Gmail is Google’s email service. It stores messages in Google’s cloud and lets you send, receive, search, and organize email in a web browser or the Gmail app for Android and iOS. Its tools include labels, filters, spam detection, and—in some accounts—offline access and AI features. What you can use depends in part on whether your account is personal or managed by a school or workplace.
What is Gmail?
Gmail is Google’s cloud-based email service. A Gmail account gives you an email address and a mailbox you can access on supported devices. Because messages are stored online, you can open the same mailbox from a browser or mobile app rather than keeping mail only on one device. Google also offers Gmail as part of Google Workspace for eligible work and school accounts, where access to features and connected services may be controlled by an administrator.
How does Gmail work?
You compose a message, enter recipients, and send it through Gmail; incoming mail appears in your mailbox. Gmail provides search and organizational tools to help you find and manage messages. Labels can categorize mail without behaving exactly like traditional folders: a message can have a label and still be available in All Mail after you archive it. Filters can automatically apply actions to messages matching criteria you choose.
What features does Gmail have?
Search and message organization
- Search: Find messages in your mailbox instead of paging through the inbox manually.
- Labels and filters: Categorize messages and automate organization based on criteria.
- Stars: Mark messages for easier follow-up.
- Snooze: Temporarily remove a message from the inbox and have it return later.
- Archive and delete: Archive to remove a message from the inbox while retaining it in All Mail; delete when you want to remove it from the mailbox.
Spam detection and writing assistance
Gmail includes spam detection and smart writing features such as Smart Compose and Smart Reply. Google provides account settings to control Smart Features and Personalization; available controls and behavior can depend on the account.

Gemini and other AI features
Google lists Gmail AI capabilities such as summaries of long conversations, natural-language answers over Gmail search, AI Inbox, voice interaction, and scheduling assistance. These are not universal features of every Gmail account: availability varies by plan, account type, location, language, and platform. Check Google’s current Gmail feature availability information for the applicable requirements.
Offline access in Chrome
Gmail can be configured for offline use in a regular Chrome browser window. After messages sync, you can read, search, and reply to them without a connection. Replies written offline wait in the Outbox and send when the device reconnects. Offline Gmail does not work in Chrome Incognito, and the amount of mail that can sync is constrained by browser storage. See Google’s instructions for using Gmail offline for setup and settings.

Work and school integrations
For eligible Workspace accounts, Gmail can be used alongside Google Chat and Meet. Whether these services are available or enabled depends on account eligibility and administrator settings.
What is a Gmail account?
A Gmail account is the Google account used to sign in to Gmail and access its mailbox. Personal Gmail accounts and work or school accounts managed through Google Workspace are not identical: administrators can manage settings and feature access for organizational accounts, and some Google features are limited to particular plans or account types. A Gmail address can therefore provide a different set of capabilities depending on how the account is managed.

Privacy and security in Gmail
Encryption and email in transit
Google says Gmail messages are encrypted in transit and at rest in its data centers. For email traveling between providers, Google specifies TLS when both providers support it; if the sender’s provider does not support TLS, the message may not be encrypted in transit. Gmail displays a security indicator for supported encryption types. Google also documents S/MIME and client-side encryption for eligible Workspace editions and configurations. Client-side encryption adds protection to message bodies and attachments, but not to headers such as subject lines, timestamps, and recipients. Ads and smart features
Google states, “We do not scan or read your Gmail messages to show you ads.” Google says ads may appear in the Promotions or Social tabs of personal accounts and are selected automatically based on online activity while signed in; it says work and school accounts are not shown Gmail ads. These statements describe Google’s published practices, not an independent audit. Google also describes controls for smart features and personalization, reviewing account data, deleting it, and downloading it. When Gmail’s features may differ
- Account type: Personal Gmail and Workspace accounts can have different features and controls.
- Administrator settings: A school or employer may enable, disable, or manage services for its users.
- Plan, location, language, and device: Google’s AI feature availability depends on these factors, so a feature shown in one account may not appear in another.
- Browser and storage: Offline use requires Chrome, a regular browser window, and enough browser storage to sync selected mail.
