Choose consultant time-tracking software by starting with how you bill: hourly, fixed-fee, or a mix. Then check whether it can organize time by client and project, distinguish billable from non-billable work, produce useful reports, and fit your invoicing and accounting workflow. Solo consultants often benefit most from quick entry and client-ready reports; teams may also need approvals, capacity planning, and profitability reporting.
What consultants need from time-tracking software
A useful tracker does more than record start and stop times. It turns work into information you can use to support invoices, monitor project effort, and plan workload. Track time against the right client, project, and—where useful—task, so a report can explain what the hours represent. Harvest describes billable-hour tracking, reports, and invoicing for consulting and IT firms (Harvest consulting time tracking); Toggl describes comparing project estimates with actual hours and reporting billable value, utilization, margin, and team capacity (Toggl Track for consultants). These are vendor-described capabilities, not independent test results.
- Billing model: Hourly and time-and-materials engagements need dependable billable-hour records. Fixed-fee work still benefits from tracking effort against estimates and project budgets.
- Classification and rates: Check whether you can separate billable and non-billable time and set rates at the level your work requires, such as client, project, or task.
- Reporting: Decide whether you need client-facing hour summaries, estimate-versus-actual comparisons, or internal views such as utilization and capacity.
- Team controls: If several people enter time, consider approvals, permissions, and team reporting alongside individual tracking.
- Workflow fit: Determine whether you need invoices inside the tracker or only a clean way to move time into an existing accounting system.

Decide whether you need invoicing in the tracker
Time tracking and invoicing can live in one service, but capturing hours does not automatically make a tool a complete accounting or invoicing system. If your current finance software already handles invoices, tax, and payment records, prioritize reliable exports or integrations and verify that the connection works on your plan. If you want to move logged hours directly onto invoices, evaluate the end-to-end workflow, not just the timer. Harvest describes invoicing alongside time tracking, and FreshBooks describes pulling tracked hours onto invoices; verify current availability and plan terms with each provider.

Use this selection process
- Write down your engagement types. Identify which clients are hourly, time-and-materials, fixed-fee, or mixed. Note whether you need to track effort against an estimate even when the fee is fixed.
- Map your reporting needs. Specify what clients should see and what you need internally. A client-ready breakdown may be enough for a solo practice; a team may also need utilization, capacity, approvals, or profitability views.
- Choose an entry method people will use. Compare timers with manual timesheets and check web, desktop, mobile, calendar, or browser capture where relevant. Toggl describes several of these capture options; confirm what is currently included in the applicable plan.
- Trace the path from time entry to payment. Determine whether hours become an invoice in the same service, are exported, or sync to your accounting platform. Check the exact integration and plan support rather than assuming a listed connection covers your workflow.
- Check total cost and limits. Confirm current price, billing frequency, seats, project limits, and feature gates for the plan you would actually use. For example, Harvest’s pricing page accessed October 7, 2026 displayed Teams from $9 per seat per month with annual billing or $11 per seat per month with monthly billing; these are vendor-listed USD prices and should be rechecked before purchase. Its page also listed a free individual tier with one seat and two projects.
- Review policy fit before entering client data. Check the provider’s current privacy, security, and retention documentation against your client contracts and jurisdiction. The feature pages cited here do not establish whether a service meets a particular client’s or consultant’s requirements.
Common selection mistakes
- Choosing on the timer alone: A fast timer is of limited help if entries cannot be organized into the client and project reports you need.
- Assuming a billing feature means full accounting: Confirm what the service actually handles, what your accounting platform must still do, and how records transfer between them.
- Buying team features for a solo practice—or overlooking them for a team: Match seats, approvals, permissions, and reporting to how work is actually assigned and reviewed.
- Relying on an old price or plan comparison: Prices, limits, integrations, and included features change. Confirm them on the vendor’s current plan page before committing.
