New Outlook for Windows can save email, calendar events, and people on your device for offline use, then update those saved items after you reconnect. Offline support is still partial compared with classic Outlook, so whether it is enough depends on the work you need to do without a connection.
What works offline in new Outlook
Microsoft Support says offline access is turned on by default in new Outlook for Windows. With a local copy of selected data, you can use a range of mail, calendar, and people features without an internet connection. When you reconnect, Outlook updates the items saved locally. Email and folders
- Read saved messages, view attachments and inline images, create and save drafts, and add attachments to drafts.
- Compose messages for sending: Outlook queues them in Outbox until a connection is available. You can also reply to and forward messages.
- Search saved mail and view search folders.
- Create, rename, move, and delete folders. You can also archive, categorize, copy or move, delete, flag or unflag, ignore, mark read or unread, pin, report junk or phishing, RSVP to meeting invitations, and snooze messages.
- View shared mailboxes that have been added as accounts.
Calendar and people
- View saved calendar events and people.
- Creating, updating, and deleting individual calendar events is listed as Targeted Release in Microsoft’s support article, so its availability may depend on the release ring and account.
If you try an operation that is not available offline, Outlook may display an error or revert the change to the last saved state.
How to set the offline data window
- In new Outlook for Windows, open Settings > General > Offline.
- Choose which folder groups to save: Default, Default and favorites, or Default, favorites, and recently used.
- Choose how many days of email to keep on the device: 7, 30, 90, or 180. Microsoft documents 30 days as the default.
These choices are made per account. The amount of available device storage can limit what Outlook saves or disable offline access. Increasing the retention window or selecting more folders uses more local storage.

What changed in 2025
Microsoft expanded new Outlook’s offline capabilities in stages during 2025. These were shipped changes, not still-upcoming announcements.

These dates and changes are documented in Microsoft’s Outlook feature history and Microsoft 365 Apps release notes. Other 2025 additions—including Ctrl+F message text search, shared mailbox management changes, reply-to options, Copilot summaries, newsletter tools, and continued PST improvements—are separate from offline access; some depend on account eligibility or rollout.

What remains unavailable or limited offline
Microsoft’s support article lists several tasks that are not available offline:
- Changing the email sort order or viewing the Other inbox when Focused Inbox is enabled.
- Changing notification, signature, or calendar settings while offline.
- Viewing shared folders or email and calendar groups.
- Viewing favorited people, categories, or search folders; editing people; or viewing the entire global address list.
- Using Outlook add-ins.
There is a distinction between viewing a search folder—which Microsoft lists as available offline—and viewing a favorited search folder, which it lists as unavailable. Likewise, saved signatures can be used offline, but changing signature settings is listed as unavailable.

Is offline support comparable to classic Outlook?
No. Microsoft’s feature comparison, last updated September 23, 2026, marks offline support as Available in classic Outlook and Partially available in new Outlook. The support article’s task-by-task list shows why that distinction matters: new Outlook covers reading, drafting, sending later, and organizing saved mail, but not every calendar, shared-folder, contact, settings, or add-in workflow. Before moving from classic Outlook, check the tasks you actually need to perform offline. If you mainly read and organize mail, draft messages, and view saved calendar items, the new Outlook feature set may cover those needs. If you depend on offline calendar edits, shared folders, add-ins, or editing contacts, the listed limitations may affect your workflow.

How to check rollout status
Feature availability can vary by release ring and organization. Microsoft says features first go to Targeted Release for 30 days before rolling out to Standard Release. To check what is being rolled out, consult the Microsoft 365 Roadmap; for organization-specific update status and timing, administrators can check the Microsoft 365 Message Center. A feature marked Targeted Release should not be assumed to be available to every user yet. Microsoft explains its release options in release options for Microsoft 365.
