Bookwhen is web-based booking software for businesses, individuals, and nonprofit organizations running classes, courses, activities, events, and virtual sessions. It combines hosted customizable booking pages with embeddable schedules, attendee details, tickets, online and offline payments, attendance registers, memberships, passes, vouchers, and discounts. Its event-focused feature set makes it a strong fit for organizers managing group bookings rather than individual appointment rotations.
The published plans scale by booking volume, team size, and booking-page capacity. Free includes 50 bookings per month, one team member, one booking page, and free events only, with iframe or API website integration. Lite raises capacity to 300 bookings per month and adds two team members, payments, discounts, and online events. Standard includes 800 bookings, five team members, three booking pages, reminder emails, and waiting lists. Plus increases capacity to 1,800 bookings, 10 team members, and six booking pages while retaining those additions. Enterprise offers bespoke plans, a franchisor system, reseller accounts, and class search portals. A 14-day free trial is also available.
Bookwhen connects with Stripe, PayPal, and WorldPay for payments, and with Zoom, YouTube, and Vimeo for online sessions and video. Calendar feeds work with Google Calendar, Apple Calendar, and Microsoft Outlook, but the calendar flow is one way from Bookwhen to external calendars. The API and iframe options support website integration without limiting organizers to hosted booking pages. Choose Bookwhen when event registration, ticketing, recurring schedules, attendance, and waitlists matter most. Organizations seeking two-way calendar synchronization or round-robin scheduling should consider a different fit.
