An Internet email service is the networked system that submits, transfers, delivers, stores, and provides access to email over the Internet. It involves several cooperating components—not just an email app—including SMTP for sending and relaying, a standard format for message contents, and mailbox-access protocols such as IMAP or POP.

How an Internet email service works

Email moves through a sequence of systems. A person composes a message in an email client or webmail interface; the sending system submits it to an SMTP service. That service transfers the message toward the recipient’s mail domain, sometimes through relay systems. DNS mail exchanger (MX) information helps identify the receiving host. The recipient’s service accepts the message and makes it available in a mailbox, which the recipient’s software accesses using a protocol such as IMAP or POP. Providers may arrange these functions differently.

  1. Compose: The sender uses an email client or other user agent to create a message.
  2. Submit and transfer: The sending system submits the message through SMTP, which can relay it toward the recipient’s mail system. RFC 5321 describes SMTP’s objective as transferring mail reliably and efficiently.
  3. Accept and store: The receiving service accepts the message and stores or otherwise delivers it for the recipient.
  4. Access: The recipient’s email software connects to the mailbox using IMAP or POP.

Message contents and delivery information are different

An email has both message content and transport information. The SMTP envelope contains originator and recipient addresses used to route delivery. The message itself contains header fields and, optionally, a body. The envelope is not the same thing as the visible message headers or body.

RFC 5322 specifies the format of Internet message contents, while RFC 5321 describes SMTP transport and envelope behavior. MIME extends message formatting to support multimedia attachments and other structured content, as outlined in RFC 5598.

What SMTP, IMAP, POP, and MIME do

Component Role Where it fits
SMTP Submits and transfers mail between systems, including through relays. Sending and delivery.
Internet Message Format (IMF) Defines the structure of message headers and content. Message representation.
MIME Extends message formatting for multimedia attachments and structured content. Message representation.
IMAP Provides access to a mailbox; the current cited specification is RFC 9051, version 4rev2. Reading and managing stored mail through software.
POP Provides a mailbox-access option for email software. Reading mail from a mailbox.

How an email service differs from an email app

An email provider operates or arranges the networked services that accept, transfer, store, and expose mailboxes. An email app, webmail interface, or other user agent is the software a person uses to compose and read messages. The app interacts with the service; it is not the entire service architecture. SMTP, IMAP, and POP are protocols that support those interactions.

What TLS protects—and what it does not establish

TLS can protect connections used for email submission and mailbox access. RFC 8314 covers TLS for SMTP submission, IMAP, and POP access. This connection protection alone does not establish that a message is encrypted end to end between sender and recipient.
