For a design studio, useful time tracking does more than record hours: it connects each entry to the right client, project, and task, then makes it possible to compare estimated effort and delivery cost with actuals. Clockify, Toggl Track, and Harvest describe features for doing this, but no single tool is established as the universal winner—and tracking software alone does not guarantee better margins or prevent scope creep.
What a design studio should get from time tracking
Good records help a studio answer practical questions: How much effort has this project consumed? How much budget remains? Which work is billable, and what did delivery cost? What is the team’s capacity for upcoming work? The value comes from linking time entries to the studio’s commercial and project structure, rather than collecting hours in isolation.
For fixed-fee work, compare tracked effort and labor cost with the agreed fee or budget. For hourly work, billable hours and applicable rates can inform billing. The software pages describe functions that support these comparisons; they do not establish that using a tracker causes projects to become more profitable or prevents overruns.
How to compare time-tracking tools
- Capture friction: Check for timers, manual entry, timesheets, task-based tracking, and browser, desktop, or mobile options. Calendar-event capture can help if it fits the team’s habits.
- Project structure: Confirm that entries can be assigned to clients, projects, and tasks, and distinguished as billable or non-billable.
- Budget visibility: Look for estimates or fixed-fee budgets, progress indicators, forecasts, and alerts that can flag a budget approaching its limit.
- Commercial reporting: Determine whether reports support the studio’s needs for rates, labor costs, billable value, revenue, profit, margin, invoices, exports, or client sharing.
- Team planning: Consider workload, availability, utilization, approvals, recurring projects, and integrations with the tools the studio already uses.
Compare the current product documentation and plans against these requirements: vendor feature pages describe capabilities, not independent tests.

All three can be considered against the same workflow: capture time, associate it with the right work, and use the resulting records for project or business decisions. The available descriptions do not support a universal ranking.
Choose a tool by testing your actual workflow
- Map your work structure. Write down how the studio separates clients, projects, phases, and tasks, and decide which activities are billable.
- Define the decisions the records must support. For example, you may need to compare hours with a fixed-fee budget, review billable time before invoicing, or see team utilization.
- Check how people will enter time. Match available timer, manual, timesheet, and app options to how designers actually work. A feature is useful only if the team can record time against the right project without undue friction.
- Review a representative report. Confirm that the tool can show the distinctions you need—such as project, task, billable status, rate, or labor cost—and that reports can be shared or exported if required.
- Verify planning and integration needs. If approvals, capacity planning, or connections to existing work tools matter, confirm their current availability in the product documentation and plan details.
- Compare the resulting fit, not feature counts. Choose the option that supports your capture habits and reporting decisions with the least workflow disruption.
Use tracked time without treating it as a guarantee
A tracker can make effort and cost more visible, but the records are only useful when the team logs work consistently and the project structure reflects how the studio operates. A budget alert can draw attention to a threshold; it cannot by itself resolve a scope disagreement or improve an estimate. Likewise, reported profit or margin depends on the rates, costs, and project data entered.
