The right mobile time-tracking app is the one that makes it easy to record work accurately on your phone—and gives you the entry, project, reporting, and approval tools your workflow needs. Freelancers, office teams, and field crews have different requirements, so there is no single best app for everyone.
What to look for in a mobile time-tracking app
Start with the way you actually record work. Some people run a timer as they move between tasks; others fill in a timesheet at the end of the day. Then check whether the app can associate each entry with the right client, project, or task, and whether it supports billable time, expenses, corrections, and any team review process you need.
- Entry: Can you start and stop a timer, enter time manually, or add several entries at once?
- Organization: Can you select the right project and task, and track clients, billable rates, or expenses where relevant?
- Working without a connection: Does the app let you record time offline, and when does it sync?
- Team administration: Can workers submit timesheets for approval, and where are team settings and reports managed?
- Location controls: Is GPS used for a specific clock-in purpose, and what permissions and plan are required?
- Phone and plan fit: Does it support your devices and useful features such as widgets or calendar imports? Check current user limits and pricing before choosing.

These examples are based on product and help pages from the providers, not independent hands-on testing. Feature availability and plan limits can change, so confirm the details for your device and intended plan.

Which app fits your kind of work?
Freelancers who need quick entries and billable time
Prioritize fast timer controls or easy manual entry, clear project and task selection, and a reliable way to review or export records for billing. Toggl Track documents several phone shortcuts and calendar features, while Harvest combines time and expense tracking with favorites and calendar imports. Check the providers’ current plan details for the billing and reporting features you need.
Teams that review and report time
Check whether employees can submit timesheets from mobile and whether managers can approve them and run shared reports where they work. Clockify documents mobile timesheet submission, but says dashboard and team management are web-only. That split matters if managers expect to handle administration entirely from a phone.
Field crews that need clock-in location controls
Clarify whether location is collected at clock-in and clock-out, while a worker is on the clock, or for a geofence—and who can see it. Clockify describes capturing location when a mobile timer starts or stops. QuickBooks Time describes GPS sharing while clocked in and a geofencing feature that requires setup and an Elite plan. These are product-specific behaviors, not interchangeable forms of continuous tracking.

How offline time tracking works
Offline support can be decisive for workers in locations with unreliable service, but confirm it for the specific app rather than inferring it from general sync language. Clockify says its mobile app tracks time offline and syncs automatically after reconnection. Harvest says its iPhone and Android apps can capture time and expenses offline, then synchronize when connected again. Toggl’s cited pricing page describes automatic sync when online; that statement alone does not establish offline entry.
Before relying on offline capture, check which record types are available without a connection and what happens when the phone reconnects. If the provider’s documentation does not answer those details, confirm them directly before making the app part of a work-critical process.

GPS is not a single feature with a standard behavior. The provider may collect a location point at timer start or stop, share location while the employee is clocked in, or use location for a configured geofence. Review the app’s location permission prompts, your organization’s settings, and the provider’s current privacy information before enabling it.

For QuickBooks Time, Intuit says GPS point accuracy requires cell service and that an administrator may require Always location access. It also says geofencing is an Elite feature that requires setup, that geofence GPS points stay on the user’s device rather than being saved on Intuit servers, and that administrators cannot access employee location while the worker is off the clock. These descriptions apply to QuickBooks Time; do not assume another app handles location the same way.
Free-plan limits and paid feature access can also change. The reviewed Toggl iOS page lists a free version for up to three users, and the reviewed Clockify mobile page lists a free plan for up to four people. Confirm current limits, pricing, and whether a feature such as GPS is included in your intended plan before signing up.
