To track time reliably, start a timer when work begins or enter the time afterward, describe the work clearly, assign it to the right task or project, and review the resulting timesheet for gaps or mistakes. This guide walks through that workflow and shows where to find the relevant tutorials for Clockify, Toggl Track, and Harvest; exact controls vary by product and device.
Build a time-tracking workflow
A useful time record answers three questions: when you worked, what you worked on, and which project or client the work belongs to. Capture the time close to when it happens, use consistent descriptions and categories, and review entries before relying on a timesheet or report.
1. Choose how to capture time
- Use a live timer when you can start tracking as a task begins and stop when it ends. This reduces reliance on memory.
- Add a manual entry when the work is already finished or you forgot to start a timer. Enter the correct date and duration, then identify the work clearly.

2. Describe and categorize the work
Write a short description that will still make sense when you look back later, such as “Prepare monthly sales report” rather than “Work.” If the app supports it, assign the entry to the relevant task and project. For client work, associate it with the client as well. Harvest’s guide explains its structure: tracked time is tied to a task assigned to a project for a client. This organization can support project analysis and client billing, but a time entry is not by itself proof that a client should be billed.

3. Select a device and app workflow
Time-tracking services may offer web apps, desktop apps, mobile apps, and browser extensions. Choose the route that fits where you work, then follow that product’s instructions; controls and available features are not identical across services or platforms.
Harvest describes browser, desktop, mobile, and browser-extension tracking, and says its mobile app can record time offline and sync when connectivity returns. Toggl Track’s documentation covers mobile, desktop, and browser-extension workflows; its Android guide notes that advanced data-structure setup and reporting are available through the web app.
Product-specific tutorials

Review timesheets and reports
Recording time is only useful if the entries are accurate enough for their next purpose, whether that is checking your workload, understanding project effort, or preparing a client invoice. Review the entries in the service’s timesheet or report area. Clockify’s tutorial collection includes timesheets, reports, and approvals; other products may organize or offer these features differently.
- Look for days or work periods with no entries where work should have been recorded.
- Check descriptions and task, project, or client assignments for mistakes.
- Look for overlapping entries that may double-count the same work.
- Confirm that manual entries use the intended date and duration.
- If an approval process is available and relevant, follow that product’s instructions before treating submitted time as approved.
Reports and approval steps are product-specific. Consult the relevant product’s help pages rather than assuming a workflow from one app applies to another.

You forgot to start the timer
Add the work manually if the app allows it. Use your calendar, task history, or other reliable records to reconstruct the time, and label the entry accurately rather than leaving it uncategorized.

You are unsure which project or task to choose
Use the project’s established naming and category scheme. If the work spans projects or the right assignment is unclear, resolve that before submitting a timesheet or using the record for billing.

Your mobile entry has not synced
If your service supports offline tracking, reconnect the device and allow it to sync. Harvest documents this behavior for its mobile app; do not assume every app handles offline records the same way.
A feature or control is missing
Check the instructions for the same product and platform you are using. Some workflows differ between web, mobile, desktop, and browser extensions; Toggl Track, for example, directs users to its web app for advanced data-structure setup and reporting.
