It can hold more data than many small thumb drives, but is bulkier and may cost more. If you want files available across devices, cloud storage or a built-in phone-to-computer transfer tool may be more convenient. USB flash drives still make sense for small offline transfers, boot media, and some firmware tasks.
What can I use instead of a USB flash drive?
Choose based on what you need to do, not on whether thumb drives have supposedly disappeared. There is no single replacement for every job: an external SSD suits large offline transfers, cloud storage helps with access across connected devices, and a cable or wireless tool can move files between compatible devices without separate storage media.

Is an external SSD better than a flash drive?
For large folders, frequent transfers, or keeping files offline, a portable SSD is often a better fit. It generally offers more capacity and stronger transfer performance than many small thumb drives. That is category-level guidance, not a test result or a guarantee about every SSD and flash drive.
The trade-off is portability and cost: an SSD is larger than a thumb drive and can cost more. Before buying, check the capacity you need, the connector on the drive, and whether your computer or phone supports it. Compare models against your budget rather than assuming that a particular capacity or speed applies to every product.

What is the easiest way to transfer files between devices?
If both devices can get online, cloud storage can make files accessible across them without carrying a drive. Microsoft recommends considering cloud-based backup for access across devices. For Windows backup, the choice depends on your connection and the size of the files: Microsoft points to an external or network drive when internet is unavailable or the files are large. Microsoft’s Windows backup guidance applies to Windows 10 and 11; it notes that Windows 10 support ended on October 14, 2025.
For moving files between a phone and computer, use the platform’s built-in options if they fit your devices:

- Android: Google documents transfer through a Google Account, a USB cable, or Quick Share for Windows. Some steps require Android 14 or later, and not every USB cable carries data. See Google’s Android transfer guide.
- iPhone: Apple documents transferring files to external storage, a server, or the cloud. Connecting storage may require a compatible adapter; cloud service fees might apply. On supported USB-C iPhone models, the Files app can format external drives as APFS, ExFAT, or MS-DOS (FAT). See Apple’s instructions.
- Moving to a new Windows PC: Microsoft lists direct network transfer, external drives, cloud storage, and manual copying. Its Windows 11 guide says Windows Backup works best when both PCs use the same Microsoft account and the files fit within available OneDrive storage. A cable is not automatically simpler than a drive: confirm that it supports data transfer and that both devices offer compatible connections. Wireless and cloud methods also depend on device support, setup, and—when using cloud storage—an internet connection.

- Choose cloud storage when you need to access or share files across devices and have reliable internet. Check the service’s storage allowance and any recurring fee before relying on it.
- Choose an external SSD when transfers are large, internet is unavailable or unreliable, or you need a local copy for offline work. Check device compatibility and whether you need an adapter.
- Choose a cable or wireless transfer when you are moving files between compatible devices and do not need to keep a separate copy on removable storage.
- Choose an SD or microSD card when it already fits your camera or other device workflow and you have a compatible reader for the destination.
- Keep a thumb drive when you need boot media, firmware tools, or a simple way to carry a small offline set of files.
Also distinguish a one-time transfer from a backup. Moving a file once does not give you a recoverable second copy if the original is lost. The UK National Cyber Security Centre’s guidance is written for small and medium-sized UK organisations: it recommends keeping external backup devices secure and disconnecting them when not in use, and suggests considering both online and device copies for added resilience.
