Our verdict on CitaFlow
CitaFlow is a cloud appointment-management platform for psychologists and other appointment-based businesses. It brings online booking pages, embeddable calendar widgets, therapist schedules, patient profiles, session history, reminders, payment collection and shared calendar management into one service. Practices can organize multiple therapists, specialties, availability, recurring appointments, and both in-person and online session types. Its positioning suits individual providers as well as clinics managing multiple branches, with roles, permissions and activity audit logs available for broader operational control.
Pricing is modular rather than centered on one all-inclusive plan. The Starter plan costs €29 per month and includes online bookings, a full calendar and CRM, a public booking page, and unlimited email reminders. AI Chat Mini costs €19 per month for 300 AI conversations, while AI Chat Pro and AI Chat Business cost €39 and €109 per month for 1,000 and 3,000 conversations. AI Chat can also be priced at €0.19 per conversation. AI Voice Lite, Go and Pro cost €29, €65 and €169 per month for 150, 400 and 1,200 voice minutes. This structure lets clinics choose channels selectively, but the total cost can rise beyond the core booking plan.
The strongest fit is a clinic that wants several automated entry points for appointments. The AI phone receptionist handles calls, while the chatbot supports WhatsApp, Telegram and a web widget. Automatic WhatsApp, SMS and email reminders, Stripe Connect deposits and prepayments, and two-way Google, Apple and iCal synchronization extend the scheduling workflow. Integrations with Zapier, Make, n8n, Shopify and webhooks support wider automation. Clinics that need multi-branch administration and varied booking channels should find the feature coverage relevant; providers seeking a simple, low-cost scheduler or a single bundled price should look elsewhere.
