automatically become ChatGPT Memory: you may need to provide relevant material or connect a supported source when a task calls for it.

Obsidian: locally stored files and chosen sync
Obsidian stores a vault as a folder of files on your device, and its notes remain available offline. To use the vault on multiple devices, you choose a sync approach. Obsidian lists its own Sync service, third-party cloud sync, local sync, and version control as options. Its documentation warns that iCloud Drive on Windows may cause file duplication or corruption, so no sync option should be assumed risk-free. Local files can support portability, but the storage arrangement alone does not establish that your particular setup is secure or backed up. Read Obsidian’s sync guide.
Notion: hosted workspace, imports, and connected-source search
Notion supports importing Markdown; imported text becomes searchable and works with Notion AI. Its AI connectors guide describes searching selected third-party sources, including Slack, Jira, and Google Drive, from a Notion workspace. That makes Notion an example of a hosted workspace with connected-source search, but the documentation cited here does not establish feature availability or pricing for a particular plan. A practical way to combine the three layers
- Write recurring response rules in Custom Instructions. Keep them specific and focused on how you want ChatGPT to work.
- Use Memory selectively for personal context. Save only details likely to improve repeated interactions, rather than relying on it to hold a complete record.
- Keep substantial reference material in a knowledge base. Choose a storage and sync setup that fits how you work, and decide how you will back up and maintain it.
- Bring in only relevant sources for a task. Depending on account and service features, you may be able to provide files or connect a source; do not assume a knowledge base is automatically available to ChatGPT.
How to review or limit what ChatGPT uses
Review, correct, and remove stored context
OpenAI places Memory controls under Settings > Personalization > Memory, though the available controls can differ by account. Review the memory summary or available sources, update outdated details where possible, and remove information you no longer want used. Treat saved Memory and the chat, file, or connected source where a detail appeared as separate locations: removing a saved item may not remove that source. OpenAI says removal can require deleting the memory and relevant source material. Turning Memory off does not delete past chats. See OpenAI’s Memory controls guidance.
Use Temporary Chat for a one-off interaction
Temporary Chat does not create memories or appear in chat history by default. At the start, you can choose whether it uses existing personalization; an unpersonalized Temporary Chat does not use Memory or Custom Instructions. That choice cannot be changed after the chat begins, so select it before entering the conversation. Read OpenAI’s Temporary Chat FAQ.

Check storage and sync for an external base
For a personal knowledge base, know who controls the files, where copies are stored, how devices sync, and whether you have a separate backup. These are choices you make with the storage and sync arrangement; a product’s ability to store local files or sync notes does not by itself guarantee a secure configuration or recoverable backup.
