Our verdict on SysTools Email Backup Wizard
SysTools Email Backup Wizard is desktop software for exporting email from IMAP-based accounts into PST, MBOX, EML, MSG, and PDF files. It is aimed at individuals, businesses, IT administrators, and managed service providers that need to back up multiple accounts from the same or different IMAP servers. Windows and macOS editions are available, with support for Gmail, Outlook.com, Yahoo Mail, AOL Mail, Zoho Mail, iCloud Mail, GMX, Rediffmail, GoDaddy Webmail, Zimbra Mail, RoundCube, and other IMAP servers. The product is most suitable for budget-conscious users who want file-based control over their email archives rather than a cloud-only backup destination.
Pricing is centered on one paid plan, IMAP Backup, shown at $5 per user as a one-time license with a five-user minimum. The plan covers backup from IMAP domains, exports to the listed file formats, and PST splitting after download. A free demo is limited to 100 emails, so organizations evaluating the product should account for the minimum purchase requirement when comparing costs. The published plan structure is straightforward, but it does not present multiple paid tiers with different feature levels.
The strongest functional case is its combination of account coverage, filtering, preservation, and destination choices. Date and category filters help narrow backup jobs, while folder hierarchy and email metadata are preserved. Incremental backup handles newly received email, and custom IMAP server settings extend the workflow beyond named providers. OAuth 2.0 authentication is available for Microsoft 365 and Gmail, and CSV backup reports provide a record of completed jobs. Backups can be saved to local drives, USB devices, NAS, and network storage. Choose it for desktop-based IMAP archiving with multiple export formats; choose an alternative if you need a free plan, a lower minimum purchase, or a primarily cloud-hosted backup service.
