For uploaded recordings, compare batch transcription and its timestamps, speaker labels, and language support. For microphones or call streams, verify live recognition and whether interim results, channels, or speaker labels are available in that exact mode. Then test a shortlist on consented audio that represents your users and vocabulary: provider documentation describes capabilities, not a head-to-head quality benchmark.
Start with the audio path your database needs
“Speech-to-text” can mean transcribing a saved file after upload, processing a file stored in cloud storage, or recognizing speech as it arrives from a microphone or call. Some products document both batch and live paths, but that does not mean the same model, features, limits, or output format are available in both.
- Batch: A user uploads a recording or your service submits an existing media file. This suits archives and workflows where a transcript can arrive after processing.
- Streaming: Audio is sent during a live session. The service may return provisional text before a finalized result; keep those event types distinct in your application.
- Both: If you need live records and later transcription of stored recordings, check that each required feature works for both paths. Do not assume a file-transcription feature is also supported in a live session.
For example, OpenAI documents file transcription and a separate Realtime path for microphone or media-stream transcription. Its guide says speaker labeling is not supported in Realtime transcription sessions, even though a specialized file-transcription path provides diarized output. See OpenAI’s speech-to-text guide.
Compare the documented API fit
The table is a shortlist of documented workflows and the main items to verify, not a quality ranking. Feature availability can depend on the model, language, region, API version, and whether audio is streamed or submitted as a file.

Decide what a searchable transcript must preserve
A flattened block of text can support basic full-text search, but it discards timing and speaker context that help users jump to evidence, inspect a conversation, or correct a transcription. Treat the recording as the source artifact and its transcript as a related, revisable record.
Keep recording and job metadata
Associate each transcript with a stable recording ID and a reference to the original media, subject to your access and retention policy. Store the provider and model identifier, language or locale, requested features, job state, timestamps for creation and updates, and any provider request identifier needed to investigate a failure or retry.

Store segments, not just a transcript string
Use a child table or structured JSON for time-bounded segments. Useful fields include start time, end time, segment text, and a provider speaker label when available. Keep word-level timing if the product needs word-level playback or highlighting; sentence or utterance segments may be enough for other search and review needs. Preserve the raw provider response when contract terms and retention rules permit, so a future schema change does not erase details your normalized fields omit.
Handle revisions and live events deliberately
Keep human corrections separate or give them an explicit revision history rather than silently overwriting provider output. For a live stream, store interim recognition events separately from finalized segments; provisional text can change and should not be indexed as immutable transcript content. For asynchronous batch work, make retries idempotent around a recording or job identifier, track provider request state, and normalize results at an adapter boundary while retaining provider-specific metadata needed for audit or reprocessing.

Use speaker labels carefully
Diarization groups speech into turns or segments that appear to come from the same speaker within a recording. It is not verification of a person’s real-world identity, and a label from one recording should not be treated as a dependable identity across recordings.
Store labels such as speaker_0 within the scope of that recording. If a product needs to connect a voice to a named person, handle that as a separate, justified process with appropriate consent and safeguards; do not infer identity from diarization alone.

Build a fair evaluation before committing
Documentation tells you what an API offers, not which service will best transcribe your recordings. No comparable independent accuracy benchmark is established by the provider material cited here, so test candidates against the same representative corpus instead of selecting from marketing claims.
- Define the input: List whether you will process uploaded files, stored recordings, microphone audio, call streams, or a mix.
- Fix the language and vocabulary: Identify languages, dialects, accents, names, product terms, and specialist words that matter in your records.
- Set required output: Decide whether you need word timestamps, speaker turns, channel tags, alternatives, interim updates, redaction, or confidence information.
- Filter on feasibility: Check each requirement against the exact API version, model, language, region, and ingest mode. Eliminate candidates that cannot supply a necessary feature under your conditions.
- Prepare consented representative audio: Include the range of recording quality, speakers, accents, background noise, and domain vocabulary your application will encounter. Create human-checked reference transcripts where feasible.
- Measure what affects your product: Compare word error against the references where feasible, proper-name and domain-term handling, speaker attribution, timestamp usefulness, latency for the intended mode, operational failure rate, and total cost.
- Review data governance: Check retention, data use, deletion, access controls, and regional processing terms for the actual recordings before sending them to a provider.
- Estimate comparable cost: Use current rate cards and the same audio duration, channel count, batch or streaming mode, add-on features, retries, and relevant storage or egress assumptions. Recheck prices before implementation because rates and terms can change.
Choose a shortlist by requirement, not brand
- For recorded files with structured transcript needs: Start with APIs whose documentation explicitly covers the required timestamps, diarization, languages, or vocabulary handling. Compare the output shapes and constraints against your database design.
- For live recognition: Shortlist only APIs with a documented streaming or real-time path for your input type. Test whether interim results, finalization behavior, channels, and any speaker features meet the application’s needs.
- For a mixed archive and live product: Treat batch and streaming as separate evaluation cases, even when one provider offers both. Model and feature parity across those workflows must be verified, not assumed.
- For sensitive recordings: Make governance and regional processing hard requirements, and review the applicable terms for the exact service configuration before upload.
The appropriate choice is the API that passes your required-feature checks and performs acceptably on your consented evaluation set at a workable operating cost. Revisit the shortlist when models, regions, previews, or terms change.
