In Quicken, assign an expense the category that describes what you bought or paid for—not simply the merchant. Open the transaction, choose or type the category, and save it. Correct an inaccurate suggestion, split a charge when it covers distinct purposes, and use a tag only when you need extra context such as a client or project. The steps differ between Quicken Classic for Windows and Quicken Business & Personal.

What categories do in Quicken

A category answers, “What was this money for?” It classifies income, expenses, and transfers, and supplies the detail used in budgets and reports. A merchant may sell items for different purposes, so the transaction’s payee alone is not always enough to choose a category. Quicken describes categories as “what you spent (or earned) money for” in its Using Categories & Tags help.

Choose one category when a transaction has one meaningful purpose. If a receipt covers several kinds of spending, allocate the relevant amounts to separate categories with a split. Use a tag for context that may span categories—for example, a client or project—rather than as a replacement for the expense category.

Choose the workflow for your Quicken product

Quicken Classic for Windows

  1. Open the account register and locate the transaction.
  2. Click its Category field. Type a category or select one from the list; category groups include personal and business income and expenses, rental-property categories, transfers, and all categories.
  3. Save the transaction. To change a wrong assignment, select the correct category in the same field and save again.

Quicken Business & Personal

To manage categories and tags, open Settings > Categories & tags. Categories describe what was earned or spent; tags add context across categories. You can also create a category from a transaction’s Category field. Choose an income or expense category and its personal or business designation as appropriate. Keep personal and business classifications distinct. For a mixed-use purchase, split the amount so only the business portion is assigned to a business category. A single transaction cannot be split between income and expense categories; record those as separate transactions. Quicken also supports category and tag rules for downloaded transactions, so check the result rather than assuming an automated rule captured the purchase correctly. Fix a suggested or missing category

Quicken may suggest a category based on payee history, memorized payees, or merchant codes. A suggestion can be missing or wrong: a generic description such as VISA or MasterCard may not identify what you bought, and one merchant may cover multiple purchase types. In Quicken Classic for Windows, manual entry checks memorized payee information and matching payees in the register; without a match, the category may remain blank. Downloaded or imported transactions may also use a matching Memorized Payee List entry or a financial-institution merchant code. Automatic categorization is controlled in preferences.   1. Check the transaction description and, if available, the receipt to identify the actual purpose.
  2. Select or type the category that best describes that purpose. If no suitable category exists, create one or choose the closest meaningful existing category.
  3. If the charge covers distinct expense types, split it into category-specific amounts instead of assigning the whole amount to one category.
  4. Add a tag only if context such as a client, project, or reimbursable status will help you analyze the spending later.
  5. Save the transaction, then check category totals in a report.

Split a transaction across categories

Use a split when a single charge has meaningful portions that belong in different categories. Enter a line for each purpose and its amount, then check that the split lines add up to the full transaction total before saving. You can add an optional tag to a split line when it needs context such as a client or project.

Quicken Classic for Windows

Open the split dialog from the register, then enter a category, optional tag, and amount for each line. Quicken’s Classic guidance, updated March 27, 2024, says a transaction can contain up to 250 split items. Resolve any difference between the transaction total and the split total before saving. Quicken Business & Personal

Use the transaction’s split controls to allocate amounts to the appropriate categories. Check that the lines total the full transaction amount; if the transaction combines personal and business spending, assign only the business portion to a business category. Decide how much detail to track

Category or tag?

Use a category for the type of income or spending, such as meals. Use a tag for a context that may apply across categories, such as a project. In Business & Personal, tags can also help track clients or business activity; avoid adding them when they will not improve later analysis.

Broad category or subcategory?

Start with Quicken’s default categories. Add a subcategory when separating that detail will improve a report or a decision you make. A long list of narrowly defined categories can make reports harder to read and maintain; use detail consistently rather than creating a new category for every merchant or one-off purchase.

Personal or business?

In Business & Personal, choose the appropriate designation and keep the categories distinct. Split a mixed-purpose charge when only part of it belongs to the business. The software’s classification helps organize your records; it does not by itself determine tax deductibility.

Create or manage categories in Quicken Classic for Windows

  1. Choose Tools > Category List.
  2. Select New Category.
  3. Choose income or expense, then select a parent category if a subcategory is useful.
  4. Save the category. You can rename categories; Quicken updates the associated transactions.

For tax organization, a category’s Tax Reporting tab lets you assign a tax form and line. That mapping is a recordkeeping feature, not a determination that an expense is deductible. The Classic category-management steps are in Quicken’s category help.

Review category spending in reports

In Quicken Classic for Windows, use the Banking Transactions report to review categorized transactions. Subcategory amounts appear as subtotals beneath their parent category. This can help reveal a transaction assigned to the wrong category or a split that needs correction.
