The exact commands differ slightly between new Outlook for Windows, classic Outlook, Outlook on the web, Outlook.com, and Outlook for Mac.
First select the messages, then use drag and drop, the Move command, or keyboard shortcuts. The steps below cover adjacent and nonadjacent messages, nested folders, copying instead of moving, archive folders, and common problems.
Select multiple emails first
Open the folder containing the messages, usually Inbox, and select the emails you want to process.
Select a continuous range
- Click the first email.
- Hold Shift.
- Click the last email in the range.
Outlook selects every message between the two emails. This is useful for filing a block of messages received over a particular period.

Select individual, nonadjacent emails
In Outlook for Windows, click the first email, hold Ctrl, and click each additional message. The selected messages do not need to be next to one another.
In Outlook for Mac, hold Command while clicking each message. Microsoft’s documented multi-selection procedure is specifically for Outlook 2016 for Mac; current Mac builds may present slightly different commands, but the multi-select pattern is the same.
Move multiple emails in new Outlook for Windows
These instructions apply to the new Outlook app for Windows. You can identify it by its newer interface and the account switch or feedback controls near the top of the window.
Method 1: Drag the messages to a folder
- Select the messages.
- Drag the selection to the destination folder in the folder pane.
- Release the mouse button.
If the destination is inside a collapsed folder, hover over that folder until its subfolders appear. Continue hovering over nested folders until the required destination is visible, then release the messages on it.

- Select the emails.
- On the ribbon, select Move in the Move group.
- Select the destination folder.
If the folder is not shown, choose Move to a different folder, then select it from the complete folder list.
Method 3: Use the context menu
- Right-click the selected messages.
- Select Move.
- Choose the destination folder.
To leave the originals where they are, select Copy to folder instead. If necessary, select Copy to a different folder and choose the destination from the full list.
Move multiple emails in classic Outlook for Windows
Classic Outlook is the traditional Windows desktop application included with many Microsoft 365 and perpetual Office installations.

Drag and drop
- Select the messages in the message list.
- Drag them to the target folder.
- Release the mouse button.
For a subfolder, hover over its parent folder to expand it. Once the target appears, drop the selected messages on that folder.
Use the ribbon
- Select the emails.
- On the ribbon, select Move in the Move group.
- Select the destination folder.
If the folder is missing from the short list, select Other Folder. In the Choose Folder dialog box, select the required folder and confirm.
Use cut and paste
Keyboard commands are useful when dragging is unreliable or the folder pane is crowded:
- Select the messages.
- Right-click the selection and choose Cut, or press Ctrl+X.
- Open the destination folder.
- Press Ctrl+V.

Move multiple emails in Outlook on the web or Outlook.com
- Open Outlook in your browser and select the messages.
- Drag the selection to the destination folder, or select Move in the ribbon’s Move group.
- Choose the destination folder.
You can also right-click the selected messages and choose Move or Copy to folder. If the folder is not listed, choose Move to a different folder or Copy to a different folder, then select it from the complete folder list.
In Outlook.com, the toolbar may label the command Move to. Selecting Move to… files the messages you selected. Do not choose Always move to… unless you want Outlook to automatically move future messages from that sender as well.
Move or copy multiple emails on a Mac
Microsoft’s documented procedure for Outlook 2016 for Mac is to select the messages and drag them to the destination folder.
To copy several messages rather than move them:
- Hold Command while selecting the messages.
- On the Home tab, select Move > Copy to Folder.
- Type the destination folder name.
- Select the folder, then select Copy.
The available archive and folder commands can vary depending on whether the Mac account is hosted by Microsoft 365, Exchange, or another provider.

Move versus copy: choose the right command
A move removes the messages from the current folder and places them in the destination. A copy leaves the originals in place and creates another instance in the destination.

Moving messages to an archive
Outlook has two different meanings for “archive,” and confusing them can put messages in the wrong place.

- Archive folder: the ordinary mailbox folder used by the Move to Archive command.
- Online Archive or In-Place Archive: a separate archive mailbox that must be enabled for the account.
New Outlook and Outlook on the web generally call the separate mailbox In-Place Archive. Classic Outlook and Outlook for Mac call it Online Archive. The ribbon’s Move to Archive action moves messages to the regular Archive folder; it does not move them to the separate Online Archive or In-Place Archive mailbox.
If the separate archive mailbox does not appear, it may not be provisioned or enabled by your Microsoft 365 or Exchange administrator. On Mac, Microsoft says the mailbox must be hosted on a Microsoft 365 server and enabled by the administrator.
Important exceptions and failure modes
Dragging may copy public folders or SharePoint list items
For a public folder or a SharePoint list, dragging an item to another folder performs a copy rather than a move. Check the source after the operation if it is important that the original be removed.
Offline and cached mailbox behavior
In new Outlook Offline, moving an item older than the configured offline time range to another folder within the same user or shared mailbox can create a copy in the destination and move the original to Recoverable Items. Microsoft describes this as a data-integrity protection behavior.

If an old message appears duplicated or seems to have disappeared after an offline move, allow Outlook to synchronize fully and check Recoverable Items before repeating the operation.
Classic Outlook drag and drop on Windows 11 24H2
Classic Outlook drag and drop was affected on Windows 11 version 24H2 after updates KB5050094 and KB5051987. Microsoft marked the issue fixed in KB5052093, released February 25, 2025, which brought the operating system to build 26100.3323.

- Select File > Options in classic Outlook.
- Stay on the General tab.
- Under User interface options, select Optimize for best appearance.
Updating Windows is preferable to relying on the workaround. The problem is not a permanent limitation of classic Outlook.
Automatically move future emails with a rule
Manually moving a selected group affects only the messages currently selected. To automatically file future messages, create a rule:
- Right-click a message from the relevant sender.
- Select Rule > Create rule.
- Choose the destination folder.
- Select More options if you need additional conditions, actions, or exceptions.
In new Outlook, rules do not currently manage third-party accounts such as Gmail, Yahoo, and iCloud. Create those rules through the respective email provider instead.

- The target folder is missing: choose Move to a different folder, Other Folder, or the equivalent full-folder option.
- Only one message moved: reselect the messages using Shift for a range or Ctrl/Command for separate messages.
- Messages were duplicated: check whether you used Copy, dragged a public-folder or SharePoint item, or were working offline with older cached messages.
- Drag and drop does nothing: use the ribbon’s Move command or Ctrl+X and Ctrl+V in classic Outlook.
- The archive mailbox is absent: confirm that Online Archive or In-Place Archive has been enabled by your administrator.

What is the fastest way to move multiple emails in Outlook?
