Before choosing a note-taking app—or moving an existing archive—test three things with your own notes: whether search finds what matters, whether the notes you need are available on every device (including offline), and whether you can export a usable copy outside the app. Feature labels alone do not establish how well these tasks work in practice.
How to test whether search works for your notes
There is no comparative search benchmark established here for the apps discussed, so treat search as a hands-on decision test, not a product ranking. Use representative material from your actual workflow rather than relying on a demo or a list of supported features.
- Choose several notes you would need to find quickly: for example, one with an unusual phrase, one whose title you remember, and one you normally locate by tag.
- Search for distinctive words from the note body, its title, and its tags. Check whether results are relevant and whether you can identify the right note without opening many unrelated results.
- If you keep important information in attachments, test a phrase or filename from a representative attachment. Do not assume that searching note text also searches every attached document.
- Notice whether a newly added or edited note appears in search immediately or only after a delay. Repeat the test after syncing another device if that is part of your workflow.
- If you need search while disconnected, turn off the network and repeat the test on the device you expect to use offline. Search availability can depend on what content is stored locally and indexed on that device.
A useful app is not necessarily the one with the longest feature list; it is the one that reliably retrieves the kinds of notes you actually need, under the conditions in which you need them.
Check what sync and offline access mean on each device
Sync and offline access are related but different. Sync copies changes between devices when they can connect; offline access depends on having the relevant content available locally before the connection disappears. Verify behavior separately on desktop and mobile, and check whether offline availability requires configuration or a paid plan.

For any app, test a complete cycle: make a change online, disconnect, open and edit the note on the device you expect to use, then reconnect and check that the change appears on your other devices without creating duplicates or losing edits. The exact controls and offline requirements vary by app and platform; consult the app’s current documentation for your edition.
Do not treat sync as a backup
Sync keeps devices aligned, but it does not necessarily give you an independent recovery copy. A deletion, account problem, sync conflict, or damaged local data may be reflected across synced devices. Maintain a separate backup and learn how to restore it before you need it.

Obsidian recommends backing up files and documents and documents several ways to sync a vault. Its guidance warns that mixing sync services on the same vault can cause conflicts or corruption. Use one deliberate sync approach for a vault, and keep a separate backup that is not simply another live sync of the same files. See the Obsidian sync guide.
- Find out where the app stores local notes and attachments, and whether your backup method includes both.
- Check how to restore a note or a whole archive, not just how to create a backup.
- Try restoring a small sample to a separate location so you can verify that the copy is readable.
- For encrypted sync, know who controls the key and what happens if it is lost.
Encryption and key recovery
Obsidian Sync offers end-to-end encryption, but the user must retain the encryption password. Obsidian Help states: “If you ever lose or forget the encryption password, you won’t be able to connect additional vaults to your remote vault.” Obsidian also says it cannot recover a forgotten password or the encrypted data. Its documentation notes that some metadata is not end-to-end encrypted, so do not assume every sync mode or every piece of information has identical privacy properties. Review Obsidian’s security and privacy documentation and keep the password somewhere secure and recoverable to you.

Evaluate exports by opening them outside the app
An export is useful only if it preserves the information you need in a form you can access later. Check both the available format and what it contains: note text, formatting, links, tags, and attachments may not all transfer in the same way.

Run a small migration test first
- Choose a small sample that includes plain text, formatted text, internal and external links, tags, and at least one note with an attachment.
- Export it using the method available in the app and platform you actually use.
- Open the exported files without signing into the original app. Check whether text is readable and links and attachments still work.
- Import the sample into the destination app, if migration is your goal. Inspect formatting, links, and attachments there, too.
- Only after the sample meets your needs should you export or migrate the full archive. Keep the original data and an independent backup until you have verified the result.
A practical decision checklist
Before committing to a note-taking app, answer these questions with your own devices and representative notes:

- Search: Can you find notes by a body phrase, title, and tag? Does attachment search meet your needs? How quickly do new notes become searchable, and does search work offline if required?
- Sync and offline: Which devices keep full note content locally? What needs setup or a subscription? Can you make and sync an offline edit without conflict?
- Export: Which formats can you produce, on which platforms, and do they include attachments? Can you open the output independently of the original app?
- Privacy and recovery: What is encrypted, who holds the recovery key, what happens if you lose it, and how will you restore an independent backup?
There is no single best answer for every workflow. A person who needs phone access on a commute should prioritize mobile offline behavior; someone leaving an app should focus on export completeness and repeatable recovery. Test those decisive cases before moving important notes.
