For a small business in India that takes payments face to face, a merchant UPI QR is usually the simpler starting point. For a website or app—or one checkout that can offer UPI alongside other payment methods—a payment gateway is generally the better fit. The two are not alternatives at exactly the same level: UPI is the payment system, a QR code is one way to start a payment, and a gateway is an online payment intermediary or integration.
What is the difference between UPI, a QR code, and a payment gateway?
UPI is the underlying payment system. A merchant QR code gives a customer a way to start a UPI payment by scanning it in a UPI app. A payment gateway or payment aggregator supports online checkout by connecting a merchant’s website or app with payment services. A gateway may offer UPI as one of several payment methods; it does not replace UPI.
NPCI lists QR, intent, application-based, and collect as merchant UPI integration modes. It says merchants need to partner with an acquiring bank to enable UPI infrastructure. See NPCI’s UPI FAQs. RBI’s 2019 discussion paper on payment aggregators and gateways provides background on those intermediary roles, but it is not a current provider price list.
Which option suits each kind of small business?

Choose based on where the customer pays
If you mainly sell in person
Ask your bank or acquiring provider about a merchant UPI QR if UPI is enough for your face-to-face sales. Before adopting it, confirm which account receives funds, how staff can check transaction status, how refunds are handled, when settlement occurs, and how to get support. NPCI says merchants should raise transaction grievances with their acquiring bank and request refunds through the bank’s defined process.

If you sell through a website or app
Compare gateways or acquiring providers on UPI support, checkout integration, other supported payment methods, fees, settlement, reconciliation, refunds, and customer support. Ask the provider which online UPI flow applies to your site or app and whether any requirements have changed. NPCI’s March 2024 circular describes “Pay by any UPI App” prominence and specifies intent for app-based or mobile-web merchants and dynamic QR for other web-based merchants instead of collect. Treat it as dated guidance: confirm current implementation requirements with your provider because later circulars may affect them.
If you use both channels
A hybrid business can use a merchant QR for in-person transactions and a gateway for online checkout. They address different sales channels, so a business does not necessarily need to choose just one.

What to confirm before accepting QR payments
A merchant QR can contain details such as the merchant UPI ID and amount, which appear on the payer’s payment page after scanning, according to NPCI’s UPI FAQs. For large dynamic QR designs, NPCI’s 2026 merchant QR guidelines address display and branding, including showing the merchant UPI ID and “Scan & Pay with any UPI app.” Follow the applicable guidance supplied by your acquiring provider.
- Verify that the QR is the merchant QR issued through your acquiring arrangement and that it points to the intended merchant account.
- Train staff to confirm the transaction in the acquirer’s or bank’s transaction records rather than treating a customer’s screen or a displayed QR as proof of payment.
- Get the provider’s written process for transaction disputes and refunds, as well as its settlement timing and support contact.
An optional countertop stand can make a merchant’s own QR easier to display, but a stand is only a holder: it does not generate a valid merchant QR, process a payment, or confirm a transaction.
