HubSpot time tracking is usually handled through a connected app, not a universal timer built into HubSpot. The right setup depends on what you need to measure: billable client work, project delivery, or time spent on support tickets. Before connecting an app, verify which HubSpot records its entries can be associated with and where that time can be reported.

How time tracking works with HubSpot

HubSpot Marketplace listings include apps that combine project management with time tracking. That does not mean every app records time against the same HubSpot objects, or that HubSpot provides one built-in tracker for every team. Treat “integrates with HubSpot” as a starting point: check the app’s listing and vendor documentation for the specific time-entry workflow and data it sends or receives.

For example, the ProjectOps listing in the HubSpot Marketplace describes extending HubSpot Projects with reusable project templates, automated project setup, resource capacity, time tracking, budget visibility, project health, and delivery management. This is the vendor’s description; confirm the features and behavior that matter to your account before choosing it.

Choose a workflow before choosing an app

Billable professional-services work

If your team needs to charge clients for time, check whether the app distinguishes billable from non-billable entries, supports rates and approvals, and generates invoices or passes the required data to an invoicing workflow. Tracking hours and producing invoices are separate capabilities; available evidence does not establish that a particular HubSpot app handles both.

Project delivery and capacity

For delivery teams, look beyond a start-and-stop timer. Consider whether you need project budgets, capacity planning, templates, project-health views, or delivery management, and verify that the chosen app supplies them in the way your team works. Marketplace descriptions can identify advertised capabilities, but do not substitute for confirming them in the product.

Support-ticket time

For support teams, the key question is whether a time entry can be attached to the relevant HubSpot ticket and whether the resulting data can be reported by ticket, agent, or time period. A general integration listing does not guarantee ticket-level association or reporting. Test this workflow with representative tickets before relying on it.

What to compare

Check What to verify
Record association Can entries be linked to the HubSpot records you use, such as projects, deals, tickets, or tasks?
Billing Are billable and non-billable hours, rates, approvals, and invoice creation supported? Confirm each capability separately.
Reporting Can you report by person, project, deal, ticket, and date range? Determine whether reports live in the app, HubSpot, or both.
Project controls Does the product provide the capacity, budget, template, project-health, or delivery-management features your team requires?
Integration behavior Which fields and records sync, in which direction, under what permissions, and are time entries available to HubSpot reports?

Connect an app and test the workflow

  1. Find the app: Search for the time-tracking or project-management app in the HubSpot Marketplace and review its listing and vendor documentation for the records and time-entry features you need.
  2. Check access: HubSpot’s app-connection guidance says connecting an app requires Super Admin or App Marketplace permissions. Ask an appropriately permissioned account administrator to complete the connection if needed.
  3. Connect the vendor account: Follow the app’s connection flow and review its requested permissions before authorizing access.
  4. Configure supported sync: Set up only the records and fields the app supports. HubSpot’s data-sync guidance explains supported app connections and sync configuration, but does not itself guarantee that a time-entry field or ticket association is available for a specific app.
  5. Test with real-shaped examples: Create a representative time entry and confirm that it is associated with the intended record, appears in the expected report, and follows your billing or project process. Test ticket-linked entries separately if support time is the goal.

What to verify before committing

  • Which HubSpot objects can hold or link to a time entry.
  • Whether entries can be reported by the people and records your team needs.
  • Whether billable-hour controls and invoice creation are included, if you need them.
  • What information syncs to HubSpot, the sync direction, and the permissions required.
  • Current feature availability and pricing for your region and account; these can change and are not established here.
