Workday time tracking works the same way at every employer in one respect: your organization decides which methods you can use, which screens you see, and how corrections are handled. The core options are a check-in and check-out control, a time-entry calendar or weekly grid, mobile entry, or a shared kiosk. Whether you can clock in from your phone depends on whether your employer has enabled mobile time tracking for your role and location.

What Workday time tracking does

Workday Time Tracking records when you work, turns those records into time, and routes that time for approval and payroll. Workday describes clock-in and clock-out actions as time-clock events. The system matches those events and translates them into time blocks, which then appear on your time-entry calendar. Your employer may also import time from a third-party time-collection system, so some of the time you see may have been recorded outside Workday.

The product covers configurable time entry, approvals, calculations, and integrations with payroll and other timekeeping systems. What your organization turns on is a configuration choice, not a standard feature set that every tenant shares.

How to clock in and out

There is no single menu path for every Workday customer. The steps below follow the general pattern Workday documents for employees, and your screen labels may differ.

  1. Sign in to the Workday app or the Workday website your employer provides. On a phone, the organization must first authorize mobile access and give you the credentials it requires.
  2. Open the time or time-tracking task your employer uses. Depending on configuration, this may be a check-in/check-out control, a calendar, a weekly grid, or a kiosk screen.
  3. If you are checking in, follow the prompts. Some organizations ask for a time type, worktags, a comment, a meal or break attestation, or a checkout reason. Answer only what is shown; questions appear when the employer has enabled them.
  4. Review the time that was recorded. If your workflow requires submission, submit it from the same task.
  5. If a punch is missing, wrong, or blocked, use your employer’s correction process or contact your manager or timekeeping administrator. Workday documentation describes the configuration and permission controls behind corrections, but it does not prescribe one correction procedure for all employers.

Can you clock in on Workday from your phone?

Often yes, but only where your employer has turned it on. Workday’s mobile documentation lists check-in and check-out, editing times where the employer allows it, entering and submitting time, viewing schedules and totals, and manager approvals as mobile capabilities. Reminders, comments, time types, worktags, checkout reasons, and meal or break attestation questionnaires can also appear on mobile when they are configured.

Not every task appears on every device. Workday publishes a mobile-versus-desktop feature matrix that shows these differences, so check that matrix for your app version before assuming a function is available. As of October 2026, Workday’s Android download page listed version 2026.10.0.42212, released 2026-10-06. App versions change often, so compare your installed version with the store listing rather than relying on this figure.

Why you may be blocked from clocking in

A blocked punch usually reflects a rule your employer configured. The most common causes described in Workday’s documentation are the following:

  • Mobile access not enabled. Your organization has not authorized mobile access for your account, or you have not received the credentials it requires.
  • Geofence restriction. Administrators can set geofences. If your phone is outside the allowed area when you try to punch, the clock may refuse the event.
  • Scheduled-location or scheduled-time restriction. Where Workday Scheduling is in use, a punch can be limited to the location or time on your schedule.
  • Early check-in control. Your employer may block check-in before a scheduled start time, or allow it only within a set window.
  • Required fields not completed. A time type, worktag, attestation, or checkout reason can be mandatory, and the punch may not complete until you answer it.
  • Permissions or eligibility. Security domains and eligibility rules determine which workers and tasks you can reach. A manager or administrator may need to adjust your access.

When none of these explains the problem, contact your timekeeping administrator with the time, location, and screen message you saw. Those details let them check the rule that fired.

Entry methods compared

Workday documents several ways to get time into the system. The table below compares the four that matter most to a worker or a team choosing a setup. Where the official sources do not state a requirement, the cell says so.

Workday’s entry reference also covers high-volume time entry on a grid, manager mass entry, time-clock history, and schedule-based autofill. A team that enters many blocks at once usually benefits from the grid, while a team that clocks events during a shift relies more on check-in and check-out.

What administrators should decide

For organizations choosing a setup, the decision rests on a handful of configuration questions rather than on the brand of the device:

  • Which workers need individual mobile punches, and which share a kiosk or physical clock?
  • Do punches need geofence or scheduled-location restrictions, and do they need early check-in controls?
  • How many blocks are entered at once, and does the workload call for a grid or for event-based check-in?
  • Which time types, worktags, and meal or break attestations must be captured?
  • Who approves time and handles exceptions?
  • Does time need to flow into payroll or from an external clock?
  • What correction procedure will workers follow when a punch fails?

Workday’s administrator documentation covers the configuration behind these questions, including security domains, time-entry templates, eligibility, validations, approvals, and calculation rules. Overtime and premium calculations, meal and break validation, time accumulators, auditing, and anomaly or exception handling are listed as capabilities. Workday describes these as product features. The official sources do not provide independent measurements of savings, accuracy, or compliance results, so treat them as functions to configure and test in your own environment.

Seconds, precision, and what gets stored

The mobile clock can display time down to the second. Workday stores and uses those seconds in calculations only if the relevant time-entry template is configured to track them. Employees who see seconds on screen may still find that totals are rounded to the minute or another unit, depending on the template. Administrators should confirm the template setting before promising precise totals.

Where the official information stops

Workday’s administrator guides, capability reference, and mobile documentation describe what the product can do and how it is configured. They do not establish a universal screen layout, a single correction workflow, or the hardware that any particular organization must use. The product marketing pages, including Workday’s UK time tracking software page, state vendor claims rather than measured results. For a definitive answer about your own clock-in method, your timekeeping administrator or Workday support team is the authority.

Before you change how your team records time, ask your administrator to confirm the following for your tenant:

  • Whether mobile check-in is enabled for your role and location, and whether a geofence applies
  • Which required fields appear at checkout, including attestations and checkout reasons
  • Whether the time-entry template tracks seconds
  • Which tablet, app version, or time clock the organization supports for kiosk or physical punches
  • Who handles corrections, and how quickly they are processed
