Online reputation monitoring means regularly finding public reviews and discussion about your business, deciding what needs attention, and getting it to someone who can act. Monitor review profiles separately from broader mentions on social platforms, news sites, blogs, and forums: the sources and alert coverage differ, and no single service should be assumed to see everything.
What to monitor
Start with terms that identify your business and the conversations that matter. Mention’s guidance recommends defining an alert goal, filtering by source, country, and language, and excluding irrelevant results where possible: Mention alert guidance.

- Your business and product names, including common misspellings and spacing variations.
- Key executives or spokespeople when public discussion about them could affect the business.
- Campaign names, product lines, and distinctive taglines.
- Competitor or category terms only when you have a clear comparison or trend-monitoring purpose.
- Exclusions for unrelated uses of a common brand word or name.
Review the first results from each alert and refine the terms. Too broad a query creates noise; an overly narrow one can miss useful variants.
Separate customer reviews from wider brand mentions
Review sites capture ratings and customer feedback. Social listening may capture public posts, comments, news, blogs, and forums. These are related but not interchangeable: a service may cover specified social pages or review websites without having universal access to every platform. Check its documented sources, account requirements, countries, and languages before relying on it. Mention describes its own coverage in its overview and monitoring guidance.
#1 Best Overall
Include the review profiles customers actually use, including any industry-specific sites, as well as public web sources relevant to your audience. Distinguish public-web listening from analytics available only for accounts you connect.
Set up alerts and assign ownership
- List terms and sources. Record the brand variants, products, people, campaigns, review profiles, social sources, and public sites to monitor.
- Configure alerts. Set source and geography filters, add language or phrase controls where available, and exclude unrelated terms. Inspect sample results and adjust.
- Choose delivery and coverage deliberately. Confirm whether alerts arrive in-app, by email, or through another route, and whether the service covers the precise pages and review sites you need.
- Name a primary reviewer and backup. An alert is useful only if someone reviews it and knows whether to answer, escalate, or pass the issue to another team.
- Define escalation paths. Set out who handles safety, legal, service, and reputational concerns, and agree on response expectations.
- Review themes on a schedule. Daily or weekly checks can fit ordinary operations; a significant incident may warrant more frequent review. Choose a cadence that your team can sustain.
- Close the loop. Reply where appropriate, report policy violations through the platform’s process, and send recurring product or service issues to the responsible team.
For Google Business Profile, Google’s API reference describes notifications for new and updated reviews through a configured Google Cloud Pub/Sub topic. This is an API-based setup, not proof of a universal one-click alert setting for every business. Check the current documentation and availability before implementing it: Google Business Profile Notifications API reference.

Respond to reviews professionally and ethically
Google recommends replies that are professional, relevant, and short. Acknowledge the concern, state what you can do next, and avoid exposing private customer details in a public response. Google Business Profile Help says: “Reviews can help your business stand out and give potential customers helpful info.” Google’s review tips.

Google says only reviews that violate its policies are eligible for removal; disagreement or dislike alone is not enough. Report suspected violations through the platform’s process and continue working on the customer issue. Google notes review evaluation typically takes several days: Google’s review reporting guidance.

Keep review requests genuine. Google requires reviews to reflect actual experiences and prohibits incentives in exchange for posting, changing, or removing a review. Do not buy reviews, offer a discount for a favorable rating, or pressure a customer to delete criticism. See Google’s content policy and review tips.
Choose a monitoring service by coverage, not promises
Compare services against the sources and workflow you need. A product’s feature list is not evidence that it can monitor every public platform or every account. Check the current plan, integrations, and source requirements before committing.
- Which review sites, public sources, and owned social pages are covered?
- Are country, language, phrase, source, and exclusion filters available?
- How quickly are alerts delivered, and through which channels?
- Can a team assign or route alerts, report on recurring themes, and export data?
- What is the total cost at your expected alert volume, and are the needed sources included?
Mention’s help materials describe brand and competitor alerts, source filters, notifications, reporting, and monitoring of specified social pages and review websites. These are vendor-documented features, not an independent evaluation or a claim of universal platform coverage. Verify current coverage, account requirements, pricing, and integrations in its overview and alert documentation.

Measure whether monitoring leads to action
Track operational measures that help improve the process, such as time to first response, unresolved complaints, recurring issue categories, rating trends, and the share of alerts that are relevant. These are useful internal measures, not published industry benchmarks. A rise in public mentions is not necessarily representative of all customers’ views.

For capturing a webpage as evidence for a support or reputation workflow, ScreenshotNeo provides a one-request screenshot or PDF API. It is not a review-monitoring service; use it to capture pages you have identified through your monitoring process. See the ScreenshotNeo API documentation.

Quick Recap
ScreenshotNeo accepts consent banners like a visitor and removes more than 60 known consent platforms, newsletter popups, and chat widgets before capture; each step can be disabled. Bot checks, blank pages, timeouts, failed loads, and cache hits are not billed, and responses indicate the page verdict and billing status. Its MCP server offers screenshot and PDF tools for AI agents. The Free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000. Sign up for free.
