The right time clock depends on what kind of entertainment business you run. Film and television productions usually need a timecard workflow that routes crew hours for approval and connects them to production payroll. Theatres, attractions, galleries, sports venues, and event operators more often need attendance punches tied to shifts, departments, locations, and payroll.

Those are different jobs, so compare systems by how staff work and how approved time reaches payroll—not just by whether a product has a clock-in button.

Film and television production

Production crew timekeeping is often a payroll workflow rather than a simple punch clock. Entertainment Partners describes SmartTime as a digital timecard tool for crew submissions and approvals, with production teams able to route approvals and calculate items such as overtime, meal penalties, night premiums, and other production-specific amounts. Its Production Finance Studio workflow covers payroll submission and archiving.

Theatres, venues, attractions, and events

A venue typically needs to record attendance across shifts and may also need to assign time to departments, roles, or locations. Ready Theatre Systems describes employees punching in at an RTS station, selecting a department, recording breaks, and exporting hours to payroll. It also describes labor reporting that can be compared with sales and admissions. See its time-clock information for the vendor’s description.

For workplaces where schedules and attendance need to work together, Deputy markets workforce scheduling and tracking to theatres, galleries, museums, sports venues, and event operations. TCP Software and RosterElf also describe timekeeping and scheduling workflows for attractions or event venues. Check geographic availability and the specific payroll connections offered before choosing any of these services.

Compare how time is captured and approved

Fixed stations, mobile clocks, web submissions, and kiosks suit different work patterns. A station at a register or staff entrance may fit a venue where shifts begin at a predictable location. Mobile or web timekeeping can suit workers who move between sites or roles. A kiosk may provide a shared clock-in point where employees do not use individual devices.

The vendor examples describe different combinations: RTS describes station or register punches and an optional fingerprint reader; Deputy describes mobile timekeeping tied to shift scheduling; RosterElf describes scheduling and attendance workflows; and TCP describes timekeeping and scheduling for venue operations. These descriptions do not establish a standard feature set, so verify what each product actually offers for your locations and employees.

Ask vendors to demonstrate the full correction and approval path, not just a successful punch:

  • Can time be coded to a production, role, department, or location?
  • How does a supervisor correct a missed punch, and is the original entry and edit history retained?
  • Can the system flag discrepancies and route approvals to the right person?
  • Can workers record breaks, and how are the relevant rules configured?
  • Does the system export approved time to your existing payroll service, and in what format?
  • Does recorded time also support production costing or venue labor reporting, or does it feed payroll only?

Match pay rules to the work

Production and venue systems may need to handle different pay concepts. Production workflows can involve overtime, meal penalties, night premiums, rates, allowances, and code splits. Venue workflows may center on shifts, breaks, roles, departments, and locations. A product’s general claim to support timekeeping does not confirm that it handles your specific agreements or payroll rules correctly.

Consider a fingerprint reader only for a compatible station

RTS says a fingerprint reader can be added to a station so staff can punch in as themselves. That supports asking about a fingerprint time-clock accessory when evaluating the RTS station workflow. It does not establish that an arbitrary biometric fingerprint clock will work with RTS or with another attendance system. Confirm the exact hardware, compatibility, availability, and applicable workplace requirements with the vendor before buying.

A practical buying checklist

  1. Map the workflow. Decide whether you need production crew timecards routed to payroll or hourly attendance and scheduling across venue shifts.
  2. List where shifts start. Identify fixed entrances, registers, remote sites, and jobs where workers move between departments or locations.
  3. Test the exception path. Ask a supervisor to demonstrate a missed-punch correction, approval, and the history visible afterward.
  4. Verify pay-rule handling. Show the vendor your real examples of production premiums, breaks, rates, allowances, or department coding, as applicable.
  5. Trace the payroll handoff. Confirm whether approved hours integrate directly, export through a provider-specific process, or require a file such as CSV; establish whether they also feed production costing or labor reports.
  6. Check fit for your jurisdiction. Confirm availability, payroll connections, contract terms, and worker-specific labor requirements where the business operates.

The products named here are vendor-described examples, not independently tested or ranked options. Feature availability, integrations, and requirements can change, so verify current details with each provider.
