Choose Microsoft 365 for desktop Office and Microsoft-centered workflows
If staff need installed Word, Excel, and PowerPoint, Business Standard or Premium is the relevant starting point in the plan descriptions; Basic is limited to web and mobile Office apps. Microsoft 365 is also the more natural fit if your team already organizes work around Teams and Microsoft files, or if you want identity, threat-protection, and device-management features within the same vendor’s business suite.

Do not treat an encryption claim as proof that every document workflow, integration, administrative control, or compliance obligation is equivalent between vendors. Map the data and workflows you need to protect, then verify how the specific plan handles them.

The same US page describes plans for 1–300 users and 1 TB of cloud storage per user. These are a dated US snapshot, not a universal current quote: Microsoft presents different prices on pages for different plan variants, including options with and without Teams, and regional prices and taxes vary. Confirm the exact plan, Teams inclusion, billing term, and checkout total.
Privacy and security are different decision axes
Proton’s product positioning centers on privacy and end-to-end encryption. Microsoft’s business-plan descriptions emphasize tiered security and management capabilities. Those approaches address overlapping but not identical needs: encrypted collaboration is not a substitute for every administrative control, and having management tools does not by itself answer whether a particular data workflow meets your privacy requirements.

- Email and domains: Which mailboxes, custom domains, aliases, and calendars need to move, and what domain support does the selected plan provide?
- Files and documents: Which shared drives, Office files, spreadsheets, templates, and collaboration habits must continue working?
- Identity and devices: What sign-in, device-management, threat-protection, and retention controls are required, and are they included in the exact plan?
- Meetings and integrations: What participant capacity do you need, and which third-party apps or existing Teams workflows must remain connected?
- Existing commitments: Do you already pay for Microsoft tools or rely on Microsoft identities? Include remaining commitments and the cost of any tools the new suite would not replace.
- Commercial terms: Compare the same user count, billing cadence, regional tax treatment, and included Teams variant; check Proton’s current country-specific price rather than relying on an unavailable figure.
How to decide
- Start with a must-have. If installed Office apps are essential, compare Microsoft Standard and Premium rather than Basic. If privacy-first encrypted services are the main requirement, evaluate Proton’s specific collaboration workflows.
- Match administration to risk. List the security, identity, device, and retention controls you need, then verify each feature and license on the proposed plan.
- Check capacity and cost on equal terms. Compare storage, domains, meeting limits, users, billing period, taxes, and plan variants against your actual needs.
- Map the transition. Identify what must move and which integrations or commitments affect the choice before selecting a suite.
In short, Microsoft 365 is the more straightforward fit for businesses built around Office, Teams, and integrated administration; Proton Workspace is a stronger candidate when its privacy-oriented bundle better matches the business’s priorities.
