Flagging an email usually marks it for your own follow-up: it helps you find the message again or remember to act on it. It does not automatically mean the email is spam, dangerous, unread, or that someone else has been notified. The exact effect depends on the email app and the flag settings.
What an email flag does
A flag is an organizational cue. In Outlook, you can flag a received message as a reminder to act on it later, or flag a sent message to track whether someone responds. Depending on the version and settings, you can also attach a reminder or due date and see flagged items in task-related views. Microsoft’s Outlook guidance covers Outlook for Microsoft 365, Outlook 2024, and Outlook 2021.
In Outlook.com, a flag is a visual reminder to return to a message, and you can filter your message list to show flagged mail. Microsoft 365 account holders can also add a reminder to a flagged Outlook.com item. Microsoft’s Outlook.com guide distinguishes this from pinning.

Does flagging an email notify anyone?
An ordinary flag is for your organization; it does not inherently send a notification to the sender or another recipient. Outlook has a separate option to flag a message for recipients. Microsoft says that if a recipient uses Outlook, the flagged item can be added to that person’s to-do list, and a reminder can be included. That recipient-specific setup is different from flagging a message just for yourself.

How flags work in different email apps
Outlook
Outlook follow-up flags can be used on received messages to prompt your own action and on sent messages to track responses. Depending on the Outlook version, reminder choices include Today, Tomorrow, This Week, Next Week, No Date, or a custom date. Flagged items may appear in the To-Do Bar, Tasks, or Calendar Daily Task List. Options and locations can vary by version.

Use a flag when you want to return to a message later; use the flagged-message filter to find it. A pin instead moves a message to the top of the inbox. A reminder is available for flagged items for Microsoft 365 account holders.
Gmail
Gmail does not use an identical Outlook-style follow-up flag. Its comparable tools are stars, snooze, and importance markers: starring makes a message stand out and lets you view or search for starred mail, while snoozing hides a message until a time you choose and then brings it back. Google’s Gmail organization and archiving guide describes these workflows for desktop and web.
Apple Mail on Mac
In Mail on Mac, you can flag messages, see the flag in the message header, and find flagged messages in the Flagged mailbox. You can clear flags, use multiple flag colors, and rename a color—for example, “Red” to “Urgent.” The Flagged mailbox appears in the sidebar when you use more than one flag. These details apply to Mail on Mac, not necessarily other Apple devices. Apple’s Mail for Mac guide also describes Follow Up Suggestions, a separate feature: if a sent message gets no response in three days, Mail on Mac can automatically bring it back to the top of the inbox. You can ignore a suggestion or turn the feature off in settings.
Flagging versus starring, pinning, snoozing, and archiving

Archiving is not the same as flagging, starring, or snoozing. Gmail also treats muting a conversation, reporting spam, and deleting a message as separate actions.
How to remove or complete a flag in Outlook
Outlook distinguishes finishing a follow-up from removing its status:
- Mark Complete: changes the flag to a check mark and retains a completion indication in applicable task views.
- Clear Flag: removes the follow-up flag and its record from follow-up views. For a sent message, clearing the flag changes what the sender sees; recipients still see the flag.
When to use a flag
- Flag a received message when you need to reply, make a decision, or take another action later.
- Flag a sent message in Outlook when you want to track a response.
- Choose a reminder or due date when the app offers one and you need a time-based prompt.
- Use a pin when you want a message to stay visibly at the top of the inbox, or snooze when you want it to return at a chosen time.
Exact behavior and interface labels depend on the app, version, platform, and account type; not every email provider implements flags the same way.
