Hire a tax accountant when your business’s tax obligations or decisions have outgrown what you can reliably manage in-house—not when you hit a particular revenue or employee-count threshold. Common triggers include choosing or changing an entity’s tax treatment, adding payroll, handling several kinds of tax filings, working across jurisdictions, or needing help with estimated payments, records, or an IRS matter.

This guidance focuses on U.S. federal taxes. State and local requirements vary by location and business structure; businesses outside the United States need advice for their own jurisdiction.

Signs it may be time to hire a tax accountant

You are forming a business or reconsidering its tax treatment

An LLC’s federal tax classification can affect which taxes it owes and which forms it files. The IRS explains that an LLC may be treated as a corporation, partnership, or disregarded entity for federal tax purposes. If you are forming an entity, considering an election, or unsure which rules apply, ask a qualified professional to compare the options for your circumstances rather than assuming one structure always saves tax. You have employees or are setting up payroll

Payroll brings recurring federal obligations that can include income-tax withholding, Social Security and Medicare taxes, unemployment tax, deposits, and information returns. Worker classification matters: the IRS warns that treating an employee as an independent contractor can result in employment-tax liability and a penalty. State employment requirements may add further work.

Your business may owe a specialized tax

Some products, industries, equipment, or services can trigger federal excise tax obligations. If you are unsure whether an activity creates a filing requirement, get advice before a deadline is missed. The taxes and forms that apply depend in part on the business’s form and activities.

Your records, deductions, or credits are difficult to support

A practitioner may review books and records to help report income and identify deductions or credits. That can also reveal where your recordkeeping process needs improvement. The business still needs to maintain its own supporting records; hiring an accountant does not replace them.

Income changes make estimated payments hard to plan

Federal income taxes generally operate on a pay-as-you-go basis, so some businesses and owners need to make estimated payments during the year. IRS Publication 583 says corporations generally make estimated payments if they expect to owe at least $500 when filing, while sole proprietors, partners, and S corporation shareholders generally do so at $1,000 or more. These are federal tax-payment thresholds described in the December 2024 revision of the publication—not thresholds for hiring an accountant. Check the rules for the applicable tax year.

You are planning a consequential transaction or dealing with the IRS

Seek advice before taking an action with significant tax consequences when possible. A qualified practitioner may also be able to represent a business before the IRS, but representation authority depends on the professional’s status and the issue. Confirm both the person’s authority and the scope of any engagement.

You operate in more than one state or local jurisdiction

Where a business operates, as well as its structure, can affect its tax obligations. State and local income or employment taxes are common examples, but the rules are jurisdiction-specific. The U.S. Small Business Administration’s Pay taxes guidance explains that duties can vary across federal, state, and local levels.

There is no universal revenue or employee-count cutoff

The IRS and SBA guidance cited here describes tax obligations and professional services, but does not set a universal business-size point at which hiring an accountant becomes necessary. The useful test is whether you understand the filings that apply, can keep the records to support them, can meet deadlines and payment requirements, and have the expertise to make decisions that affect your tax position. The estimated-payment figures above address payment rules, not whether a business should hire professional help.

Decide between handling taxes yourself and hiring help

A business with a simple, stable situation may be able to prepare its own filings if it understands the applicable requirements, keeps complete records, meets deadlines, and can make required payments. Routine tax software may help with preparation, but it is not individualized advice about entity choices or a substitute for authorized representation.

Consider paying for professional help when a mistake could have serious consequences, the tax treatment is unclear, payroll or specialty taxes are involved, you need planning beyond entering figures on a return, or your books do not reconcile confidently to your filings. This is a practical decision framework, not an IRS requirement to retain an accountant.

Choose a tax professional who fits the work

The IRS’s March 29, 2024 guidance, Selecting a tax professional as a small business taxpayer, recommends checking qualifications and the work arrangement before engaging a preparer. Use this checklist:

  • Search the IRS Directory of Federal Tax Return Preparers for recognized credentials or Annual Filing Season Program completion.
  • Check the preparer’s history and verify enrolled-agent status where applicable. Do not assume every credential gives identical rights to represent taxpayers.
  • Ask about experience with your entity type, industry, payroll, excise taxes, multi-state activity, and the forms you need.
  • Get fees up front and clarify what is included: for example, whether the engagement covers only an annual return or also bookkeeping review, estimated-tax planning, other filings, IRS correspondence, and year-round questions.
  • Ask whether the preparer is an authorized e-file provider and whether help is available outside filing season.
  • Review the completed business return before signing. The IRS states that taxpayers remain responsible for the information on their returns, regardless of who prepares them.
  • Confirm that the paid preparer signs the return and includes a Preparer Tax Identification Number (PTIN).

Keep the accounting system fit for your business

A tax accountant can advise on reporting and tax decisions, but the business needs a system for capturing transactions and retaining supporting records. IRS Publication 583 describes journals and ledgers as tools for recording and totaling transactions. A paper ledger can suit a small operation that can maintain it consistently, but it is optional: it is not a tax-preparation service and does not replace source documents or a complete accounting system.
