Before movers pack your TV, computer, audio gear, or consoles, make your own itemized inventory, record each device’s condition and identifying details, and save photos and receipts somewhere outside the shipment. Then check the mover’s inventory before signing and get clear written answers about packing, valuation, and claim deadlines. This guidance is U.S.-focused; contract and insurance terms vary.

Build your own electronics inventory before packing day

Do not rely on the mover’s inventory as your only record. Military OneSource notes that the mover’s list does not capture your own valuation or condition records. Create one entry for each valuable electronic item and connect its photos to that entry.

  • Identify it: Record the item type and a specific description, plus the make, model, and serial number. For larger electronics, the Federal Maritime Commission (FMC) recommends recording size, make, model, and serial number; the Department of Defense (DoD) factsheet also calls for dimensions and year.
  • Describe its condition: Note existing marks, damage, or defects before the movers handle it.
  • Record purchase and value details: Add the purchase date or other purchase information, an approximate current value, and receipt details or a receipt copy if available.
  • Link the evidence: Put photo filenames or another clear reference in the item’s inventory entry.

Military OneSource’s moving guidance has more detail on documenting household goods: Moving checklist.

Photograph the equipment and preserve a working-condition record

Take clear photographs of each valuable item from multiple sides. Include legible pictures of its brand name and serial number, along with close-ups of any existing damage. For especially valuable electronics, a short narrated video can show the item and its condition. Military OneSource specifically recommends video of electronics working, which can help document their pre-shipment condition.

Keep cables, remotes, and small accessories with their equipment where practical. If they must go in a separate parts box, label the box and note its location in the relevant inventory entry. Atlas also advises photographing cable setups and keeping accessories identified; its guidance is company advice, not a substitute for your mover’s packing instructions. See Atlas’s electronics packing guidance.

Ask how fragile or unusually valuable equipment will be packed

Before packing day, ask the mover how each large, fragile, unusually valuable, or awkward-to-pack device will be protected. Find out whether the mover recommends professional packing, special handling, or a crate, and confirm the plan for shipment. The FMC recommends requesting professional packing and confirming how items will be packed: FMCSA: What are my rights and responsibilities?

Check the mover’s inventory before you sign

During the inventory and loading process, confirm that every valuable electronic item is listed separately and described specifically enough to identify it. Check the recorded make, model, serial number, dimensions where applicable, and condition notes. Compare damage notations with the actual item.

At delivery, compare the items and tags against your retained inventory as the truck is unloaded. Check for missing items and note visible damage promptly. The DoD factsheet explains inventory checks for service members and other eligible customers; your own contract and applicable rules determine the process for your move. Compare mover liability and insurance before choosing protection

Ask the mover to explain its available valuation or liability options in writing. The option you select can affect potential reimbursement, and it is not automatically the same thing as a homeowners or renters insurance policy. Ask about:

  • What each option covers, its valuation basis and limits, and any exclusions.
  • Whether owner-packed cartons or electronics packed outside the mover’s requirements receive different treatment.
  • Whether special packing or crating is required for coverage.
  • What evidence a claim requires, and how and when a claim must be filed.
  • Any fees, deductibles, or other costs associated with the option.

FMCSA describes mover liability and valuation options in its consumer guidance and its Your Rights and Responsibilities When You Move document, last updated July 13, 2023. Its separate loss-prevention advisory was last updated February 10, 2015. Verify current requirements and the terms in your actual contract rather than assuming a summary applies to your move.

Contact your homeowners or renters insurer separately. Ask whether your policy covers the equipment during transit, whether limits or exclusions apply, and whether a rider or other added protection is available. Confirm how the policy interacts with the mover’s option so you can identify any gap or overlap.

For Canadian moves, the Office of Consumer Affairs advises consumers to check mover liability, coverage, owner-packed items, and claim time limits. Those recommendations address a different jurisdiction; do not assume Canadian rules or terms apply to a U.S. move. See the Canadian moving guidance.
